A phone or computer can help you check whether a delay may qualify, keep the evidence together, submit a claim to the airline and track its reply. It cannot make you eligible or guarantee payment: the rules depend on your route, operating airline, arrival delay and the cause of the disruption. The guidance below focuses on UK and EU rules; other countries have different protections.
First check which rules cover your flight
For UK passenger-rights rules, the UK government says coverage includes flights departing the UK on any airline, flights arriving in the UK on a UK or EU airline, and flights arriving in the EU on a UK airline. EU rules generally cover flights departing from an EU airport, and flights arriving in the EU from outside it when operated by an EU airline. Check the route and the airline that actually operated the flight before relying on a compensation figure. For a journey with connections on one booking, assess how late you reached the final destination, not just the delay to the first flight. If your trip crosses jurisdictions or involves separate tickets, confirm which rules apply to each part rather than assuming one law covers the whole itinerary.
Can you claim for a delayed flight, or only a cancellation?
Delayed flights may qualify for fixed-sum compensation under UK or EU rules; cancellation is not the only disruption that can lead to a claim. The key timing measure is arrival at your final destination, not how late the plane departed. UK Civil Aviation Authority guidance describes eligibility when arrival is more than three hours late. EU guidance generally uses arrival at least three hours late, subject to route scope and exceptions.

The cause matters too. Extraordinary circumstances can remove the right to fixed-sum compensation under the cited UK and EU guidance. That does not necessarily remove separate rights to assistance, rerouting or a refund. Ask the airline to state the reason for the disruption and keep its response with your records.
UK compensation amounts
The UK Civil Aviation Authority’s current guidance, accessed in 2026, lists these amounts by flight distance and, for the longest flights, arrival delay:

The route categories and exceptions are set out in the Commission’s air passenger rights guidance. The amount is not a universal payment for every flight delayed by the stated time.
Compensation is separate from care and refunds
In the EU, the Commission’s guidance says care such as meals and refreshments is due when a departure delay reaches two hours, with accommodation potentially required when necessary. A delay exceeding five hours may allow a passenger covered by UK guidance to choose not to travel and seek a refund for unused flights, including a return to the first departure point where applicable. A refund, reimbursement of expenses and fixed-sum compensation are distinct issues; ask the airline about each rather than treating one as a substitute for another.

The Commission announced a political agreement on revised EU air-passenger rights on 15 June 2026 and said the standard €250/€400/€600 compensation baseline would remain after a three-hour delay. It also described proactive information within 96 hours and streamlined claim handling as new features. That announcement alone does not establish when every change takes legal effect, so do not rely on a new deadline or process until its operative date and any transition rules are confirmed in the official legislation.

A smartphone, tablet or computer is enough to access airline forms and keep a claim file. No particular device or paid app is required by the cited guidance, and no official source endorses a specific consumer app. Use whatever tools you already have to collect:

- Booking confirmation, itinerary and boarding pass, including the flight number, date, airports and booking reference.
- Scheduled and actual arrival details at the final destination, plus connection information if relevant.
- Airline emails, texts, app alerts or written airport notices explaining the disruption.
- Receipts for reasonable expenses you are asking the airline to reimburse.
- A dated copy of your claim, its submission confirmation and every airline reply.
Save notices promptly; an app alert or booking page may later disappear. A screenshot can help preserve what was displayed, but it is not, by itself, official proof of eligibility. Keep original messages and documents as well as screenshots.
How to make a claim online
- Check the rules: Use the relevant regulator or European Commission guidance to compare route, operating airline, arrival delay, distance and the airline’s stated cause. For a single booking with connections, assess the final destination delay.
- Find the airline’s own channel: Search its website for a delay, disruption or compensation claim form, or contact its customer-service channel. UK government guidance says there is no standard claim process and advises passengers to contact the airline directly.
- Prepare the details: Include passenger names, flight number and date, booking reference, airports, scheduled and actual arrival, where the disruption occurred, and a concise account of what happened. UK government guidance specifically recommends providing flight and booking details, airports, disruption location and delay circumstances.
- State what you are requesting: Identify whether you seek fixed-sum compensation, reimbursement of expenses, a refund, or more than one of these. Airlines may use separate forms for compensation and expense reimbursement.
- Submit and save: Send the claim through the airline’s secure form or channel. Keep a copy of what you entered, the date and time submitted, and any case or reference number. Provide payment details only through a secure channel operated by the airline.
- Set a follow-up reminder: Use a calendar, email folder, notes app or spreadsheet to record the submission date, case number, response and next action. These are simple recordkeeping options, not regulator-approved claim tools.
Should you file directly or use a claims service?
Filing directly gives you control of the claim and avoids paying a service fee, but you handle the forms and follow-up. A claims service may reduce the administrative work; before agreeing, check its fee, whether it takes an assignment or authorization to act for you, how it handles personal data, and whether charges apply only if it succeeds. The European Commission links an information notice on claims agencies’ consumer, marketing and data-protection obligations from its passenger-rights page. No service’s success rate or ability to improve your odds is established by the official material cited here.
What to do if the airline rejects the claim or does not reply
UK claims
If you receive a final airline response you consider unsatisfactory, or the airline has taken more than eight weeks, the CAA says to consider an approved alternative dispute resolution (ADR) provider if the airline participates. If it does not, the CAA’s Passenger Advice and Complaints Team (PACT) may be an option. Check the CAA’s delay guidance for the current route to escalate.
EU claims
For an EU-covered flight, use the relevant national enforcement body or the complaint routes linked by the European Commission. The procedure depends on the country, so follow the route-specific instructions on the Commission’s air passenger rights page.

What digital tools cannot establish
A flight-tracking app or delay calculator can help organize information, but it cannot determine every legal issue, including the applicable jurisdiction, the airline’s operating role or whether the cause qualifies as extraordinary circumstances. The cited official guidance provides thresholds and amounts, not claim-success rates or evidence that using technology increases the chance of recovery. For US and other non-UK/EU trips, consult the rules that apply to that route; the UK and EU figures above should not be treated as global entitlements.
