Then map each affected item to the correct tax code, handle transactions that cross the date under local transition rules, update only the relevant software settings, and test before issuing invoices. GST rates and invoice requirements differ by jurisdiction, so there is no single rate or menu path that applies everywhere.
How do I update GST rates and tax codes in my invoicing software?
Use this product-neutral workflow. Software labels and behavior vary: look for tax, GST or sales-tax settings, but verify the steps in your provider’s help material before making a bulk change.
- Confirm the tax rule. Record the country, whether the business is GST-registered, the type of supply and the official effective date. Check the tax authority’s current notice or rate schedule.
- Identify affected items and codes. List each affected product or service, its existing code, the applicable new treatment and the date it applies. Include categories such as exempt, zero-rated or reverse charge only where the local authority recognizes them.
- Separate transition transactions. Check the local rules for supplies where the invoice, payment or delivery or service date falls on a different side of the effective date. Do not assume the invoice date alone determines the rate.
- Change the relevant software setting. Create or edit the applicable rate or tax code, assign it only to affected items or services, and set an effective date if the application supports one. Review saved item defaults, invoice templates and recurring invoices.
- Test and review. Create draft invoices for a normal affected sale and any relevant special case. Check the code, taxable amount, tax amount, total, customer-facing description and required invoice details before issuing live documents.
Keep issued invoices and prior-period entries intact. If your software lacks effective-dated rates or separate item mappings, consult the vendor’s documentation or support team before changing defaults or using a bulk edit.
Which GST rate and tax code should I use?
Choose the treatment that applies to the specific supply under the rules in your jurisdiction—not simply the rate currently used for most sales. Start with the official tax authority notice and confirm whether it distinguishes products, services, customer types, locations or supply categories.

For example, Singapore’s IRAS describes 9% GST for standard-rated local supplies, alongside other categories and rules such as customer accounting. That figure is Singapore-specific, not a general GST rate. See IRAS’s transitional rules for the GST rate change and its guidance on GST-registered businesses’ responsibilities.
India provides another example of why the date and product matter: the Ministry of Finance said most rate changes recommended by the 56th GST Council took effect on 22 September 2025, while specified tobacco products remained at existing rates until a later notified date. The government’s FAQ identifies Notification No. 9/2025-Central Tax (Rate), dated 17 September 2025, for CGST rate changes on goods. Check current amendments and the product-specific schedule rather than applying that general date to every supply. What should I do with transactions that cross the effective date?
Apply the transition rule for the relevant country and transaction facts. Depending on the jurisdiction, invoice issue, payment, and delivery or service performance may affect which rate applies. A rate change is not necessarily determined by the date shown on the invoice.

Singapore’s 2024 guidance for the change from 8% to 9% explains how invoice, payment and supply dates interact and includes specific examples and concessions. India’s 2025 FAQ also addresses cases where the supply and invoicing fall on different sides of the change. Use the official rule for your jurisdiction and dates; the Singapore examples do not govern transactions elsewhere.
For recurring invoices or orders spanning the change, identify the affected period and check whether each scheduled invoice needs a different code or treatment. Do not assume changing a recurring template will correctly handle already-issued documents or every future transaction.
How do I change the setting without altering old invoices?
In your application, find the tax or GST settings and change the rate or code for the affected scope. If supported, use an effective date or create a distinct code rather than replacing a tax treatment used on historical transactions. Then review item and service mappings, saved defaults, templates and recurring invoices.

Before confirming a bulk edit, check how the software handles finalized invoices, prior-period records and recurring transactions. Product behavior is not uniform, so do not assume a changed default will either update or preserve old records in a particular way. Preserve issued documents and historical accounting entries; if the application cannot separate new and old treatment safely, ask the vendor how to configure it before proceeding.
How should I test the new rate before using it?
Create draft examples that cover the affected sale and any relevant exception, then compare the software calculation with a manual calculation under the official rule. Check:
- the product or service has the intended tax code;
- the taxable value, tax amount and total are correct;
- the description and tax details are appropriate for the customer-facing document;
- the invoice includes the identifiers, number, date and other information required locally; and
- any applicable credit note, revised invoice or other adjustment document can be prepared using the correct treatment.
Invoice fields depend on the jurisdiction. India’s CBIC FAQ lists details including supplier and recipient identifiers, a unique invoice number and date, description, value, tax rate and tax amount. Singapore IRAS describes ordinary tax-invoice information and required credit-note details for adjustments. Check the applicable authority guidance: CBIC’s GST Sectoral FAQs and IRAS’s adjustments and concessions guidance.

If your software provides a GST summary or tax report, compare a sample transaction with the official rule, then review the first live transactions. Retain the rate notice and a record of when you changed the setting. IRAS notes that accounting software can assist with record keeping and tax obligations; using software does not establish that the selected rate is legally correct. That depends on the application and the setting you change. A product default, tax-code definition, recurring template and finalized invoice may behave differently. Check the vendor’s documentation before editing, and preserve issued invoices and prior-period records rather than relying on an assumed software behavior.
What if I already issued an invoice with the wrong GST rate?
Do not silently overwrite a finalized historical document. Check the local authority’s correction process, required supporting information and deadline, then use the software’s appropriate correction workflow. Depending on the jurisdiction and error, that may involve a credit note, replacement or revised invoice, or another prescribed adjustment.

Singapore IRAS describes credit notes and replacement tax invoices for affected supplies, including supporting details for adjustments. For Singapore GST returns, IRAS says the rate change does not change how the return is completed. India’s CGST Rules address revised invoices and credit or debit notes with prescribed particulars. These are country-specific examples, not a universal correction process. See IRAS’s adjustment guidance and CBIC’s Central Goods and Services Tax Rules, 2017, Rule 53.
Why can GST invoice requirements differ by country?
Authorities may change not only rates but also the required form of transaction records. In New Zealand, taxable supply information replaced the tax-invoice requirement from 1 April 2023. Inland Revenue says previously compliant invoice wording remains compliant and that taxable supply information may be exchanged electronically. For that reason, verify both the tax treatment and the required document details for the country where the supply is taxed. A software setting that calculates a rate correctly may not, by itself, produce every record or field required by local rules.
