How to Track Cryptocurrency Transactions for Tax Reporting

A reliable crypto tax ledger covers every exchange and wallet, preserves source records, distinguishes transfers from disposals, and tracks acquisition cost and income events for the right tax jurisdiction and year.

Track crypto for tax reporting by keeping a complete, dated record of every acquisition, disposal, transfer, and income event across all exchanges and wallets—and by reconciling those records to your balances and tax statements. Start with the country and tax year in which you file: U.S., Canadian, and UK recordkeeping rules differ, and no single exchange summary necessarily contains everything needed to support a return.

Start with your tax jurisdiction and year

Before collecting records, identify where you are tax-resident for the relevant year and which tax year you are preparing. The examples below are separate jurisdiction-specific guidance, not one global set of rules. Use the forms and instructions that apply to your filing year, and consult a qualified tax professional for cross-border, business, DeFi, missing-record, or difficult basis-allocation questions.

  • United States: IRS records for digital assets should support the positions reported on a federal income tax return. For a capital asset, the IRS generally routes sales, exchanges, and other dispositions through Form 8949 and Schedule D; some income activity is reported on a different applicable schedule.   • Canada: The CRA calls for detailed books and records, including transaction and transfer ledgers, wallet addresses, and beginning and ending balances. It recommends regular exports and says required records must be kept for at least six years from the end of the last taxation year to which they relate. That is Canadian guidance, not a universal retention period. See CRA cryptocurrency guidance.
  • United Kingdom: HMRC says individuals are responsible for keeping records for each cryptoasset transaction and warns that exchange records may not remain available. See the HMRC cryptoasset recordkeeping manual.

How to track cryptocurrency transactions for tax reporting

1. Inventory every exchange, wallet, and service

List every custodial exchange, hosted wallet, self-hosted wallet, and other service that held or processed your crypto during the year. Note the account or wallet identifier and who owned or controlled it. For wallets, preserve the address and, where relevant, the beginning and ending balance for each asset.

2. Export original records and preserve them

Download trade histories, deposits and withdrawals, wallet activity, receipts, pool or reward statements, and tax forms from each source. Save the original files unchanged, then make a separate working copy for cleanup or import into tracking software. Export periodically rather than waiting until filing time: platforms can retain different histories, and an exchange may stop operating or make older data inaccessible. The CRA recommends exporting transaction records regularly and does not endorse specific products; HMRC places the recordkeeping responsibility on the individual.

3. Build a transaction ledger without losing source details

Use one row per event, with enough information to identify what happened and trace it to its source. Keep the original timestamp and source record even if you convert dates, currencies, or labels in a working ledger.

  • Date and time, including the time zone if available.
  • Asset, quantity, and transaction type: for example, purchase, sale, exchange, transfer, payment, reward, or fee.
  • Fair market value in the tax currency at the time of the event, with the valuation source.
  • Fees, the asset used to pay them, and the fee amount.
  • Source and destination exchange account or wallet; counterparty or address where available.
  • Transaction ID, receipt, order confirmation, or other evidence.
  • Acquisition date, quantity, cost, and other basis information needed to identify units later.

For U.S. federal gain-or-loss records, the IRS identifies asset type, transaction date and time, units, fair market value in U.S. dollars, and basis as relevant information. CRA guidance also identifies transaction descriptions, the other party where applicable, wallet addresses, and balances. Requirements vary, so retain the fuller source detail rather than assuming one jurisdiction’s minimum is sufficient for another.

4. Match transfers and reconcile wallet balances

Match a withdrawal from one account you own or control to the corresponding deposit in another. Record both sides, the date, quantity, addresses, transaction ID, and any network fee. Investigate unmatched entries; do not silently classify them as sales or omit them.

For U.S. federal reporting, the IRS’s digital-assets page does not list transfers between wallets or accounts you own or control as disposal events, except when digital assets are paid as a transaction fee. A crypto fee may itself have tax consequences under the IRS FAQs. The treatment can differ by jurisdiction and depends on the facts of the transaction.

At year-end, compare the ledger’s balances with the exchange and wallet records. Keep a working list of missing imports, unmatched transfers, unknown basis, and valuation sources that need attention. CRA guidance specifically includes beginning and ending wallet balances and their cost among records to maintain.

5. Preserve acquisition cost and identify disposed units

For each acquisition, retain the date, quantity, value, and related costs so you can establish the basis of units later sold, exchanged, or otherwise disposed of. In the U.S. context, IRS guidance says basis generally begins with cost in U.S. dollars. Its FAQs discuss specific identification, records at the wallet or account level, and chronological default identification in certain hosted-wallet situations when specific identification is not adequately made.

Do not assume FIFO is the rule everywhere. The IRS default described in its FAQs applies in specified circumstances; identification requirements depend on the facts, account or wallet, and applicable tax year. Keep records that show how you identified units and consult the relevant authority’s current guidance before filing.

6. Keep income events separate from later disposals

Track payments, mining, staking, rewards, airdrops, and business receipts as income-related events separately from a later sale or exchange of the assets received. For each receipt, retain the date, quantity, fair market value in the relevant tax currency, source, and supporting statement or pool record. Also preserve related expenses and pool arrangements where applicable. Tax characterization depends on the activity and jurisdiction; the IRS distinguishes capital dispositions from ordinary income reporting, while CRA guidance asks for records relating to mining receipts and expenses.

7. Reconcile tax forms against your own ledger

Use broker statements and tax summaries as reconciliation inputs, not as a substitute for your records. In the United States, Form 1099-DA reporting applies to covered broker transactions effected on or after January 1, 2025: gross-proceeds reporting begins for those transactions, while basis reporting applies to certain covered transactions from January 1, 2026. The IRS says most statements for 2025 transactions will not include basis. Check the IRS’s digital asset reporting guidance and 2026 tax tip for details, and use the forms and instructions for the actual filing year.

Recordkeeping checklist

  • Trade ledgers for buys, sells, swaps, and other exchange activity.
  • Crypto and fiat deposit and withdrawal histories.
  • Wallet and account addresses, wallet histories, transaction IDs, and receipts when available.
  • For each event: timestamp, asset, quantity, description, tax-currency value, fees, source, and counterparty or address where available.
  • Acquisition dates, quantities, values, costs, and unit-identification records supporting basis.
  • Mining, staking, reward, payment, and business receipt records, with relevant expenses and pool arrangements.
  • Beginning and ending balances for each wallet or account and asset, with cost information where applicable.
  • Relevant software, accounting, and legal costs associated with tax affairs.
  • Unchanged original exports, periodic backups, and notes identifying missing or inaccessible platform data.

Can crypto tax software do the tracking for you?

Transaction-tracking software can help organize imports and calculate summaries, but it does not remove the need to preserve source records or verify the results. Before relying on a tool, check whether it supports your exchanges and wallets, preserves raw exports and transaction IDs, handles transfers and fees correctly, supports any required wallet- or account-level unit identification, and can represent your income events and relevant activity. Also check the available tax-form exports, correction history, and backup controls. No particular product is endorsed by the CRA, and software output does not establish that a return is correct.
