Search by the refund application’s filing year or ARN, then follow the status to see whether the claim is with the tax officer or has moved to payment processing. If it is sanctioned but not credited, check PFMS: GST Portal processing and bank validation or disbursal are separate stages.
Track your refund by ARN or filing year
- Keep your ARN and filing year. The ARN identifies your filed refund application.
- Open the tracker. On the GST Portal, sign in and select Services > Refunds > Track Application Status.
- Search and read the stage. Choose the filing year or enter the ARN, then search. The status indicates the stage at which the application is pending. Check whether the next action is yours or the officer’s, and follow any notice or portal instruction.
- Keep a record. Save the ARN, status, notices or orders, and relevant dates so you can refer to the application history.
The GSTN advisory identifies the GST Portal as the place to track the pending stage and PFMS as the route to check bank-account validation and disbursal. GSTN refund tracking advisory
If the refund is sanctioned but not credited
A sanction does not, by itself, mean the money has reached your bank account. When payment processing is underway, check PFMS for account validation and disbursal status. The GSTN advisory explains that an officer’s payment order depends on PFMS validating the bank account listed in RFD-01; final disbursement after sanction depends on validation of the account specified in RFD-05.
- Compare the bank details used in the refund application and payment order with the account information requested in the relevant portal workflow.
- If validation is pending or fails, follow the current instructions in the GST Portal and PFMS process.
- Read the order to see whether an amount was adjusted against an outstanding demand or withheld under the applicable rules, rather than assuming it has disappeared.
What to do when a refund is delayed
First identify the actual pending stage in the GST Portal tracker. A delay at officer processing calls for checking the application status and any notice; a delay after sanction calls for checking PFMS validation and disbursal. Keep the ARN, status, correspondence, orders, and dates together while following the relevant process.

When the statutory interest period may matter
Section 56 of the CGST Act provides for interest in qualifying cases where a refund ordered under section 54(5) is not made within 60 days from receipt of the application under section 54(1). For this ordinary delayed-refund case, the Act sets a ceiling of 6%; the rate is specified by government notification and statutory conditions apply. The Act separately sets a ceiling of 9% for a refund arising from a final order of an adjudicating authority, appellate authority, tribunal, or court if it is not made within 60 days after the consequential application. The relevant category, dates, applicable notification and rate, and statutory conditions must be established before concluding that interest is due. CGST Act, section 56
Understand an RFD-03 deficiency memo and an RFD-08 notice
These documents mean different things. An RFD-03 deficiency memo communicates deficiencies; it is not a final rejection order. You may need to correct the stated issues and submit a fresh application under the applicable rules and portal workflow.
Rank #2
An RFD-08 is a show-cause notice proposing rejection. The rules require you to reply in RFD-09 within 15 days of receiving the notice. The proper officer must consider the reply before issuing an RFD-06 order, which may sanction the refund in full or part, or reject it. A refund application cannot be rejected without a reasonable opportunity to be heard.
- Read each reason and identify the amount the officer proposes to reject.
- Respond to every point in RFD-09 and attach records that support your position.
- File within the 15-day period running from receipt of the RFD-08 notice, and retain proof of filing.
For a large, technically complex, or contested claim, a qualified Indian chartered accountant or GST practitioner may be able to help you assess the records and response. CGST Rules, including rule 92

If an RFD-06 order rejects the refund
Confirm that you have a final order rejecting all or part of the claim, rather than an RFD-03 deficiency memo or an RFD-08 notice that is still awaiting a response. The cited GST Portal appeal FAQ gives a general period of three months from communication of the decision or order to appeal, with possible condonation of up to one additional month if the Appellate Authority is satisfied that sufficient cause prevented timely filing. The FAQ addresses appeals against adjudicating-authority demand orders; it does not, by itself, settle every refund-rejection appeal scenario. Check the applicable route, order date, current law, documents, and any filing or pre-deposit conditions promptly with a qualified adviser. GST Portal appeal FAQ
Where a rejected refund involved an amount debited from the electronic credit ledger, the rules provide for re-credit by PMT-03 in specified circumstances. Do not assume a rejected credit-ledger claim will be paid in cash; inspect the order and applicable process. CGST Rules
