Keep the explanation brief, discuss a practical handoff, then confirm your resignation and date in writing. Notice requirements vary by location, worker status, contract and workplace policy, so there is no universal notice period.
Before you tell your boss, confirm your notice and last day
Read your employment contract, staff policy and any applicable agreement before naming a final day. Check who must receive notice, how it must be delivered, how the notice period is counted, and whether terms about notice pay or restrictive covenants apply. GOV.UK advises employees to check their contract for notice and related terms: Handing in your notice: Your employment contract.
Notice rules depend on where you work and your employment status. For example, Acas says that in the UK an employee who has worked for at least one month generally must give at least one week’s notice, even without a written statement; a contract or written statement may require more. Someone employed for less than a month generally does not have to give notice unless the written statement says otherwise. These are UK-specific guidelines, not a worldwide rule: Acas: How to resign.
In Australia, the applicable award, enterprise agreement or employment contract may set the notice requirement, and Fair Work Ombudsman guidance distinguishes between worker categories. Check the terms that apply to you: Fair Work Ombudsman: Resignation. In US-oriented career guidance, Indeed describes two weeks as a standard professional courtesy in many workplaces; that is not a universal legal requirement: Indeed: How to Tell Your Boss You’re Quitting.

Choose the right setting and keep the message simple
Request a private meeting with your manager. In person may suit an office role; if you work remotely, a private video or phone conversation is a practical alternative. Indeed recommends a private virtual meeting for remote workers. If your workplace has a specific resignation process or requires notice to go to HR, follow it as well.
Be direct and calm. You are informing your boss of a decision, not asking permission to make it. You do not need to give a long defense or share private details in an ordinary resignation conversation. Offer thanks only if you mean it, and keep any reason truthful and proportionate.

“Thanks for meeting with me. I’ve decided to resign from my position. Based on my notice period, I expect my last day to be [date]. I’m grateful for [specific thing, if sincere]. I’d like to agree on how best to hand over my current work.”
If your boss asks why, you can keep the answer general: “I’ve decided to pursue a different direction” or “I’m making a personal change.” Share more only if you choose to. Career guidance from Indeed likewise recommends being clear and professional without requiring a detailed explanation.

Offer reasonable help with current work during the notice period, such as documenting project status or identifying deadlines and contacts. Ask who should communicate the news to colleagues and when; do not assume you should announce it yourself.
If your manager proposes an earlier departure or a different arrangement, ask what it means for your pay, notice and agreed final day, and confirm the outcome in writing. In the UK, Acas notes that early release, payment in lieu of notice or garden leave may be possibilities, but an employer does not have to agree to an employee’s request to leave early. Check the rules that apply to your own situation before accepting a change.

Follow up with the manager or HR contact required by your workplace. Include your role, the notice period you are giving and your expected final day. A written message creates a clear record: Acas says it can help avoid disputes about the notice period, and Australia’s Fair Work Ombudsman recommends written notice with the last day even though notice can be verbal or written in that jurisdiction.

Dear [Manager],
Please accept this message as notice of my resignation from [role] at [organization]. My notice period is [period], and I expect my final day to be [date]. Please let me know if your records show a different date. I will coordinate with you on handover of my current work.

Acas provides a free resignation notice letter template that includes the resignation, notice period and expected final day: Resignation notice letter template. You may also ask how accrued leave and final pay will be handled.
When a routine resignation template may not fit
If you are resigning because of a serious employer breach, discrimination, retaliation, safety concerns or another legal dispute, pause before sending a standard resignation message and seek appropriate local employment advice. Acas identifies serious breach and constructive dismissal as complex areas. Its UK guidance also says, “An employer cannot reject your resignation”; that does not remove the need to follow the applicable contractual process.
