Organize by year and transaction type, preserve readable invoice details and related evidence, and set a retention schedule for your jurisdiction and circumstances—there is no single retention period or filing format that applies everywhere.
Set up one searchable invoice archive
Choose a primary home for business invoices: a controlled accounting system or a well-maintained business document repository. Limit access to people who need it, and avoid scattering the only copy across email inboxes, personal devices, and unrelated cloud folders.
Organize records by financial or tax year and transaction type, such as sales invoices and purchase or expense invoices. The IRS gives organization by year and income or expense type as an example in Publication 583; that is a useful model, not a required folder layout for every jurisdiction.
Use a consistent name or index
A practical filename pattern is YYYY-MM-DD_supplier_invoice-number_amount.pdf. For example, a file might be named 2026-03-18_Northstar-Office_4821_125.00.pdf. This is an organizational convention, not a government-mandated format. Keep the same identifying fields in a searchable index if your system does not index file contents.

Record the supplier, invoice date, invoice number, amount, currency, and relevant tax details. Include a link or reference to the accounting transaction so you can move from the invoice to the entry it supports.
Keep the invoice and the evidence needed to explain it
An accounting summary alone may not preserve the original invoice information, the transaction’s supporting evidence, or a readable record. Keep the invoice itself along with related documents needed to explain the transaction, such as relevant correspondence or proof of payment where applicable.

HMRC says a preservation obligation can be met by retaining original documents or preserving the information contained in them. Its guidance gives photographs of purchase invoices and electronic invoicing as examples. For paper records converted to electronic form, the method must capture all information needed to make a correct and complete return and reproduce it legibly. See HMRC’s record-preservation guidance.
For UK VAT electronic invoices, HMRC calls for controls that maintain authenticity, integrity, and legibility; preserve related invoice data and evidence; allow invoice data to be recreated as transmitted or received; and keep history files so relevant past details can be found. Those are UK VAT requirements, not universal rules. See VAT Notice 700/63.

Set retention based on your circumstances
Do not assume that every business should keep invoices for six or seven years. Retention depends on jurisdiction, tax type, business status, record type, and the transaction. HMRC’s UK VAT notice says copies of invoices issued and received normally must be kept for six years. That period applies to the stated UK VAT context; it is not a general rule for other records or countries.
In the United States, IRS automated-record guidance ties retention to the applicable assessment period and notes that some records may need to be kept longer. It also emphasizes supporting and verifying return entries and maintaining an audit trail that reconciles records to books and returns. Check the IRS guidance on automated records and confirm the period that applies to your situation with the relevant tax authority or a qualified adviser.

Once you have confirmed the applicable periods, document a retention schedule by record category. Suspend routine deletion when a tax inquiry, dispute, or other legal hold applies.
Make retrieval and review part of the system
- Search for a sample invoice using the supplier and date.
- Open the file and confirm that it is complete, legible, and the correct invoice.
- Follow its link or reference to the accounting entry and check that the transaction matches.
- On a recurring schedule, verify that backups and exports can still be opened and that the people who need access can retrieve records.
For US businesses, IRS guidance says electronic systems are subject to the same record requirements as paper systems and must provide complete, accurate data accessible to the IRS. Its small-business guidance asks, “How should I record my business transactions?” See IRS guidance on recording business transactions.

Back up records and plan for software changes
Keep recoverable copies and test that they can be restored. The Canada Revenue Agency advises businesses to maintain proper backup copies, preferably at another Canadian site, and to keep records accessible and readable after business or electronic-system changes. Its electronic record-keeping guidance also says backup procedures should not overwrite prior-period backups or logs. Before retiring or changing systems, export the invoice files and associated accounting details in readable formats. Keep the software name and version when needed to interpret archived data, then test a restoration before decommissioning the old system. Check that the export preserves enough detail and the relationship to the books to reconstruct the transaction. IRS guidance highlights machine-readable records and audit trails, while HMRC’s UK VAT notice requires invoice data to remain reproducible and readable for its applicable purpose.
Choose software by the records it lets you preserve
Whether you use accounting software or a document repository, assess whether it fits your recordkeeping needs. Look for the ability to:
- Search by supplier, date, invoice number, and amount.
- Export readable invoice files and associated data.
- Link invoice evidence to accounting entries.
- Back up and restore records while protecting earlier backups from overwrite or deletion.
- Control access and retain a history or audit trail suited to your needs.
- Keep records accessible and readable after a software change.
- Apply your jurisdiction’s retention schedule.
These are practical selection criteria, not claims about any particular provider or a guarantee that software alone makes a recordkeeping system compliant.

Scan paper invoices only when you need to
If you receive paper invoices, a phone camera or scanner can help create electronic copies, provided the capture preserves the needed information and remains legible. HMRC recognizes photographing or electronically converting paper records when the result meets the applicable preservation requirements. Scanning hardware is optional, and scanning alone does not establish authenticity, integrity, or compliance. If invoices are already digital, a scanner is generally unnecessary.
