To set up Gmail for business, use Google Workspace with a domain your business controls. Sign up for a Business edition, verify the domain, create user accounts, route its email to Google, activate Gmail, and configure email authentication. A free @gmail.com account is different: it does not provide the same organization-level account and administration controls.
What “Gmail for business” means
For most businesses, Gmail for business means Gmail included with Google Workspace, using an address such as [email protected]. Workspace provides centrally managed users and organizational controls alongside Gmail and other Google services. Google explains the distinction between business email and domain-verified Workspace accounts in its account overview.
- Free Gmail: A personal
@gmail.comaccount. It can be used for work, but it is not the usual choice when a company needs domain-based addresses, centralized administration, and reliable ownership of employee accounts. - Google Workspace Business: The standard option for a team that wants custom-domain Gmail and organization-level user management.
- Gmail-based Workspace subscription: Google offers a route that starts with a Gmail address; domain verification is needed to unlock the full domain-verified feature set. See Google’s guide to Gmail-based Workspace accounts.
- Google Workspace Individual: Aimed at individuals who do not need the same organization-level domain and user administration as a business team.
What to prepare before you sign up
- A domain you own or control, such as
company.com, and access to the service that manages its DNS records. - A list of people who need individual mailboxes, plus the addresses you want for functions such as
[email protected]or[email protected]. - A payment method if required for your chosen signup or billing arrangement.
- Access to the current email provider and an inventory of mailboxes, aliases, forwarding rules, contacts, calendars, shared addresses, and automated senders if you are switching.
- A plan for who will be the initial administrator and how the business will retain access if that person is unavailable.
Your domain registrar, DNS host, website host, and email provider can all be different companies. Find the authoritative DNS host before making changes. Buying a domain and subscribing to Workspace are separate decisions unless your signup route bundles them.
Choose a Workspace plan
Google describes Business editions as intended for organizations with up to 300 users. Its current Business-edition documentation lists the following US-dollar pricing and pooled storage signals. Prices vary by region and signup channel; taxes, contract terms, promotions, and reseller arrangements can also affect the amount charged. Confirm the price and included features on Google’s pricing and signup page before subscribing.

These are the US prices listed in Google’s Business-edition documentation, updated July 2026; they are not universal quotes. Storage is described as pooled per user, not as a separately isolated allowance for every mailbox. Annual or fixed-term pricing is lower in the listed US figures but carries a commitment; compare the actual contract and cancellation terms shown for your region.
Custom-domain Gmail does not require a higher tier by itself. Starter is a sensible starting point when email and standard collaboration are the main needs. Consider Standard or Plus for their additional storage and features. If you have more than 300 users or complex identity, compliance, routing, or deployment needs, review Enterprise deployment options rather than assuming a Business edition is suitable.
Sign up and create the administrator account
- Open Google’s Workspace pricing and signup page.
- Enter the requested organization, user-count, region, and contact details, then select a Business edition.
- Choose whether to use a domain you already control, acquire a domain through the signup flow if offered, or begin with a Gmail-based account and verify the domain later.
- Create the initial administrator account, complete the applicable billing or trial steps, and sign in to the Google Admin console.
Google’s organization setup guide separates instructions for one-person businesses, small businesses with 2–9 users, medium organizations with 10–300 users, and larger deployments. Use the path closest to your organization rather than treating every deployment as identical.
Verify that you control the domain
Domain verification proves control of the domain, helps prevent another account from claiming it, and unlocks domain-verified Workspace administration. Google generally asks you to publish a TXT record it supplies in your domain’s DNS. Add it at the authoritative DNS host, which may not be where your website is hosted.
- If Google cannot find the TXT record, check that it is published for the right domain and at the correct DNS host.
- Use the host/name field format required by your DNS provider; do not put the record under
wwwunless Google’s instructions say to. - Check whether the provider has added quotation marks or altered the value.
- Allow for DNS propagation, then inspect the public record with Google Admin Toolbox Dig.
Create users, aliases, and team addresses
Create individual user accounts before routing live mail to Google. Each person who needs a separate login and mailbox should have their own account at the company domain. You can add accounts one at a time or use bulk options for a larger team; Google’s user-addition guide describes the available approaches.

Use a user account for a person
A user account, such as [email protected], has its own sign-in and mailbox. Use consistent naming, collect recovery information, grant only necessary administrator privileges, and avoid sharing a single login among employees.
Use an alias for a secondary address to one person
An alias such as [email protected] can deliver to an existing user’s mailbox. It is not a separate login or independent mailbox, so it is appropriate when one person owns the address. See Google’s alias instructions.
Use a Group or shared-inbox workflow for a team
A Group can distribute mail to multiple members and may support collaborative workflows. For a team that needs to assign, audit, reply to, or retain messages independently, choose an appropriate Group or shared-inbox workflow rather than treating an alias as a full shared mailbox. Do not buy an additional user license for every simple alias unless the address needs its own login, storage, or independent ownership.
Switching from an existing email provider? Plan the migration first
If the domain already receives mail, decide how to preserve and move existing data before changing its MX records. Changing mail routing does not itself migrate historical messages, contacts, or calendars.
- New domain with no existing mail: Create users, route mail to Google, activate Gmail, then test.
- Existing IMAP mailbox provider: Inventory accounts and consider importing messages; handle contacts and calendar data separately where needed.
- Microsoft Exchange or Microsoft 365: Use Google’s available migration tools or plan a staged migration if users need a transition period.
- Small team: Pilot with a few users before switching everyone.
- Large or complex organization: Plan identity, routing, coexistence, retention, and deployment with the appropriate administrators.
Before cutover, record each mailbox, alias, forwarding rule, shared address, third-party sender, and required historical data. Notify users about sign-in changes, preserve access to the old provider, and test the migration. Google’s small-business quick start describes an import workflow for IMAP and a beta workflow for data from up to 10 Microsoft Exchange Online users; available tools and support can change.

Point your domain’s email to Google and activate Gmail
Google’s current general setup uses a single MX destination. Sign in to the authoritative DNS host for your domain, locate its DNS records, and configure the MX record as follows. The host field may be blank or @, depending on the provider; use its documented format.

Follow Google’s current MX instructions if your DNS provider uses different labels or formatting. Remove obsolete or conflicting MX records rather than simply adding Google’s record alongside an old provider’s entries. Google notes that older Workspace accounts may still use supported legacy aspmx values if mail is working; the current general setup uses smtp.google.com.
- Confirm the required Workspace users exist, and begin or complete your migration plan if the domain already has mail.
- At the DNS host, remove old or conflicting MX entries and add the Google MX record above.
- Save the DNS change and allow time for Google to recognize it. Google says recognition can take up to 72 hours.
- In the Admin console, go to Account → Domains → Manage domains, select the domain, and choose Activate Gmail.
- After activation, test incoming and outgoing mail rather than assuming the DNS change alone completed setup.
Set up SPF, DKIM, and DMARC
These DNS-based email-authentication measures help receiving systems assess whether mail is authorized and can reduce spoofing and delivery problems. Configure them for every service that sends as your domain; person-to-person Gmail working does not prove that website forms, newsletters, invoicing tools, or CRM messages are authenticated.
SPF: list authorized senders
If Google Workspace is the only service sending mail for the domain, Google gives this example TXT value:
v=spf1 include:_spf.google.com ~all
Add SPF in the domain’s DNS, not the Admin console. If other services send mail for your domain, their authorized sending mechanisms must be included in the same SPF record. Do not publish multiple separate SPF records; combine legitimate senders into one record and remove services you no longer use. Google says an SPF record can contain up to 10 include: mechanisms and that SPF authentication may take up to 48 hours to begin working. Subdomains may need their own SPF records. DKIM: publish the key Google generates for your domain
DKIM uses a domain-specific key, so there is no reusable TXT value to copy from an article. If the key is not available immediately after Gmail activation, Google says to wait 24–72 hours. Then follow this path:

- In Admin console, go to Apps → Google Workspace → Gmail → Authenticate email, and select the domain.
- Choose Generate New Record. Prefer a 2048-bit key if your DNS provider supports it; use the default
googleselector unless it conflicts with an existing key. - Copy Google’s generated TXT hostname and value into the domain’s DNS.
- Return to Authenticate email and select Start authentication.
- Allow for DNS publication, which Google says can take up to 48 hours. Send a test message to another Gmail or Workspace account, open Show original, and check
Authentication-Resultsfor a DKIM pass.
DKIM setup is unique for each domain. Follow Google’s DKIM instructions for the generated record and current controls.
DMARC: monitor before enforcing
DMARC tells receiving systems how to handle messages that fail authentication and where to send reports. First ensure SPF and DKIM work for all legitimate senders. A cautious rollout starts with a monitoring policy such as p=none and a monitored reporting address or service. Review reports, fix legitimate sending systems, and only then consider gradual enforcement such as quarantine or reject.
Do not apply an aggressive policy before auditing all the systems that send on your behalf: legitimate mail can be quarantined or rejected. Google’s DMARC guide explains setup. Google also states that bulk senders sending more than 5,000 messages per day to personal Gmail accounts must use SPF, DKIM, and DMARC; see its sender guidelines.

- Enable or enforce 2-Step Verification and keep recovery information current. Google’s organization guidance covers 2-Step Verification.
- Use a second super administrator so one lost or inaccessible account does not become the sole route to administration. Limit other administrator roles to the tasks people need.
- Review third-party app access, account recovery, spam and phishing controls, external sharing, and any mobile-device management needed for company-owned devices.
- Set an offboarding process. Suspend a departing user’s account while you assess data transfer and retention needs; do not delete it before handling required mail and files.
- Choose whether to configure a company logo, custom Gmail web address such as
mail.company.com, signature guidance, delegation, offline access, read receipts, routing rules, calendar sharing, or shared drives. - Review retention and legal-hold requirements with the people responsible for them; a Workspace subscription alone does not establish compliance with a particular law or industry standard.

Test mail flow before relying on it
- Send a message between two Workspace users, if you have more than one.
- Send from Workspace to an external Gmail account, then reply from that external account to the business address.
- Test every alias and Group address, and confirm the expected person or members receive the message.
- Test web Gmail and the mobile or desktop clients your team actually uses.
- Check that replies use the intended business address and that mail is not landing in spam.
- Inspect a test message’s authentication results for SPF, DKIM, and DMARC; separately test website forms and other automated senders.
- Use a DNS lookup tool to confirm the public MX record points to Google and that no unwanted old MX records remain.
- If migrating, compare the expected historical mail, contacts, calendars, forwarding, and shared-address behavior before retiring the old provider.
Troubleshoot common setup problems
Google cannot verify the domain
Check the authoritative DNS host, domain name, TXT record name and value, and whether the record was accidentally placed under www. Remove formatting changes such as unintended quotation marks, allow DNS propagation, and inspect the public record with Google Admin Toolbox Dig.
Mail does not arrive or still reaches the old provider
Check that you changed DNS at the authoritative host; the domain, host field, priority, and target are correct; obsolete MX records are removed; Gmail is activated in Admin console; and the recipient exists as a Workspace user, alias, or Group. Google allows up to 72 hours for MX recognition. Inspect public MX records with Admin Toolbox Dig.
SPF fails or automated messages go to spam
Make sure the domain has one SPF record that authorizes every legitimate sender, not just Google. Check website, newsletter, CRM, transactional-mail, and support systems separately; update SPF when adding or removing a sender. A Google-only record will not authorize other providers.
DKIM is unavailable or does not pass
Allow 24–72 hours after Gmail activation for key generation, verify that the generated hostname and value were entered correctly, allow DNS publication, and confirm Start authentication was selected in Admin console. Check a message’s original headers for the DKIM result.
An address does not behave like a shared mailbox
An alias delivers to a user’s mailbox and has no independent login or mailbox. For multiple people who need to handle a shared address, configure a Group or another appropriate shared workflow and test permissions and replies.
When another email platform may fit better
Google Workspace is the natural fit if the business wants Gmail and Google-native collaboration. Microsoft 365 may suit an organization standardized on Outlook, Exchange, desktop Office apps, Teams, SharePoint, or Microsoft identity; compare its business plans. Zoho Mail or Zoho Workplace may suit a business seeking a different, potentially lighter email and office-suite ecosystem; review Zoho Mail’s plans. They are alternative platforms, not ways to configure Gmail itself.
