How to Set Up a Crypto Payment Gateway: A Step-by-Step Guide for Merchants

A merchant’s guide to choosing a crypto payment provider, configuring settlement, integrating checkout, and testing payment status and reconciliation before launch.

To accept crypto payments, choose a provider and settlement method, confirm your business is eligible, complete onboarding, integrate checkout, and test payment confirmation and reconciliation before going live. The right setup depends on where your business operates, which assets and networks your customers can use, and whether you want to receive fiat or hold cryptocurrency.

How do you accept crypto payments?

Merchants generally choose among three approaches: a platform with built-in crypto support, a dedicated crypto payment gateway, or direct acceptance into a wallet the business controls. A gateway or platform can provide hosted checkout, payment-status notifications, and conversion or settlement services. Direct acceptance may offer more control, but the merchant takes on more responsibility for wallet security, transaction monitoring, and treasury processes. Stripe outlines these acceptance models in its business guide to accepting crypto payments.

Before comparing providers, write down the countries where you sell, the currencies or tokens customers need to use, the ecommerce platform or checkout you run, and the form in which you want to receive funds. These requirements determine whether a provider is actually usable for your business.

Step 1: Check provider eligibility and fit

Confirm the provider’s current merchant availability and approval requirements before building an integration. Check these points directly in the provider’s terms and documentation:

  • Merchant country: Is your business eligible to apply from its country of registration?
  • Customer coverage: Can customers in the markets you serve use the checkout?
  • Assets and networks: Which exact tokens and blockchain networks are supported?
  • Settlement: What currency will you receive, and where will it be deposited?
  • Storefront compatibility: Does the provider support your ecommerce platform or custom checkout?
  • Approval: What business information, compliance checks, or review steps are required?

Provider examples illustrate why these checks matter. Stripe’s cited stablecoin payment option requires merchants to request access and submit business information for review; Stripe says it is limited to US merchants and settles in USD. Coinbase’s business-account documentation describes USDC checkout with funds settling to a Coinbase Business account. BitPay documents settlement in fiat, cryptocurrency, or a configurable percentage of both. These are provider-specific terms, not universal features of crypto payment gateways. Review the current Stripe stablecoin availability information, Coinbase Business APIs and developer tools, and BitPay account setup documentation before deciding.

Step 2: Choose assets and a settlement policy

Start with the assets and networks your selected provider supports, not a generic list of popular cryptocurrencies. Then decide whether the business wants to receive cryptocurrency or have the provider convert proceeds into fiat, if that option is available.

Settlement choice What it means for the business Operational consideration
Fiat settlement The provider converts or settles payments into a supported fiat currency. Can reduce the need to hold crypto, but check the settlement currency, destination, conversion terms, timing, and fees in the provider’s current terms.
Crypto settlement The business receives cryptocurrency at a provider account or wallet destination. Plan wallet access controls, key security, treasury policies, and any conversion process the business may need.
Split settlement Where offered, the provider allocates proceeds between fiat and crypto. Confirm which split options apply to your account and how each portion appears in settlement and accounting records.

Write a customer-facing policy for prices, exchange-rate handling, and refunds before launch. Refunds may not work like card reversals: confirm the provider’s refund process and how it handles the asset, network, and amount to return. Stripe’s business guide discusses customer-facing pricing, exchange rates, and refund policies; consult your chosen provider for the rules that apply to your account.

Step 3: Apply for a merchant account

Complete the selected provider’s application and provide the requested business details. Do not treat an account signup as confirmation that crypto checkout is approved or available: providers may review the business before enabling production payments.

For BitPay, the documented sequence is to sign up for a business account, obtain compliance approval, configure settlement settings, and then choose an integration path. BitPay’s account setup guide gives a typical approval estimate of 5–7 business days; this is BitPay’s estimate, not a general gateway timeline, and actual timing can vary.

Step 4: Choose an integration route

Pick the simplest route that meets the needs of your storefront and operations. Available options depend on the provider.

  • Ecommerce plugin: Often the most direct option when the provider supports your shopping platform. Confirm that the plugin is current and supports the assets and checkout behavior you need.
  • Hosted checkout: The provider hosts the payment page, which can reduce the amount of payment-interface code your business must maintain.
  • Payment button: May suit a simple site without a full shopping cart. BitPay notes that its button has limited functionality.
  • SDK or code library: Useful for custom checkout when you want provider-supported tools for recurring integration tasks.
  • Direct API: Offers more control for a custom storefront, but requires your team to implement payment creation, status handling, and fulfillment safeguards.

Stripe describes integration through an API call or ecommerce plugin. BitPay documents plugins, buttons, SDKs, and direct API guidance in its account setup and integration documentation. Choose based on the features and support the provider currently offers for your account.

Step 5: Build the payment and order lifecycle

A gateway integration is not complete when it displays a wallet or payment address. Your system must associate the payment with the correct order and wait for trusted confirmation before delivering goods or services.

  1. The customer selects the crypto payment option at checkout.
  2. Your application creates a payment with the provider and associates the provider’s payment identifier with the internal order.
  3. The provider returns checkout details, which may include a hosted payment URL.
  4. The customer selects a wallet and supported currency or network, then authorizes payment.
  5. The provider updates the payment status and, where supported, sends a status notification such as a webhook.
  6. Your server validates the notification or checks the provider’s API for the payment status before fulfillment.
  7. Your order system records the final payment state and triggers fulfillment once, even if the provider retries a notification.

BitPay’s documented checkout flow uses a hosted payment URL, status webhooks, and API confirmation or webhook validation before fulfillment. Its guidance warns: “Cryptocurrency transactions are irreversible once "Complete" so caution should be exercised when securing applications.” That statement describes BitPay’s checkout status semantics; do not assume every provider or asset uses identical status labels. Read BitPay’s checkout integration guide and implement the confirmation method specified by your own provider.

Step 6: Test before production

Use the provider’s test environment where available and test the full path from order creation to final accounting record. Include both a normal payment and the failure or expiry conditions that your provider supports.

  • Confirm checkout displays the intended asset, network, and amount.
  • Check that the provider’s payment identifier is attached to the correct internal order.
  • Verify that status notifications are validated and that repeated notifications cannot trigger duplicate fulfillment.
  • Test pending, completed, failed, and expired states where available.
  • Check refund handling and customer communications.
  • Reconcile the provider’s settlement records against orders and accounting entries.
  • Confirm that staff know how to respond to payment-status questions.

BitPay says its test environment can simulate payments and recommends development and testing there before switching to production endpoints. Stripe’s business guide recommends small test payments before going live. Follow the test method supported by your provider; do not send a real payment unless the provider’s instructions call for it.

Step 7: Launch with reconciliation and support in place

Before enabling checkout for customers, make sure the team responsible for orders, finance, and support can find a payment by its provider identifier and understand how its status maps to fulfillment. Reconcile provider records with internal orders and settlements on a schedule that fits your transaction volume. Monitor webhook or API failures and establish a way to investigate orders that remain pending or do not reconcile.

Keep the customer-facing payment and refund policy accessible at checkout. If the business retains cryptocurrency, limit wallet access to appropriate staff and document who can authorize transfers or conversions. If the provider settles in fiat, verify that the settlement destination and reporting records match the business’s finance workflow.

Security and compliance responsibilities

Using a gateway can shift some payment processing and screening work to a provider, but it does not establish that every legal or operational obligation has been met. Stripe notes that merchants accepting crypto directly should consider controls such as banned-wallet screening, while a provider typically handles KYC/AML and sanctions checks. Treat that as general educational guidance, not legal advice or a guarantee about how responsibilities are allocated for every provider or jurisdiction.

Legal, tax, licensing, and sanctions requirements vary by location and business model. Consult qualified local legal and tax professionals about obligations that apply to your business, and verify provider terms before accepting payments.
