To stop AI tools from reaching confidential newsroom files, start with the data—not the vendor’s default settings. Classify newsroom information, approve each tool for specific uses, grant only the access those uses require, and assign someone to review and revoke that access. These are adaptable security practices, not a universal legal checklist.
What data can journalists safely put into AI tools?
There is no single safe-or-unsafe list that applies to every AI service. The answer depends on the sensitivity of the material, the tool’s configuration, who receives or can access the data, and the newsroom’s legal, contractual, and source-protection obligations.
Begin by inventorying what an AI tool could receive through prompts, uploads, retrieval collections, connected accounts, or plugins. Classify at least:
- Public information and published work.
- Unpublished drafts, investigations, and editorial plans.
- Source-identifying details and confidential communications.
- Personal information, credentials, and other security-sensitive data.
- Licensed or copyrighted material and internal business information.
Set the newsroom’s own classification names and handling rules with editorial, legal, security, and privacy leads. NIST’s Generative AI Profile recommends documented protocols and access controls for sensitive and confidential information, but it does not prescribe standard newsroom classification tiers.

Make permission specific to the combination of tool, account configuration, data class, and task. For example, approval to summarize public documents should not automatically authorize sending confidential source records to the same service.
How do I limit ChatGPT or another AI tool to approved newsroom documents?
Use the narrowest workable connection. If an AI assistant only needs a selected set of documents, avoid granting it access to an entire mailbox, drive, content-management system, or source database. A limited collection or carefully chosen manual upload may be more appropriate, depending on the task and the service’s data handling.
- Define the task and data boundary. Record what the tool is meant to do, which data class it may use, and which specific repository, folder, collection, or documents are in scope.
- Choose the minimum permission. Limit the integration to the required users, material, and actions. Do not grant write, publish, or administrative abilities if read-only access is sufficient.
- Document the authorization. Record who approved access, what is exposed, the type of access granted, and how long it lasts. Set an expiry date or a review point.
- Test the boundary. Check that the tool cannot retrieve material outside its approved scope. Treat unexpected retrieval as a configuration issue to resolve before use.
- Assign an owner. Name the person responsible for configuration, access reviews, and disabling the connection when it is no longer needed.
NIST’s AI Risk Management Framework (AI RMF) Playbook specifically advises documenting authorization, duration, and type of access controls for sensitive data. The workflow above adapts that guidance to newsroom operations; NIST does not define one required newsroom approval process.

What access controls should an AI policy include?
A useful policy should connect the newsroom’s data rules to the actual permissions and settings of each approved tool. For every approved use, record:
- The task, tool, account configuration, and responsible owner.
- Permitted data classes and the repositories or documents the tool may access.
- Allowed actions, such as read-only retrieval versus editing or publishing.
- Who authorized access, when it expires or is reviewed, and how to revoke it.
- What provider, plugin, connector, or other third party may receive or process data.
- Applicable retention, deletion, training-use, and administrator-access settings.
- Who verifies AI outputs before editorial use and handles errors.
Keep the record current when a tool, model, connected system, staff role, or provider term changes. NIST’s AI RMF is voluntary guidance, not a newsroom-specific regulation. NIST released AI RMF 1.0 on January 26, 2023, and says its Generative AI Profile was released July 26, 2024; apply it alongside relevant laws, contracts, source-protection duties, and organizational policy.
How should a newsroom protect AI accounts and administrator access?
Authentication and authorization address different risks. Authentication helps establish who is signing in; authorization determines what that person or integration can reach. Multifactor authentication (MFA) can protect an account from unauthorized sign-in, but it does not restrict which files an approved account—or an AI integration operating through it—can access.

Use managed accounts and account-lifecycle controls, especially for systems containing sensitive material. For higher-risk access, assess stronger authentication and phishing-resistant options against the newsroom’s identity provider, devices, and risk. NIST SP 800-63-4 says AAL2 requires multifactor authentication and calls for offering phishing-resistant options; its guidance describes phishing-resistant authentication at AAL3 as well. A compatible hardware security key may support sign-in protection, but it does not enforce document-level permissions.
How should a newsroom review AI vendors, plugins, and connectors?
Assess the whole chain, not just the main AI provider. A plugin or connector can create another route from newsroom systems to a service, and NIST’s Generative AI Profile flags risks where plugin inputs and content may be subject to inconsistent or insufficient access controls.

- What data it processes and where the data is sent.
- How long data is retained, how deletion works, and whether data may be used for model training.
- Which provider personnel, administrators, or subprocessors may access it.
- What permissions the connector requests and whether it can be narrowed.
- How to remove data, disconnect repositories, and revoke accounts or credentials.
Terms and settings vary by provider and can change. Verify the exact service configuration and connected components before use rather than assuming that one product setting applies to every account or plan.

Local deployment can reduce some forms of external data sharing, but it is not a security guarantee. The newsroom must still control access to the device, model, stored documents, logs, and network, and assess the risks of the particular setup.
A 2025 study by Nick Hagar, Nicholas Diakopoulos, and Jeremy Gilbert evaluated Gemma 3 12B, Qwen 3 14B, and GPT-OSS 20B across two corpora. The authors reported that the evaluated models ran effectively on standard desktop hardware, citing a system with 24 GB of memory as an example. That result describes the study’s setup; it is not a universal minimum, hardware guarantee, or procurement recommendation. The study also reported reliability variation and errors propagating through multi-stage synthesis, so outputs still need human review.

Compare options using the newsroom’s own documents and workflow. Check whether results can be traced to source material, how well the system handles errors, who maintains it, and who is accountable for editorial verification.
How should a newsroom respond if an AI tool gets access it should not have?
Decide in advance who can disable an integration and what must happen if data is exposed. The response plan should cover:
- Revoking credentials and disconnecting repositories, plugins, or other connected systems.
- Preserving relevant access logs and documenting what may have been exposed.
- Notifying editorial and security leadership, with legal or privacy leads involved as appropriate.
- Assessing whether affected sources, staff, or other parties need to be notified under applicable duties.
- Reviewing the cause and correcting permissions before any reconnection.
NIST’s AI security guidance treats traditional information-system security concerns as applicable to AI systems. Access ownership and a clear revocation path help turn that principle into an operational newsroom control.
