How to Set AI Data Access and Privacy Controls for Employees

Set employee AI privacy controls by approving workplace services, using managed accounts, correcting source permissions, checking provider terms, and reviewing integrations and audit coverage.

To control what company data employees can put into AI, approve specific workplace services, require managed work accounts, correct source-system permissions before enabling retrieval, and check the data terms and controls for each product, plan, and region. Then scope integrations, set retention and audit expectations, and give employees clear rules for permitted data and incident reporting. AI access controls do not fix files that are already overshared.

1. Approve the AI services employees may use

Start with an inventory, not just a blocklist. Include standalone chat services, AI features embedded in productivity suites, agents, and integrations that can reach company systems. Assign each approved service and feature to the employee groups that need it, and identify who owns its review.

Require employees to use company-authorized services and managed work accounts. Consumer and workplace accounts can have different terms and protections, even when they use the same product name. Microsoft’s employee guidance recommends using only company-authorized services; Google Workspace administrators can restrict Gemini access for organizational units or configuration groups.

Keep looking for unmanaged apps and shadow agents after initial rollout. A blocklist by itself cannot establish which services employees are using or what data those services can reach.

2. Use managed identities and least-privilege access

Where available, tie access to central authentication and role-based administration. Grant access only to the people and functions that need it; remove it when an employee changes roles or leaves. Scope settings by group or organizational unit when that is supported by the selected service and plan.

Available controls differ by product and entitlement. OpenAI lists SSO and workspace roles for ChatGPT Business, and additional SCIM and role-based controls for Enterprise and Edu. Google documents organizational-unit and group controls for Gemini. Verify current plan features and administrator permissions before relying on a particular control.

3. Fix source-data permissions before enabling AI retrieval

Review the access rules in the repositories an AI service may search: shared drives, sites, file links, groups, inherited access, and service accounts. Remove unnecessary broad sharing and confirm that group membership reflects current job responsibilities. Do this in the source system rather than expecting a prompt or AI setting to compensate for excessive access.

Microsoft says Copilot follows existing permissions and warns that overshared or poorly governed content can affect responses and increase risk. As Microsoft puts it, “Copilot only accesses data that users are authorized to access.” That describes the product’s authorization behavior; it does not mean the underlying permissions are appropriately narrow.

Google says Gemini’s access to Workspace data follows the signed-in user’s access rights, while some file-owner restrictions can limit Gemini access even when a file is shared. Check the actual repository permissions and owner restrictions for the content employees will use.

4. Verify the data terms for each service and account

For every approved service, record whether employees use a consumer account, managed work account, enterprise workspace, or API. Review the applicable contract and data-processing terms for that exact arrangement. Confirm how prompts, uploads, and connected source data are handled, whether they may be used for model training, what retention and deletion rules apply, and whether regional commitments cover the account in question.

Vendor claims are specific to their products and arrangements; do not transfer a commitment from one account type or service to another. Microsoft says organizational Copilot use is covered by Microsoft Product Terms and its Data Protection Addendum, and that Copilot prompts, responses, and accessed Graph data are not used to train foundation models. Microsoft also says controls vary by subscription.

Google distinguishes Gemini as a qualifying Workspace core service, which receives Workspace enterprise data protections, from Gemini used as an additional service under Google consumer terms. Google says existing Workspace protections, including data-region policies and DLP, apply to qualifying Workspace use. Confirm that the employee’s account and configuration qualify.

OpenAI lists a DPA and data-residency options for business offerings. Check the terms and available residency options for the selected plan and workspace rather than assuming that all ChatGPT accounts have the same arrangement.

5. Review connected apps, agents, and actions

Assess each connector or agent separately. Record what information it requests, the scope of its permissions, whether it can read or write, which provider receives data, and what activity is logged. Disable integrations that are not needed and choose the narrowest available permission scopes.

OpenAI says information sent to non-synced third-party apps is governed by the third party’s own terms. App activity logs and compliance API coverage vary by app and workspace configuration, and safeguards reduce—but do not eliminate—prompt-injection and unauthorized-access risks. Do not assume administrators can see every employee interaction: OpenAI says Business administrators do not automatically have access to ordinary private conversations.

6. Set retention, DLP, audit, and incident expectations

Map the controls your policy requires to controls the selected product actually provides. Where supported, configure DLP, sensitivity labels, retention policies, audit events, and security dashboards. Decide who reviews alerts, investigates suspected disclosures, and preserves records when an incident occurs.

Microsoft documents DLP and governance dashboards for Copilot, but says policy support varies by subscription. Google documents administrator controls for Gemini conversation history and retention; settings and defaults can change, so check the live Admin Help documentation for the applicable edition and configuration. OpenAI cautions that app activity and compliance logging coverage varies.

Before promising an audit or legal record, test what is captured, how it can be exported, and which activities are missing. Align retention and incident procedures with your organization’s requirements and applicable jurisdiction; this guide does not determine those obligations.

7. Give employees usable rules and training

Tell employees which service and account to use, what data may or may not be entered, and how to report an accidental disclosure. Address customer, employee, regulated, confidential, and privileged information explicitly. Explain how to verify AI output before relying on it, especially for decisions affecting customers or business records.

Microsoft’s workplace guidance advises employees to use company-authorized services, handle inputs cautiously, avoid sharing sensitive or confidential information, and double-check AI output. Adapt those principles to your organization’s actual policy, industry, and jurisdiction.

8. Compare platforms on controls, not product names

If you are choosing among platforms, evaluate the control that matters and verify its availability for the plan and configuration you intend to use. The following summarizes vendor-documented distinctions; it is not an independent product test.

Microsoft Copilot Controls depend on subscription; verify coverage for the organization’s selected license. Microsoft says Copilot respects the organization’s identity model and permissions, inherits sensitivity labels, and follows administrator settings. Oversharing can affect results and increase risk. Microsoft ties organizational use to its Product Terms and Data Protection Addendum; it says prompts, responses, and accessed Graph data are not used to train foundation models. DLP, audit, retention, and other policy support vary by subscription.
ChatGPT Business OpenAI lists SSO and workspace roles, along with MFA and GPT controls, for Business. Confirm the applicable business terms and workspace configuration; do not infer settings from consumer ChatGPT. OpenAI lists a DPA and data-residency options for business offerings. Third-party app terms and logging vary; ordinary private conversations are not automatically visible to Business administrators.
ChatGPT Enterprise or Edu OpenAI lists SCIM and role-based access controls in addition to business workspace controls. Confirm the selected workspace’s data boundaries and account configuration. OpenAI lists a DPA and data-residency options for business offerings. App logs and compliance API coverage depend on the app and configuration.
Google Workspace with Gemini Google documents access controls by organizational unit or group, subject to edition and configuration. Qualifying Workspace Gemini use receives Workspace protections; Gemini access follows the signed-in user’s Workspace permissions, with some content-owner restrictions. Google distinguishes qualifying Workspace core-service use from Gemini as an additional service under consumer terms. Workspace protections such as data-region policies and DLP apply to qualifying use.

For each candidate, also assess MFA, provisioning and deprovisioning, source-system coverage, third-party terms, exportable audit events, data residency, and fit with the organization’s existing identity and productivity environment. If a control or entitlement is not established for the selected plan, verify it with the provider before deployment.

9. Recheck the configuration as services and work change

Set a recurring review of approved services, employee groups, source permissions, app scopes, data terms, retention settings, and audit coverage. Reassess when a provider changes its product, plan, terms, or logging; when new connectors or agents are introduced; and when employees’ access needs change. The goal is for actual configuration—not just written policy—to match the rules employees have been given.
