Say when you are leaving if relevant, thank the person or team for something specific, wish them well, and share personal contact details only if you want to stay in touch. A farewell message is optional—not an employment requirement—but it can be a courteous way to show appreciation and preserve relationships.
How to write a coworker farewell message
Use these elements as a flexible guide, not a required script:
- Give the news or context. If you are leaving, say so and mention your final day when appropriate. If a coworker is leaving, acknowledge their departure.
- Offer specific thanks. Mention a contribution, shared project, useful advice, or support you genuinely appreciated.
- Wish them well. Make the wish fit what comes next, whether that is a new role, retirement, relocation, or another transition.
- Decide whether to share contact details. Include a personal email address or other contact route only if you are comfortable staying in touch.
Keep the message positive and protect privacy. Do not include confidential information, unannounced plans, or grievances about the workplace in a general farewell.
Choose the right format and audience
A conversation, email, letter, or handwritten card can all work. Let the relationship and workplace determine the format and level of detail.

There is no universal rule for who must receive a farewell. Tailor the recipients to the size of the organization and your relationships; not every person at the company needs an individual message.
When to send a farewell
If you are leaving, sending a note on or just before your final day gives colleagues an opportunity to respond before you lose access. A company-wide or department message may go out that morning. If you are writing to a coworker who is leaving, send your message before their final day when possible, or give it to them in person if that fits your workplace.

Short message to a team when you are leaving
Hi everyone, Friday is my last day at [Company]. Thank you for making this such a supportive team to work with. I’ve especially appreciated working with you on [project or memory]. Wishing you all the best, and I hope we’ll stay in touch at [contact detail, if desired].
Personal note to a close coworker
Thank you for your advice and encouragement, especially when we worked on [specific moment]. I’ve learned a lot from you and will miss working together. I’m excited to see what you do next, and I’d love to keep in touch.

Message to a departing coworker

Adjust the message to the situation
If you are leaving
Thank the people who made a difference and, if you like, mention a positive shared experience. You can briefly say what comes next if that information is appropriate and public. You do not need to explain private details or turn the farewell into a discussion of workplace problems.
If a coworker is leaving
Recognize a quality or contribution you valued, thank them, and wish them well. Keep the focus on the person and their next step rather than making the message about yourself.

If you are writing to a wider group
Keep the message inclusive and concise. A general note can thank the team as a whole without assuming that everyone shared the same history or level of closeness.
How long should a farewell message be?
There is no fixed length. For a group note, a few sentences are usually enough to announce the departure, express thanks, and offer a good wish. A personal note to a close colleague or mentor can be longer if you have a meaningful example or appreciation to share. Make the message as detailed as the relationship warrants, not longer just to fill space.
