A mismatch can begin before the matching step: a missing bank feed, failed document import, incorrect field mapping, currency difference, or unapplied ledger entry can all leave a legitimate payment unmatched. Review platform suggestions against source records, and keep an unexplained difference in an exception queue rather than forcing a match.
What a payment mismatch means—and what to verify first
A customer’s remittance advice and a bank record establish different facts. The advice shows what the customer intended to pay; bank-confirmed payment proof shows what was received. Salesforce’s documented reconciliation workflow compares both with open invoices, so neither document alone proves that the full payment was received and correctly applied. Use the bank receipt as the anchor for tracing the transaction. Gather the bank statement line or other bank confirmation, the remittance advice if available, and the relevant open invoice or credit memo records. Confirm the bank account and period, then compare the amount, currency, payer or customer identity, references, invoice identifiers, and allocation lines across each stage.
Trace the mismatch from source to ledger
1. Confirm the receipt and intended allocation
Check whether the bank record is a receipt for the expected account and period. Compare its amount and currency with the advice and determine whether the customer intended to pay one invoice or several. Note partial payments, credits, discounts, deductions, or other reasons the advice total may differ from the bank amount or invoice balance. Do not treat a customer’s advice as proof that the bank received the stated amount.

2. Verify that both records reached the platform
Check the bank feed or statement-import status and confirm that the remittance or payment-advice document is present in the platform. Review the source or staging record for its transaction date, amount, currency, payer or reference, invoice details, and batch or document identifier.
A payment that is absent from reconciliation may have failed to arrive before matching began. Salesforce lists connector failures, missing data, stale Process Content refresh, and empty Document AI output among issues to check in its workflow. Confirm that the source transaction exists and the import or document-ingestion path completed before changing a ledger entry. Salesforce Help: Automate Payment Reconciliation.
3. Compare extracted values with the original document
If the advice is present but blank or incomplete, inspect the extraction result and the transformation into downstream fields. Compare each extracted value with the source document, especially invoice numbers, references, decimal values, currency, and customer identity. A blank or shifted invoice number, truncated reference, misread decimal, or missing currency can block matching even when the payment itself is valid.

Salesforce describes a workflow in which Document AI extracts structured data and batch transforms prepare Billing fields. Check that the output fields contain the expected values and data types, and that the relevant content processing has refreshed. Salesforce Help: Automate Payment Reconciliation.
4. Check the matching criteria and allocation
Start with currency where the platform uses it as a matching condition. Salesforce checks currency ISO codes before evaluating other match criteria. Then compare the payment amount, customer, reference or bank text, invoice numbers, and open balances. Confirm whether the bank receipt should clear one entry or multiple entries.
In Business Central, payment text and entry information are used to apply payments to open ledger entries; automatic application can fail when amounts differ or a related entry is missing. A valid receipt may therefore remain unmatched if the intended invoice is not available as an open entry or the allocation does not agree with the records. 5. Review candidates and exceptions before posting
Open the unmatched transaction and compare any suggested invoices or ledger entries with the bank record and remittance advice. A suggestion is a candidate, not proof that the application is correct. Business Central allows users to review and change automatic applications before posting; unresolved items can be handled manually after reviewing the suggestions. Keep a note of the evidence supporting any manual allocation so the audit trail explains the decision.
Salesforce directs AR staff to review matched and unmatched reconciliation records. If a source import or mapping is wrong, correct it and reprocess under your platform’s controls. If the receipt is real but the related invoice is missing, locate the correct open entry or route the item for investigation. Leave an unexplained amount difference in an exception queue; do not force a match or create an unsupported write-off.
6. Separate bank reconciliation from invoice application
A bank receipt can be correctly recognized as cash while still being unapplied to the customer’s invoice. Business Central supports reconciling a bank account without simultaneously applying payments, as well as applying bank-recorded payments to open entries. Salesforce Billing
Salesforce documents a sequence that ingests payment advice and bank-proof documents, extracts structured data with Document AI, transforms data for Billing, matches advice against bank proof and open invoices, and presents matched or unmatched results for AR review. The documented feature is for Lightning Experience in Enterprise, Unlimited, and Developer editions with a Revenue Cloud Billing license. Microsoft Dynamics 365 Business Central
Business Central documents importing bank statements or feeds into the Payment Reconciliation Journal, applying payments to open ledger entries using payment text and entry information, reviewing or changing automatic applications before posting, and handling payments that do not apply automatically.
