Prepare by deciding what you want from the event, confirming its entry and pass rules, building a realistic agenda, and sorting travel and packing details before you leave. Because conference policies differ, use the organizer’s current attendee guide as the authority for badges, identification, bags, accessibility, and digital entry—not another event’s checklist.
Decide what would make the event worthwhile
Start by naming your main goal: learning, meeting peers, finding vendors, recruiting, presenting, or exploring. That goal helps you choose which event to attend and how to spend your time once you arrive. A guide for first-time academic conference attendees similarly recommends choosing an event that fits your intellectual and professional goals: ASIS&T’s first-conference guide.
When comparing events, weigh the relevance of sessions and speakers, who is likely to attend, which activities your pass includes, the quality of networking opportunities, accessibility support, venue and travel demands, and total cost. Check whether workshops or other programming require a particular pass; Black Hat Asia’s attendee guidance, for example, notes that some programming is pass-specific. Don’t assume that a general admission ticket covers every session.
If you plan to present, exhibit, or attend a ticketed workshop, check the separate submission, equipment, or pass requirements with the organizer. Those roles can bring additional rules beyond ordinary attendee access.

Confirm registration and entry before traveling
Open the event’s current official attendee guide and verify your registration, the name on your ticket, what your pass includes, badge collection hours and location, and any requirements for identification or digital credentials. Requirements can vary even at large events: CES’s attendee guide requires government-issued photo ID for on-site badge pickup, while CEATEC’s 2026 visitor guide tells visitors to bring a device displaying their entry QR code. These are examples, not rules to apply to other events.
Check whether a group member can collect your badge, what entrances to use, and whether your credential must be shown on a phone or printed. Follow the organizer’s current digital-entry instructions; save or screenshot essential details as a backup in case connectivity is poor.

Build an agenda you can actually follow
Use the event’s official app or website to review sessions, exhibitors, maps, speaker information, and any attendee or meeting features. Set up your profile if needed, then mark a small number of priorities rather than trying to attend everything. PTC’26’s app, for example, included personal schedules, maps, an attendee directory, exhibitor information, and meeting planning.
Allow time to cross a large venue, find rooms, eat, and take breaks. Black Hat Asia suggests organizing each day around three anchor points; treat that as a useful planning technique, not a universal quota. Keep some room in the schedule for a session that runs long, an unexpected conversation, or a change of plan.

If meeting people is a priority, arrange a few intentional conversations in advance and use the event app’s directory or scheduling tools when available. Leave space for informal introductions, too. After the event, follow up on promised notes or introductions and record useful contacts and ideas while they are fresh.
Arrange travel, accommodations, and access needs
Confirm your transport, lodging, venue address, entrance, and route from your arrival point. Leave a buffer for traffic, security, and badge pickup; CES advises attendees to plan ahead and allow extra time, though its venue-specific early pickup arrangements should not be assumed at other shows.
Contact the organizer early about accessibility services, dietary needs, or other accommodations. Each event sets its own process and deadlines, so check the relevant attendee information rather than assuming a service is available or arranged automatically.
For international travel, check entry and visa requirements with authoritative government sources, and verify the destination’s plug type and voltage before choosing a travel adapter. The ASIS&T AM26 FAQ recommends keeping digital and paper copies of travel documents in separate places. Its adapter advice is specific to travel to Thailand; check the requirements for your own destination.

Pack for access, comfort, and venue rules
- Entry details: Bring the photo ID, ticket, badge-pickup information, or QR credential the organizer requires. Keep digital credentials accessible and follow the event’s instructions.
- Phone and power: Install the official event app if there is one, and bring a charger. A portable power bank can be useful; CEATEC recommends a portable charger, while Black Hat Asia recommends arriving with a fully charged device. Check whether the venue permits your chosen charger.
- Comfort: Wear comfortable walking shoes and consider a light layer for cool rooms or changing conditions. CEATEC’s official 2026 visitor guide says, “The venue is large and involves a lot of walking.” That advice reflects CEATEC’s venue; other venues may have different demands.
- Water: Bring a bottle only if the venue’s allowed-item rules permit it. Black Hat Asia recommends one, but that does not establish a rule for other events.
- Contact sharing: Business cards are optional. CEATEC recommends them for exchanges with exhibitors; sharing a professional profile or contact details digitally is another option.
- Bags: Pack light and check permitted bag sizes and types. CES’s published attendee policy describes bag searches, allows two small bags within its specified dimensions, and disallows rolling bags. Those limits apply to CES, not conferences generally.
Make the day easier once you arrive
Allow enough time to reach the venue, pass through security, and collect your badge. Keep credentials accessible and follow badge-display instructions; PTC’26, for example, says its badge is required and must be worn to access sessions and exclusive networking areas.
Use the map and schedule to adjust when a room, session, or priority changes. Take breaks, ask questions, introduce yourself, and make a note of conversations that need follow-up. Internet2’s attendee guidance explicitly encourages breaks, questions, introductions, and post-event follow-up. A short debrief after the event can help turn sessions and new contacts into useful next steps.
