In TallyPrime, making a bill has three separate parts: recording the sales transaction, choosing or customizing the invoice layout, and printing or sharing the finished document. This guide covers the current workflow, including templates, logos, tax fields, payment links, QR codes, PDFs, bilingual invoices, and common printing problems.
The steps reflect TallyPrime Release 7.1, released on May 20, 2026. Menu names and available fields can vary by release, country, tax configuration, and localization.

Before you make a bill
Prepare the following before recording the invoice:

- An opened TallyPrime company with its mailing address and applicable tax-registration details.
- A customer or party ledger.
- A sales ledger.
- Stock items, units of measure, rates, opening stock, or service ledgers, as applicable.
- Configured GST, VAT, or other country-specific tax settings.
- Correct invoice numbering and voucher-type settings.
- A working physical printer or PDF printer installed in the operating system.
- Your logo, bank details, payment terms, signature, QR-code information, and other branding assets if they will appear on the bill.
Tax fields, invoice wording, e-invoicing requirements, bilingual output, and payment methods differ by country. A format suitable for India may not satisfy requirements in the UAE, Qatar, Kuwait, or another market.

How to make a sales bill in TallyPrime
- Open the relevant company.
- Open the Sales voucher. The exact Gateway path or shortcut can vary by edition and localization, so use the Sales option shown in your installation.
- Select the customer or party ledger.
- Enter the sales ledger or select the stock items being sold.
- Enter quantities, units, rates, discounts, and applicable taxes.
- Check the customer details, invoice date, invoice number, tax amounts, and final total.
- Add payment terms, reference information, narration, or other business details required by your process.
- Save the voucher, then reopen the saved voucher when you are ready to print or share it.
Use an item invoice when inventory quantities, rates, units, and stock movement must be recorded. Use an accounting invoice for a service- or ledger-based transaction where inventory is not involved. Retail businesses may need the separate POS invoice workflow.
Recording the voucher creates the accounting entry. It does not automatically mean every field will appear on the printed document.
How to print a bill
- Open the saved sales invoice or the report containing it.
- Press Ctrl+P (Current).
- Press C (Configure) if you need to change print settings.
- Press I (Preview) and inspect the complete document.
- Press P (Print) to send it to the selected printer.

Check the voucher status before printing. If the voucher is marked optional, TallyPrime prints it as a Proforma Invoice, not as a final invoice.
Print on paper or to PDF
For paper, select the required physical printer. For a PDF, select a PDF printer such as Microsoft Print to PDF, preview the result, and save the file when the operating-system dialog appears.
Printing to a PDF printer and using TallyPrime’s export or share functions are separate workflows. Their output may not be identical in every template or localization. If you need to email or send an invoice through WhatsApp, use the available export or share option after checking the generated document.
How to choose an invoice template
TallyPrime Release 7.1 introduced template-based invoice customization with seven ready-to-use invoice templates and greater consistency across print, export, and share workflows.

- Press Ctrl+H (Change Template).
- Browse the default, predefined, or previously saved templates.
- Select a template and preview it.
- Use Alt+L to make the selected template the default where appropriate.
You can retain the default Tally Classic-style format, select a predefined design, or use a saved custom template. A template may be saved for the current company or for all companies on the computer. Choose that scope deliberately: saving it broadly can affect other companies or users on the same computer.
Use the default format when compatibility and tax-field coverage matter more than branding. Tally’s documentation notes that newer templates may not support some older VAT, Service Tax, or Excise fields; the default format may be required for those fields depending on the country and release. Use a modern template when you need a logo, branded colours, bank details, signatures, watermarks, or payment terms.
How to customize a TallyPrime bill
Add or remove fields
- Open the invoice and press Ctrl+P (Current).
- Press Ctrl+H (Change Template).
- Press F4 (Add/Remove Field).
- Select available fields such as bank details, contact information, or other supported data.
- Press Ctrl+A to save.
A field can exist in the voucher but be absent from the printed bill. First check whether it is enabled in the template and print configuration; re-entering the transaction may not be necessary.

Change titles and field appearance
- Open the template through Ctrl+H (Change Template).
- Press F9 (Edit Fields Properties).
- Select the field and press F6 (Edit Properties).
- Change the title, font, size, colour, alignment, or background where supported.
- Save and preview the template.
For example, you may change the printed title from Invoice No. to Bill No. if that matches your business terminology. This is a presentation change, not proof that the document meets local legal requirements. Do not replace legally required wording merely for appearance.

Change fonts and colours
- Open the template.
- Press F8 (Font & Colour).
- Adjust the font, theme colour, page background, or font colour available for the selected template.
- Press Ctrl+A to save and preview the result.
Template-based customization can also support image headers and footers, logos, watermarks, signatures, and terms and conditions. Configure the image or signature in the relevant template section, then confirm it appears in preview.
TallyPrime is not a completely free-form desktop-publishing tool. Field positions cannot generally be dragged anywhere on the page. If a layout does not suit your business, choose another template or use advanced customization rather than expecting unrestricted drag-and-drop editing.
Add bank details, payment terms, or branding
Enter the underlying bank, contact, payment, and company information in the appropriate company, ledger, or voucher settings first. Then use F4 (Add/Remove Field) or the relevant template section to display it. Preview the document to verify that the data is populated and not merely enabled as an empty field.

Payment links and QR codes require the voucher to contain the required payment data and depend on supported payment configurations. A visual template alone cannot create a valid payment request.
- Open the sales invoice.
- Press Ctrl+P (Current).
- Press C (Configure).
- Set the payment-request method to Link, QR Code, or Link & QR Code, where available.
- Preview and then print or export the invoice.
UPI QR codes are relevant to supported Indian configurations; do not assume UPI or any particular payment method applies in another country.
Add a custom field
For a field not available through normal configuration:
- Open the invoice and press Ctrl+P (Current).
- Press Ctrl+H (Change Template).
- Press F7 (Custom Field).
- Select the relevant template section.
- Enter the custom-field code expression, title, and system formula.
- Save and test the result in preview and in the final output format.
This is an advanced feature. The formula may require TDL knowledge or help from a Tally solution partner. Tally’s FAQ also states that custom fields cannot be added directly to the item table. Item-specific information must instead be captured in the transaction and displayed through supported fields or another supported custom-field location.
How to save a template and make it the default
After selecting and customizing a template, save it with the intended scope: the current company or all companies on the computer. Then use Alt+L where the screen offers the option to use it as the preferred template. Test the default on the voucher type that will use it.

Keep a simple backup or record of the original configuration before making broad changes. If another company suddenly prints with your design, check whether the template was saved at the all-company level.
Configure the printer and copies
TallyPrime’s print settings and the operating system’s printer properties are separate layers.
- Press Alt+P (Print).
- Select Configuration.
- Select Printer.
- Choose the required printer.
- Open its printer properties and set the paper size and other driver-level options.
- Save, preview, and print one test page.
A correct TallyPrime paper setting cannot fix a printer driver configured for the wrong size or scaling.
To set multiple voucher copies, use Alt+P (Print) > Configuration > Show More > Set no. of copies for printing vouchers, then specify the number under printer settings. The printer driver or final print dialog may also affect the number of physical copies.
Long invoices, page numbers, and bilingual output
Reduce unnecessary repetition
For an invoice that spills across pages, go to Alt+P (Print) > Current > Configure and search for Optimize Printing to Save Paper. Enable the option and choose which details should appear from the second page onward. Preview again: removing repeated information can save paper, but later pages must still identify the invoice and explain the line items clearly.
Show page numbers
In the print configuration, look for Show Page Number under Ctrl+P (Print) > C (Configure). Context-sensitive screens can differ by document type, so confirm the setting in the invoice preview.
Print Arabic or bilingual invoices
Arabic and bilingual printing is country- and configuration-specific. In supported configurations, enable local-language mailing details under F11 (Features), enter the company name, address, and region in Arabic where required, configure the Arabic invoice title and declaration, then open the sales or POS voucher and use Ctrl+P (Current) > C (Configure) to select English, Arabic, or bilingual output.

- Correct customer name, address, tax number, and contact details.
- Correct invoice number and date.
- Correct item or service descriptions, quantities, units, rates, discounts, and taxes.
- Accurate subtotal, tax total, rounding, and grand total.
- Required bank details, payment terms, signature, and payment information.
- Correct template and company scope.
- Correct paper size, printer, margins, and page numbering.
- Final invoice rather than an optional voucher printed as a proforma.
- Readable preview with no clipped logo, missing field, blank page, or broken QR code.
Troubleshooting common problems
The logo does not print
Check Ctrl+H (Change Template) and confirm that the intended saved template is active. Verify that the image was added to the correct header or footer section and that the output has not fallen back to the default format because of an incompatible template or file format.
A field exists in the voucher but not on the bill
Check F4 (Add/Remove Field), confirm that the selected template supports the field, verify that the voucher actually contains its value, and check that TallyPrime is not using the default format instead of the saved template.

The invoice title is wrong
Use F9 (Edit Fields Properties), select the title, and use F6 (Edit Properties). Changing the title does not by itself make the document legally compliant.
The bill prints as a proforma
Check whether the voucher is marked optional. Optional vouchers print as Proforma Invoices.
The output is cropped or uses the wrong paper
Check both TallyPrime’s printer configuration and the operating system’s printer-driver paper size, margins, orientation, and scaling. Preview and test one page before printing a batch.
The invoice uses too many pages
Use Optimize Printing to Save Paper, then choose which details repeat from page two onward. Keep enough identifying and line-item information for every page to remain understandable.
The template is not applying
Confirm the selected template, its saved scope, the voucher type, and the output format. An incompatible combination can fall back to the default invoice format.
Older tax fields are missing
Newer templates may not support VAT, Service Tax, or Excise fields in some configurations. Try the default Tally Classic-style format and confirm the requirement for your country and release.
When you need TDL or a Tally solution partner
Normal template controls are usually sufficient for logos, colours, supported fields, signatures, bank details, payment terms, and standard layout changes. Consider TDL or a solution partner when you need formula-driven content, unusual business logic, fields unavailable in the template editor, special integrations, or one controlled design across several voucher types and output channels.
Release 7.1 reduces the need to recreate an entire invoice layout in TDL, but it does not remove the need for development in every advanced case.
Is TallyPrime the right billing tool?
TallyPrime is a strong fit when the business already uses Tally for accounting, inventory, tax workflows, and local accountant support. It is less suitable for someone who only needs occasional invoices, wants a browser-first collaborative workflow, or expects a fully free-form design canvas.

A cloud accounting product such as Zoho Books may suit a remote team that prioritizes browser access, collaboration, portals, and integrations. Its plans, TallyPrime pricing, tax treatment, and availability vary by country and change over time, so compare current official pages rather than applying Indian pricing to another market. You do not need to buy a new product merely to print bills if you already have an active TallyPrime installation.
