Keep a dated, reconciled record of every crypto event and retain the original evidence behind it: exchange statements, confirmations, bank or payment records, and wallet details where available. This makes it possible to show what you acquired or disposed of, how much moved, its value in reais, and whether an apparent sale was actually a transfer between your own wallets. Brazil’s reporting rules are changing: transactions made from July 2026 fall under DeCripto, so do not assume that older filing thresholds or deadlines still apply.
Build one record that connects each transaction to its evidence
A spreadsheet or recordkeeping tool should work as an index to your source documents, not as a substitute for them. Receita Federal’s 2026 IRPF Questions and Answers says taxpayers must keep documentation proving the authenticity of cryptoasset acquisitions and disposals. The agency does not prescribe a particular ledger format or an exhaustive list of documents.
- Collect original records from every source. Download exchange statements, trade confirmations, deposit and withdrawal histories, and account ownership records. Save bank or payment evidence for fiat transactions. For self-custody activity, keep wallet records and, where available, the blockchain transaction hash and sending and receiving addresses. For gifts or other unusual events, retain supporting documents and a short explanation.
- Keep originals unchanged. Save each export in its original form, note when you obtained it and which account and date range it covers, then make a separate working copy for cleaning and reconciliation. Record whether the export includes fees, deposits, withdrawals, and internal transfers.
- Create one chronological ledger. Use one row per event and link the row to its source file or confirmation. A practical set of fields is shown below.
- Reconcile the timeline. Compare starting and ending balances with the records from exchanges and wallets. Match withdrawals to deposits when you moved assets between accounts you control, and explain unmatched entries rather than silently treating them as sales.
- Preserve and back up the file. Organize records by tax year and platform or wallet. Keep a separate secure backup and limit access to sensitive account and wallet information.
What to record for each event
Include enough detail to identify the event and reproduce how you calculated its value. Use the precision and timestamps shown by the relevant platform or blockchain, and note the timezone.
- Event identity: a unique event ID, date and time, event type, and the source record.
- Asset and amount: ticker plus the full asset or network identification when symbols could refer to different assets; quantity received and quantity sent.
- Value and costs: gross value in BRL, fees in BRL, and the valuation source or method. Retain the original foreign-currency amount and exchange record if the transaction was priced in another currency.
- Where and with whom: platform or counterparty, account identifier, and whether the provider is domiciled in Brazil or abroad. Keep statements that connect the account to you.
- Wallet movement details: sending and receiving addresses and transaction hash when available. Under the legacy IN RFB 1.888/2019 rules, wallet addresses were to be supplied if requested in a tax procedure; that does not mean every address had to be included in every ordinary report.
- Event evidence and explanation: order or trade confirmation, export, payment receipt, wallet receipt, explorer record, gift documentation, or a note explaining the movement and linking it to supporting evidence.
A useful ledger can include event_id, date_time, asset, network, event_type, quantity_in, quantity_out, gross_value_brl, fee_brl, platform_or_counterparty, account_or_wallet, tx_hash_or_order_id, source_file, ownership_or_transfer_note, and reconciliation_status.

Classify activity accurately, including swaps and self-transfers
Do not record only conversions to or from reais. The legacy IN RFB 1.888/2019 framework listed purchases and sales, exchanges, donations, transfers to or withdrawals from an exchange, temporary assignments, payments in kind, issuance, and other transfers. That list is useful when checking whether your history has gaps, but it is not a substitute for checking the current DeCripto rules.
For each movement, state whether it was an acquisition, sale, crypto-to-crypto swap, gift, payment, lending or temporary assignment, issuance, withdrawal, deposit, or transfer. When you move crypto between wallets or exchange accounts you control, record both sides and identify common ownership. A withdrawal from one platform and a deposit to another can otherwise look like a disposal when the records are reviewed separately.

A swap from one cryptocurrency directly into another can have individual income-tax capital-gain consequences even if you received no fiat currency. Receita Federal’s 2026 IRPF Questions and Answers says the disposal value is assessed in reais at the market value on the date the replacement asset is received. Keep the trade confirmation and the information used to establish that BRL value.
Separate DeCripto reporting from older rules
Transactions from July 2026: check DeCripto’s current procedure
Receita Federal says cryptoasset transactions made from July 2026 are reported under DeCripto, Brazil’s framework aligned with the OECD Crypto-Asset Reporting Framework. Its DeCripto materials page lists IN RFB 2.291/2025, ADE Copes 2 dated 31 December 2025, a version 1.0 layout manual, and version 1.0 layouts. Consult the current instruction and manual to determine whether your circumstances trigger an individual filing, which fields apply, and what deadline and channel to use. Those details should not be inferred from the legacy system.

IN RFB 1.888/2019: historical thresholds and deadlines
The often-repeated R$30,000 monthly threshold belongs to the legacy IN RFB 1.888/2019 framework. Under that regime, Brazilian-resident individuals and legal entities had to report specified activity on foreign exchanges or outside exchanges when monthly transaction totals, individually or together, exceeded R$30,000. Brazilian-domiciled crypto exchanges had reporting duties without that value threshold. The legacy rules covered more than fiat conversions.
An older government service page still describes legacy deadlines: covered individuals and companies reported by 23:59:59 Brasília time on the last business day of the month after the transaction month, while Brazilian-domiciled exchanges reported annually by the last business day of January for the previous calendar year. The page cites IN RFB 1.888/2019; these dates are not confirmed DeCripto deadlines.

Recordkeeping supports more than one tax obligation, and satisfying one requirement does not establish that another has been met.

- Evidence for income tax: Receita Federal’s 2026 IRPF Questions and Answers requires documentation proving the authenticity of acquisitions and disposals. A commonly repeated R$35,000 monthly disposal exemption appears in that publication in a passage expressly limited to rules through 31 December 2023. Do not treat it as a verified current exemption without checking later rules and your circumstances.
- Assets in the online individual return: Receita Federal’s 2026 manual, updated 26 May 2026, says cryptoassets are declared at original acquisition value, not current market value. It gives a threshold of acquisition value equal to or greater than R$5,000 for the same cryptoasset type. The description may include quantity and the model of digital wallet used for self-custody. This asset-declaration instruction does not answer whether a separate transaction-reporting duty applies.
- Retention period: The official materials cited here confirm that evidence must be kept but do not establish a specific retention period. Check the applicable current rules and your tax situation rather than relying on an assumed number of years.
Choose a recordkeeping method that fits your activity
