To download a PayPal statement, sign in on the website and go to Activity > All Reports > Payments > Statements – monthly and custom. Request the month or custom date range you need, then select Download when the report is ready. If you need individual transaction details rather than a balance summary, use an Activity Download report instead.
Download a monthly or custom PayPal statement
- Sign in to PayPal in a web browser.
- Open Activity, then select All Reports.
- Under Payments, select Statements – monthly and custom. In Classic View, look for Monthly or Custom under Statements.
- For a monthly statement, select Request beside the month you need. For a custom statement, choose the custom-report option and enter the date range and file format.
- When the report is ready, select Download. PayPal says an on-demand report’s status changes from In Progress to Download when it is available. PayPal Help explains the statement and report steps.
If those menu labels are not available in your account, some regional PayPal help pages direct users to PayPal’s account statements page. The path and report availability can vary by region and account view.
Choose a statement or an Activity Download report
Use a monthly or custom statement when you need a balance-oriented summary. Choose Activity Download when you need more detailed transaction records or a configurable export.

These limits come from separate PayPal sources: PayPal Help’s current statement and report guidance, PayPal’s Activity Download documentation, updated 2026, and PayPal’s monthly and custom statements documentation, updated July 21, 2026. The 3-year custom date-range guidance and the reporting portal’s 12-custom-statement allowance describe different aspects of availability, not one universal retention limit.

Understand what appears on a statement
A PayPal statement includes transactions that affect the account balance. It does not include pending items such as uncaptured authorizations, pending eChecks, or unresolved disputes. If you are trying to reconcile a specific payment that is still pending, check the transaction in Activity rather than expecting it to appear on the statement.
Statement date ranges use the time zone configured for the PayPal account. A time-zone change applies to statements generated after the change, so a statement produced later may use a different date boundary than an older one.

If a statement or report is missing
- For the current month: PayPal says monthly statements are available any time after the 2nd of the month. Check again after that date if the month is not listed.
- For an older period: The reporting portal may not offer the same history for every report type. Check the relevant monthly/custom statement or Activity Download date limits and the options shown in your account.
- For a report still processing: Return to the report page and wait for its status to change from In Progress to Download.
- For a different interface: Try Classic View’s Monthly or Custom statement choices, or use the account statements page if it is supported in your region.
Use PayPal statements for recordkeeping, not tax advice
Statements can help with personal bookkeeping and account reconciliation, while Activity Download exports are better suited to transaction-level review in a spreadsheet or accounting workflow. PayPal says its information is not tax advice; consult a qualified tax professional with tax-specific questions.
