Contact the seller and request an invoice for your completed order. Include the order number and purchase date, explain why you need the document, and provide the purchaser or business details required for that purpose. Whether the seller must issue a particular invoice—especially a tax invoice—depends on your location and the transaction.
Invoice versus receipt: what to ask for
An invoice generally records a sale or tells a customer what is owed; a receipt acknowledges payment. As GOV.UK puts it, “An invoice is not the same as a receipt, which is an acknowledgement of payment.” In many retail and online transactions, payment is made immediately, so one document may serve both functions. That does not automatically make it a tax invoice suitable for a VAT or GST claim.
Be specific about what you need. For routine records, an invoice showing the purchase may be enough. For a company expense or tax purpose, ask which document and details are required. A seller may use “invoice” and “receipt” differently, so focus on the document’s purpose and required information.
How to request an invoice after payment
- Find the order record. Check your confirmation email, account order history, or payment record for the order number, transaction date, and seller. For a marketplace purchase, identify whether the marketplace or a third-party merchant sold the item and issued the original document.
- Use the seller’s official support channel. Sign in to the seller’s account or use its published customer-service channel, then request an invoice for the completed order.
- Give the identifying details. Include the order number and purchase date. Add the purchaser or business name and address, and tax details, only when relevant to the invoice you need.
- State the intended use. Say whether the document is for personal records, employer reimbursement, or a tax claim. If it is for tax or reimbursement, ask for the document type and required fields rather than requesting only a “receipt.”
- Save the records together. Keep the invoice with the original receipt and payment confirmation or statement so you can connect the document to the transaction.
What the rules can require depends on where you bought
There is no universal rule that every seller must provide every buyer with a tax invoice after payment. Requirements vary by country, the seller’s tax status, the buyer’s status, and the kind of transaction. These official examples show why a local check matters.

United Kingdom
GOV.UK describes an invoice obligation where both the seller and customer are VAT-registered and the transaction is business-to-business; it distinguishes an invoice from proof that payment was made. HMRC says VAT invoices may be paper or electronic and specifies required particulars, including a unique sequential number; time-of-supply and invoice dates; the seller’s name, address, and VAT number; the customer’s name and address; a description and quantity or extent of the supply; and net, VAT, and gross values. For qualifying retail sales of £250 or less, VAT Notice 700 describes a simplified VAT-invoice option subject to its conditions. Australia
Australian Government guidance distinguishes an invoice, which tells a customer what they owe, from a receipt, which records what they paid; one document can do both when payment is made at the time of a retail or online sale. Under the Australian Consumer Law summary on business.gov.au, a receipt must be given at the time for purchases over AUD $75 excluding GST, or within 7 days of a request for purchases below that amount. These are Australian thresholds, not global rules. For consumer remedies such as refunds, repairs, or replacements, proof of purchase may also include an invoice, card statement, sales reference, or certain warranty records; tax claims can have different documentation requirements. Spain
The Spanish Tax Agency lists situations in which an invoice must be issued, including when the customer acts as a business or professional and when the recipient needs it to exercise a tax right, alongside other circumstances. Check the current rule that applies to your transaction on the Spanish Tax Agency’s invoicing-obligation page.

First check whether the document received already contains the details needed for your purpose. A receipt may establish payment but may not contain fields required for a VAT or GST claim. If the seller declines your request, consult the tax and consumer rules in your jurisdiction and, for an expense claim, your employer’s reimbursement policy. The word “receipt” alone does not establish that the seller acted unlawfully.

If you need proof for a refund, repair, or replacement rather than a tax claim, other purchase records may be accepted under local consumer rules. For example, Australian guidance recognizes some alternatives such as a card statement or order reference. Do not assume that evidence accepted for a consumer remedy also meets tax-record requirements.
