Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →The safest way to reclaim laptop storage is to identify what is consuming the drive, then use the operating system’s review screens to remove only clearly unnecessary items or move files to a location you can still access. On Windows, start with Settings > System > Storage and Cleanup recommendations. On macOS Ventura 13 or later, open System Settings > General > Storage. From there, choose among three different actions: delete selected disposable data, make cloud-synced files online-only, or move retained files to an external drive.
Those actions are not equivalent. Deletion can be irreversible or remove a rollback option. An online-only file remains in your cloud account but needs an internet connection to open. A file moved to an external drive remains yours, but the drive must be connected before you can use it. The amount recovered depends on your files, operating-system version, cloud settings and available storage; there is no guaranteed number.

First, distinguish deleting, offloading and moving
“Free up space” can describe several different operations. Before selecting a cleanup button, decide which outcome you actually want.

|---|---|---|---|
| Built-in cleanup | The selected temporary or unwanted item is deleted. Some choices can affect rollback or remove the only local copy. | Usually nothing, because the item is gone. | You have reviewed the item and are comfortable losing it. |
| Cloud file made online-only | The local copy is removed while the cloud copy remains available in the account. | An internet connection, the relevant account and working sync configuration. | You need the file retained but rarely need it offline. |
| Move to external storage | The file is stored on a separate drive rather than the laptop’s internal drive. | The compatible external drive must be connected and readable. | You want to keep large files under your control and use them offline when the drive is attached. |
Do not treat an online-only setting as an independent backup. It changes where a synchronized copy is kept locally; it does not by itself establish a complete backup strategy.

Step 1: inspect storage before changing anything
Windows 10 and Windows 11
- Open Settings.
- Choose System, then Storage.
- Review the system drive’s categories and their displayed sizes. Categories commonly include installed apps, temporary files, documents and other user data.
- Open Cleanup recommendations and read each category’s space estimate before selecting anything.
This first view prevents a common mistake: deleting a conspicuous folder while the real problem is an unusually large application, cloud-sync cache or media library. Windows’ labels and available controls can vary between Windows 10 and Windows 11 builds, so follow the labels displayed on your laptop.
macOS Ventura 13 or later
- Open the Apple menu and choose System Settings.
- Select General, then Storage.
- Wait for macOS to calculate category sizes, then inspect the recommendations and individual categories.
Older macOS releases may use different menu names or locations. If the Storage screen is still calculating, let it finish before making decisions; an incomplete estimate can make a category appear smaller or larger than it is.
Record a baseline
Note the available-space figure and, if practical, take a screenshot of the category breakdown. This gives you a way to confirm that a cleanup changed the intended category and to notice if a temporary cache immediately grows again. It does not predict how much space you can recover.

Windows: use Storage and Cleanup recommendations deliberately
Review the item, not just the headline
In Cleanup recommendations, Windows can identify temporary files, large or unused files, files synchronized to the cloud and unused apps. Expand each recommendation and inspect the names, locations and displayed amount. Select only items you recognize or can explain. A large category is not proof that every file in it is disposable.
Microsoft describes Storage Sense this way: “Storage Sense can automatically free up drive space for you by getting rid of items that you don’t need, like temporary files and items in your Recycle Bin.” The important qualification is that its behavior follows the settings you choose.
Rank #2
- Capacity Display Variance: 500GB external ssd often appears as around 465GB on Windows. MacOS can show full 500 GB capacity. This is binary calculation difference and doesn’t affect SSD hard drive actual physical storage
- 1050 MB/s Speed: Instantly access to your files with blazing-fast 10Gbps external SSD read up to 1050MB/s and write up to 1000MB/s. LED Light indicates USB SSD instant activity
- Data Security: Solid state drives S.M.A.R.T. health diagnostics and adaptive TRIM optimizing data block management ensures consistent write speeds and extends the longevity of the portable SSD
- USB-C & USB-A Cable: Both cables featuring rapid USB 3.2 Gen2, this USB SSD effortlessly bridges devices, enabling seamless cross-platform file transfers and backup between computers, smartphones, tablets and iPhone
- Always Fast: No slowdowns for large file transfers. With SLC caching (25% of current available capacity allocated as high-speed cache), this external SSD delivers steady 10Gbps for transfers within the cache capacity
Configure Storage Sense rather than assuming its defaults
Storage Sense operates on the system drive and can automatically remove temporary files and selected Recycle Bin items. Open the Storage Sense controls from the Storage settings page and check the schedules and categories shown on your version of Windows before enabling automatic cleanup.
- Temporary files: Review the listed subcategories. Some are safe-to-remove working data; others may represent downloads, update files or items you still need.
- Recycle Bin: Cleaning it removes items already placed there. If you might need a deleted file, restore it before running the cleanup.
- Downloads: The Downloads folder is not automatically managed unless you explicitly configure that behavior. Do not assume Storage Sense will protect or clean it for you.
- Cloud content: Cloud-synchronized files are not automatically managed unless the relevant option is selected and supported by your sync setup.
If you turn on an automatic rule, choose a schedule and retention period you can live with. A rule that is convenient for a nearly full drive can be unpleasant if it removes files you expected to remain locally available.
Handle “Previous Windows Installation(s)” as a consequential choice
Cleanup recommendations may list a previous Windows installation. Removing it deletes the Windows.old installation and removes the option to return to the previous Windows version. Select this only after you are certain the current installation works and you no longer need that rollback path.
Clean one category at a time
- Choose one clearly understood category.
- Read the item list and its estimated space.
- Confirm the cleanup action.
- Wait for it to complete without forcing a shutdown.
- Return to Settings > System > Storage and check the available-space change.
Working incrementally makes an unexpected result easier to diagnose than selecting every recommendation in one pass.
Windows: make OneDrive files online-only when local access is not required
OneDrive Files On-Demand can show files in File Explorer without storing the full contents on the laptop. This is an availability change, not the same as deleting the file.
Rank #3
- Solid state performance with up to 800MB/s read speeds in a portable drive. (Based on internal testing; performance may be lower depending on host device, interface, usage conditions and other factors. 1MB=1,000,000 bytes.)
- Back up your content and memories on a storage solution that fits seamlessly into your mobile lifestyle.
- Take it with you on your adventures—up to two-meter drop protection means this durable drive can take a beating. (Based on internal testing.)
- Secure it to your belt loop or backpack for extra peace of mind thanks to the tough rubber hook.
- From Sandisk, a brand professional photographers trust to take on assignments.
Free local space for a file or folder
- Open File Explorer and browse to the OneDrive file or folder.
- Right-click an item that is locally available.
- Choose Free up space.
- Check the status icon afterward. The file should remain listed in OneDrive while its full local copy is removed.
An online-only file requires an internet connection to open or download. If the laptop will be used on a flight, in an area with unreliable service or while traveling without a network, keep the needed items local instead.

Keep essential files offline
- In File Explorer, right-click the online-only file or folder.
- Choose Always keep on this device.
- Wait for synchronization to finish and verify that the status indicates local availability.
This setting consumes internal storage again, but it makes the selected content available without an internet connection. Check status icons before changing a whole folder; a folder can contain a mixture of local and online-only items.
Check account and sync conditions
Online-only access depends on the OneDrive account, the sync configuration and a functioning network connection. If an item is not visible, shows a sync warning or belongs to an account you can no longer sign into, do not remove local copies until access has been restored and the file’s status is understood.
macOS: use Storage recommendations and iCloud carefully
Read the categories macOS identifies
The Ventura 13-or-later Storage screen can show categories such as Applications, Documents, Messages, Podcasts, TV and Trash. Select a category to inspect its contents or the available management controls. A category’s size is a prompt to investigate, not an instruction to delete everything inside it.
For example, an unusually large Applications category may include software you still use, while a large Documents category may contain irreplaceable records or a media library. Open the relevant view and identify specific items before acting.

Use macOS recommendations with an iCloud capacity check
macOS can optimize storage by keeping some files or media in iCloud and making them available on demand. This can reduce the amount stored on the Mac, but it uses capacity in the iCloud account. That capacity is shared with other iCloud content, so a nearly full account may not be able to accept more files.
Check both figures separately:
- Mac storage: the free space on the laptop’s internal drive.
- iCloud storage: the account capacity available for synchronized files and other iCloud data.
An item that is available on demand may need a network connection to download again. Keep files locally available when you need guaranteed offline access.
Empty Trash only after checking it
macOS does not release the space occupied by Trash until Trash is emptied. Open Trash, review its contents and restore anything you may still need before choosing Empty Trash. Emptying it is a deletion, not an archival method.
Review Messages, Podcasts and TV downloads
Downloaded media and message attachments can occupy substantial space. Use the category views to identify specific downloads and remove only items you can obtain again or no longer need. Do not delete an unfamiliar file solely because the category is large.
Move large files to an external drive without losing them
External storage is useful for photos, videos, project archives and other large files you want to retain but do not need on the internal drive. Microsoft and Apple both describe moving files to external storage as a way to free internal space.
Best Value
- NEARLY 2X FASTER THAN OUR PREVIOUS GENERATION(8) – move 1,000 high-res photos in under 60 seconds(6) with up to 2000MB/s transfer speeds(2).
- IP65 RATING AND UP TO 3M DROP PROTECTION(3) – protects against spills and drops.
- POCKET-SIZED – fits easily in pockets and small bags.
- SPACE TO OWN YOUR AI CONTENT – speed and capacity to download your high-res clips and photo edits.
- 256-BIT AES ENCRYPTION(4) – helps keep private files secure with password protection.
Prepare the destination
- Confirm the drive has enough free capacity for the files and some working room.
- Check that its connector and format are compatible with the laptop and the way you intend to use it.
- Connect the drive and wait for it to appear in File Explorer or Finder.
A portable external SSD is one physical-storage category to consider, but official guidance does not establish a particular capacity, model, speed or price as suitable for everyone.
Move and verify
- Create a clearly named destination folder on the external drive.
- Copy or move a small test group first.
- Open several files from the destination to confirm they work.
- Compare the source and destination names and sizes, or use the operating system’s transfer result, before removing any remaining internal copy.
- Repeat in manageable groups rather than moving an entire library without verification.
Once the move is complete, the files are available only when the external drive is connected and usable. Label the drive, store it safely and eject it through the operating system before unplugging it.
Choose the least risky option for each type of data
| If your goal is… | Prefer… | Main limitation |
|---|---|---|
| Remove disposable system clutter | Reviewed Windows or macOS cleanup recommendations | The selected item may be permanently deleted; some choices affect rollback. |
| Retain a synchronized file but rarely use it offline | OneDrive Files On-Demand or macOS on-demand iCloud optimization | Internet access, account access and available cloud capacity are required. |
| Keep a large personal archive under your control | Move it to a verified external drive | The drive must be connected to open the files. |
| Keep a file available during travel or outages | Leave it on the laptop or mark it “Always keep on this device” | It continues using internal storage. |
Items to treat with extra caution
- Previous Windows installations: Removing them eliminates the ability to return to the previous Windows version.
- Downloads: They may contain installers, exported records or files that have not been copied elsewhere.
- Cloud-synced folders: A local deletion can propagate through synchronization, whereas an explicit online-only command is intended to remove only the local copy.
- Application data: Removing folders manually can damage an application or erase settings. Use the operating system’s app-management controls when uninstalling.
- Unknown documents or media: Names and categories alone do not establish that a file is safe to remove.
- Trash and Recycle Bin: Empty them only after checking for files that should be restored.
Verify the result and recover from surprises
If the free-space number barely changes
Reopen the storage view and wait for its calculation to finish. The cleanup may have targeted a smaller category than expected, or another category may be growing at the same time. Check whether files were moved successfully, whether cloud content is still locally cached and whether Trash or Recycle Bin still contains the data.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsIf an online-only file will not open
Restore network access, confirm that the correct cloud account is signed in and inspect the file’s status icon. If the file must be available offline, use Always keep on this device in OneDrive or keep the relevant item stored locally through the macOS settings.
If an external-drive file is missing
Reconnect the drive directly, check its cable and connector, and confirm that it appears in File Explorer or Finder. Do not repeatedly move or delete copies while the drive is not recognized. If the drive mounts under a different name, browse to the destination folder rather than assuming the transfer failed.
If an application or document behaves differently
Stop further cleanup and identify exactly what changed. Restore an item from Trash or Recycle Bin when possible, or change a cloud file back to local availability. Deleting a previous Windows installation is different: the rollback files are removed and that previous-version option cannot be restored through the cleanup screen.
A maintenance routine that protects important files
- Check the built-in storage view when free space becomes low, rather than deleting random folders.
- Identify the category responsible and open its detailed list.
- Handle clearly disposable temporary data first.
- Use online-only status for synchronized files that do not need offline access.
- Move retained large files to an external drive only after checking capacity and verifying the transfer.
- Keep frequently needed or travel-critical files local.
- Recheck storage and the files you care about after each small change.
This sequence separates reversible availability choices from irreversible deletion and keeps the decision tied to how you actually use each file.
