To commission an illustrator well, prepare a specific brief, compare artists whose portfolios fit the work, request quotes for the same intended uses, and put scope, payment, schedule, revisions, delivery, and usage rights in writing before work begins. The fee alone is not enough to compare proposals: a quote may cover a narrower license than another.
Prepare a brief that can be quoted accurately
Give the illustrator enough information to estimate both the creative work and the permission you need. A vague request such as “an illustration for our campaign” leaves key questions about workload and use unanswered.
- Creative direction: Describe the subject, intended audience, mood, visual style, and any relevant examples or reference images.
- Scope and deliverables: State the number of illustrations, dimensions, output formats, and whether you need design or print-related services. Flag special requests such as a hand-painted original or layered/source files.
- Where and how it will appear: List channels and planned uses, such as a website, packaging, social media, or advertising. Include the territory and duration you need permission for.
- Schedule and budget: Give the deadline, any milestone dates, and a budget range if you have one. Mention rush timing before asking for a quote.
These details matter because illustration fees can depend on the scope of the work as well as the usage being licensed. The UK Association of Illustrators (AOI) says usage, territory, and license duration affect fees; the Finnish Illustration Association likewise notes that the extent of use affects price. AOI guidance on commissioning illustration and the Finnish Illustration Association’s client guide provide those perspectives.
Find candidates through relevant work
Start with portfolios and professional directories rather than a generic search for the cheapest available artist. Look for work that shows the visual language and subject experience your project needs. Association directories can help you discover artists, but they are examples of useful starting points, not a comprehensive or globally ranked list.

- The Hong Kong Society of Illustrators (HKSI) member directory can be filtered by media, style, and subject. See the HKSI directory and commissioning guidance.
- The Finnish Illustration Association points clients to its Find an Illustrator directory and names Agent Pekka and Napa Agency as agencies.
When a portfolio looks promising, ask about relevant experience, availability, and the proposed deliverables if those details are not clear. A strong style match is useful only if the artist can take on the assignment within your schedule and understands what you need.
Compare proposals on the same terms
Before choosing, compare the parts of each proposal that affect both the result and the total value of the deal. A lower fee may cover fewer uses, fewer revisions, or a different set of deliverables, so it may not be comparable to a higher quote.

This is a practical comparison framework, not a formal industry scoring standard. If a proposal exceeds your budget, discuss narrowing the scope or intended uses before treating a transfer of rights as the only way to reduce the fee. Additional uses, rush timing, extra illustrations, or extra amendments can change the quote. AOI guidance on illustration fees and usage explains that fees are negotiated individually; it does not establish a universal price list or recommend a single rate.
Put the commission and usage rights in writing
Agree the terms before work begins. The Finnish Illustration Association puts it plainly: “The commissioning agreement is always concluded before the illustrator begins the work and should always be made in writing.” Its client guide recommends a written agreement; AOI and HKSI also offer contract guidance. AOI contract guidance and HKSI commissioning guidance reflect their respective association contexts.

Include the practical terms that both sides will need to refer to during the project:
- The agreed scope, fee, payment timing, and any milestones.
- Draft and final delivery dates, delivery method, file formats, and dimensions.
- The number of included revision rounds and what counts as a new direction or substantial extra change.
- The license: permitted uses and channels, territory, duration, and whether use is exclusive or non-exclusive.
- Whether the client may crop, resize, recolor, adapt, republish, or use the image in later channels.
- Credit or attribution, cancellation terms, portfolio display, and file retention.
- Whether layered/source files or physical originals are included and, if so, what happens to them.
Do not assume that paying for a commission automatically gives you copyright ownership or unrestricted permission to use the image. AOI guidance describes the illustrator as retaining copyright while licensing the client to use the work; HKSI and the Finnish Illustration Association likewise emphasize agreeing usage rights. State the permission you need rather than asking vaguely for “all rights.” Local copyright rules, work-made-for-hire provisions, and contract enforceability vary by jurisdiction, so association guidance from the UK, Hong Kong, or Finland should not be treated as a universal legal rule. For a high-value, sensitive, or complex rights deal, seek legal advice appropriate to the parties’ jurisdictions.

Keep feedback clear and finish delivery deliberately
Agree who has approval authority, then have that person consolidate comments from the client team into one coherent set of feedback. Define how many revision rounds the fee includes and distinguish corrections that bring work in line with the agreed brief from substantial new direction. HKSI advises agreeing revision counts and notes that large changes after completion may incur extra charges; the Finnish Illustration Association recommends compiled feedback.
When the final files arrive, check them against the agreed format, dimensions, and license terms. Confirm the credit to use, whether the illustrator may show the work in a portfolio, how long files will be retained, and whether any physical original is being delivered. The Finnish association says creators retain originals unless otherwise agreed and describes attribution as an industry-standard practice; the agreement and applicable local norms may differ.
