Confirm your taxpayer category, scheme and tax period, then reconcile sales, purchase-tax-credit data and portal-generated figures before submitting. The GST Portal’s selected-period view and current government notifications control the date that applies to your return.
This India-focused guide explains the regular workflow, including GSTR-1, GSTR-3B, QRMP, GSTR-2B, GSTR-1A, nil returns, corrections and common filing failures. It is general guidance; a category-specific obligation or complex tax treatment should be checked with a qualified GST professional.

1. Identify your GST return set before preparing figures
Do not assume that every GST registration files the same forms. First identify:
- your registration and taxpayer category;
- the tax period you are filing;
- whether returns are monthly or quarterly;
- whether you use the Quarterly Return with Monthly Payment (QRMP) scheme; and
- any special regime or notification affecting your registration.
The GST Portal’s GSTR-1 FAQ describes the general outward-supply rule but lists exclusions, including composition taxpayers, non-resident foreign taxpayers, input service distributors, TDS deductors and e-commerce operators collecting TCS, among other categories. An excluded category may still have other GST statements or returns to file. Treat the portal’s return dashboard for your GSTIN—not a generic calendar—as the starting point.

Monthly versus quarterly filing
For taxpayers to whom the normal GSTR-1 rule applies, the portal gives these general dates. Government extensions and taxpayer-specific rules can change the date.
| Filing pattern | GSTR-1 timing | GSTR-3B timing | Operational effect |
|---|---|---|---|
| Monthly | 11th of the succeeding month, subject to extensions | Use the date shown for your registration and period on the portal | Sales data and tax positions are reported every month; reconciliation is more frequent. |
| Quarterly under QRMP | 13th of the month after the quarter, subject to extensions | 22nd or 24th of the month after the quarter, according to the principal-place-of-business grouping in the portal advisory | GSTR-1 and GSTR-3B are quarterly, while tax payment and optional invoice furnishing in the first two months follow QRMP rules. |
The QRMP advisory says an Invoice Furnishing Facility (IFF) is optional for the first two months of a quarter. Invoices furnished through IFF flow into recipients’ relevant statements, which can help customers see eligible invoice information earlier. Confirm that your GSTIN is eligible and that the current scheme settings suit your cash-flow and reconciliation process.
2. Understand what GSTR-1 contains
GSTR-1 is the outward-supply information return. Before uploading anything, map your books to the sections that apply. The portal FAQ identifies these information groups:
- invoice-level business-to-business (B2B) supplies;
- specified inter-State supplies to consumers;
- credit notes and debit notes;
- exports;
- consumer-supply summaries;
- advances received and their adjustments;
- amendments to previously reported documents;
- nil-rated, exempt and non-GST supplies;
- HSN/SAC summaries; and
- specified supplies made through e-commerce operators.
Classify every transaction before entry. A credit note, export or amendment should not be left in a general sales total merely because the taxable value is easy to copy. Keep the original document reference available for any amendment or note, and separate taxable, exempt, nil-rated and non-GST values so the portal totals agree with your books.
Validate recipient and invoice data
Check the recipient GSTIN on the portal before filing. Confirm invoice numbers, dates, place-of-supply information, taxable value, tax rates and tax amounts. The GSTR-1 FAQ specifies that invoice values, taxable values and tax amounts should be entered to two decimal places. A small rounding or GSTIN error can prevent a customer from matching the document or require a later amendment.
3. Assemble a filing-ready data pack
Use a period-close checklist rather than copying a sales ledger without review. At minimum, assemble the following:

| Record group | Checks to perform before upload |
|---|---|
| Sales invoices | Sequence, date, customer GSTIN, supply type, place of supply, taxable value, rate and tax amount agree with the source invoice. |
| Credit and debit notes | Original invoice reference, note date, reason, values and tax adjustments are supported by the underlying document. |
| Exports and inter-State consumer supplies | Use the classification and document details required for the relevant GSTR-1 section; do not combine them with ordinary domestic B2B data. |
| Advances | Record the advance and subsequent adjustment in the appropriate period and retain the link between them. |
| Amendments | Identify what was originally reported, what is changing and why; avoid creating a duplicate document. |
| Exempt, nil-rated and non-GST supplies | Separate these categories and reconcile their totals to the general ledger. |
| HSN/SAC and e-commerce data | Check that summaries and specified e-commerce supplies agree with the detailed records used to produce them. |
Resolve duplicate invoice numbers, invalid GSTINs, missing notes and unexplained differences before creating the final upload file. If more than one person prepares the return, have the reviewer compare the upload data with the source register, not merely with last month’s return.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitches4. Choose a preparation method
The GST Portal lists three preparation routes:
- Online entry: enter or upload information directly through the GST Portal.
- Returns Offline Tool: prepare the return using the portal’s offline utility and upload the generated file.
- Application service provider: use a third-party application connected through a GST Suvidha Provider (GSP), subject to your own controls and the provider’s current functionality.
Whichever route you use, retain the source data, the uploaded file or transaction batch, validation messages, the preview and the filed acknowledgement. The official FAQ describes the available modes but does not establish that any particular commercial application is suitable for every taxpayer.
5. Check the exact due date for the selected period
Use the general dates only as a planning baseline:
- Monthly GSTR-1: generally the 11th of the succeeding month.
- Quarterly GSTR-1: generally the 13th after the quarter.
- QRMP quarterly GSTR-3B: generally the 22nd or 24th after the quarter, according to the location grouping in the advisory.
These are not guaranteed dates for every period. The government may extend a deadline, and a special category or notification may change an obligation. Open the selected tax period on the GST Portal, read the due-date display and check current notifications before filing. Set an internal deadline several working days earlier so a rejected upload, portal outage or review question does not push you past the statutory date.
The QRMP advisory expressly states that late fees apply to delayed GSTR-3B and GSTR-1 filings covered by that advisory. The amount and treatment depend on the applicable rules and period, so do not estimate a liability from a generic online calculator.
6. File GSTR-1 in a controlled sequence
The precise screen labels can change, but the filing logic is stable. Complete the following sequence for the selected period:
Recommended Free Tools
- Open the return for the correct GSTIN and period. Confirm the financial year, month or quarter and filing frequency before entering data.
- Load or enter transaction details. Use the online form, the Returns Offline Tool or your connected ASP/GSP workflow.
- Run validation. Correct invalid GSTINs, duplicate documents, missing mandatory fields and calculation or format errors reported by the portal or utility.
- Review section totals. Compare B2B, consumer, export, note, advance, amendment, exempt/nil/non-GST, HSN/SAC and e-commerce totals with your source registers.
- Generate the preview. Read the return as a complete document, including sections that show zero. A preview can reveal a classification or period error that a row-by-row upload check misses.
- Submit and complete filing authentication. Follow the portal’s available filing and verification process for your registration. Submission of a draft is not the same as successful filing.
- Save proof of filing. Download the acknowledgement and filed-return copy, and record the filing date and reference number with the period’s working papers.
Do not file simply because the upload has no error message. The final review must establish that the return is complete, belongs to the intended period and agrees with the underlying records.

7. Reconcile purchases, input tax credit and GSTR-3B
GSTR-3B is a summary return, so the figures that appear in its draft should be tested against your books before submission. Use three comparisons:
Sales-to-GSTR-1 comparison
Compare the outward-supply register and all approved corrections with filed or draft GSTR-1. Investigate differences caused by omitted invoices, duplicate uploads, wrong tax periods, amendments, notes or rounding. A total that agrees while one large invoice is missing is not a successful reconciliation.
Purchase register-to-GSTR-2B comparison
Use GSTR-2B as an input to your input-tax-credit reconciliation. The portal’s GSTR-2B FAQ explains that it contains supplier-reported GSTR-1, GSTR-1A and IFF information, along with other specified sources. Therefore, compare each supplier and document to your purchase records, and investigate timing differences, missing supplier filings, duplicate credits, reversals and ineligible amounts before including credit in GSTR-3B.

Review the system-generated GSTR-3B summary and draft against the ledger, tax calculations and approved adjustments. The portal provides a downloadable PDF summary for values auto-populated from GSTR-1, IFF, GSTR-1A and GSTR-2B. Download it and have the reviewer compare the populated values with the working papers before making any permitted manual entries.
GSTR-2B is a statement of reported information, not a substitute for checking whether a purchase is supported, correctly classified and eligible under the applicable GST rules. Its timing reflects when suppliers and other sources report data, so a missing document should be investigated rather than silently treated as a permanent denial or approval.
8. Use GSTR-1A for an eligible same-period correction
GSTR-1A is an optional route for additions or corrections to eligible outward-supply information in the same period. According to the GST Portal’s GSTR-1 FAQ and GSTR-1A guidance:
Rank #4
- PU Leather Cover with Gold Foil: Ledger book features a finely textured black pebbled PU leather cover with exquisite gold foil stamping. This not only provides a non-slip, wear-resistant feel but also exudes a luxurious and sophisticated look. - Portable Size: Columnar book 7 x 9.25 inches, is compact and space-saving, easily fitting into a briefcase, tote bag, or backpack. Whether for business trips, field reconciliation, or everyday carry, it allows for recording income and expenses anytime.
- Large Capacity: Record per book contains 50 sheets of 80g double-sided offset paper. Each page features 30 clear lines of writing and a 3-column categorization layout. Double-sided color printing ensures clear and smudge-proof text. The notebook includes a marker bar for quickly marking important items or reconciliation points. With a total of 1500 writing positions, it meets daily, monthly, and even annual accounting needs, eliminating the need for frequent notebook replacements.
- Eye-friendly Inner Pages: Budget book's inner pages feature a soft, eye-friendly green background with double-sided color printing, effectively reducing visual stimulation from strong light reflection. This minimizes eye fatigue even during extended writing sessions, reflecting a healthy and thoughtful design consideration, making it suitable for those who frequently keep track of their expenses.
- Comfortable Writing Experience: Logs book's spacious line spacing provides ample space for writing, allowing for clear categorization of income, expenses, and balances, resulting in more organized budgeting. It also ensures clear and neat handwriting, enhancing writing fluency and overall page neatness.
- it becomes available after GSTR-1 is filed or after the GSTR-1 due date, whichever is later;
- it can be used once for that period; and
- changes made through it auto-populate into GSTR-3B.
Use it only after confirming that the document belongs to the selected period and that the proposed change is one the portal permits. Recheck the resulting GSTR-3B draft after filing GSTR-1A; auto-population reduces re-entry but does not remove the need for review.

For an older-period or previous-financial-year invoice amendment, do not rely on a remembered cut-off. The GSTR-1 FAQ describes a cut-off, but dates and statutory rules can change. Verify the currently applicable portal and legal position before making or advising on that correction.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.9. File a nil return only when the conditions are satisfied
Nil GSTR-1
The GST Portal’s FAQ states: “Form GSTR-1 needs to be filed even if there is no business activity (Nil Return) in the tax period.” This statement applies within the normal-taxpayer scope described by that FAQ; it does not turn an excluded category into a GSTR-1 filer. If your registration is in that scope and there was no outward activity, complete the nil GSTR-1 instead of assuming that no sales means no filing.
Nil GSTR-3B
The portal enables a nil GSTR-3B only when all specified conditions are met. The File Nil Return guidance requires that:
- no GSTR-1 or IFF data is available for auto-population;
- no GSTR-2B data is available for auto-population;
- no manual entries have been made in the return; and
- there is no outstanding interest or late-fee liability.
A period with no sales can still fail one of these tests because, for example, an earlier filing created a liability or a supplier statement populated data. Check the portal’s nil-return option and preview, verify the period, then complete filing only when the conditions shown by the portal are met.

The return shows an unexpected auto-populated value
Trace the value to the relevant GSTR-1, IFF, GSTR-1A or GSTR-2B source. Compare the source document with your books and download the portal summary. If the supplier or earlier return is wrong, use the correction route available for that period rather than overwriting a populated number without support.

A recipient cannot see or match an invoice
Recheck the recipient GSTIN, invoice number, date, taxable value and tax amount. Confirm that the document was reported in the correct section and period. If the error is eligible for same-period correction, consider GSTR-1A before filing GSTR-3B.
The portal rejects the upload
Read every validation message, correct the source row, regenerate the file if using the offline tool and upload again. Keep a versioned copy so the reviewer can see what changed. Avoid manually editing a generated file in a way that breaks its format.
You discover an error after filing GSTR-1
Determine whether GSTR-1A is available for that period and whether the change is allowed and still before GSTR-3B. For an older period, check the current amendment cut-off and applicable rules. Do not create a second invoice to mask an original reporting error.
You are approaching the due date with unresolved data
Escalate the specific issue—classification, eligibility, period, note, amendment or portal failure—to a qualified GST professional. Preserve the evidence of your review and any portal error messages. Filing late can create a late-fee exposure, while filing an unsupported figure can create a reconciliation and customer-matching problem.
11. A practical review checklist
- Correct GSTIN, financial year and tax period selected.
- Taxpayer category and filing frequency confirmed.
- Current portal due date and any extension checked.
- Sales, notes, exports, advances, amendments, exempt/nil/non-GST and e-commerce records assembled.
- Recipient GSTINs and invoice values checked to two decimal places.
- GSTR-1 sections agree with the outward-supply register.
- GSTR-2B compared with purchase and input-tax-credit records.
- System-generated GSTR-3B summary and draft reviewed against books.
- GSTR-1A considered for an eligible same-period correction before GSTR-3B.
- Nil-return conditions checked rather than assumed.

12. When professional review is appropriate
General portal instructions cannot determine every taxpayer’s obligation or tax treatment. Obtain qualified advice when your registration falls into a special category, you have cross-border or complex place-of-supply issues, large credit reversals, significant amendments, disputed eligibility, previous-period errors or an unresolved portal-generated liability. Bring the return preview, source registers, GSTR-2B, invoices, notes and portal messages so the adviser can address the actual discrepancy.
For official workflow instructions, use the GST Portal pages for GSTR-1 and GSTR-1A, nil GSTR-3B filing, the QRMP advisory and GSTR-2B FAQs. Use the selected-period portal display and current notifications for the date that actually governs your return.
