Download the notice or order PDF from the relevant proceeding in the Income Tax Department’s e-Filing portal, then preserve it with its reference details, attachments, response and submission acknowledgment. If you received a communication outside the portal or doubt its authenticity, use the Department’s pre-login Authenticate Notice/Order service to check it. Because a submitted e-Proceedings response cannot be edited, keep the confirmation details and review every attachment before submitting.
Where to find an income tax notice or order online
The Income Tax Department’s e-Proceedings service lets registered users and authorized representatives view and respond to many notices, intimations and letters. For a communication handled through e-Proceedings, sign in to the official e-Filing portal and open the relevant proceeding from the pending actions or e-Proceedings area. Portal navigation labels can change, and the route may differ by communication type, so use the current portal display rather than relying on an old menu path.

Open the proceeding that matches the communication you need. Check the displayed document type, issue date, assessment year or other period, and reference details before downloading; a taxpayer may have more than one proceeding or communication available. An order or notice may appear with related letters or attachments, so look through the items in that case rather than assuming the first file is the only relevant record.
If you are an authorized representative, use the account and access route available to you for that representation. The Department describes e-Proceedings access for registered users and authorized representatives; if the case is not visible, confirm you are signed in to the appropriate account and that the representation or access is in place.

It helps to treat finding a document, verifying it and preserving it as separate tasks. The e-Proceedings area is the route described by the Department for viewing and responding to many communications. The pre-login authentication service is a separate option for checking a communication’s authenticity, including one received through another channel. A downloaded PDF is the copy you retain; the portal account also lets users view submitted responses. Keeping your own organized matter folder brings those records together rather than relying on a single screen or email.
How to download an income tax notice
- Sign in to the e-Filing portal. Use the Department’s official Income Tax e-Filing portal and the taxpayer or authorized representative account appropriate to the proceeding.
- Open the relevant e-Proceedings item. From the dashboard’s pending actions or the e-Proceedings area, select the case or proceeding associated with the communication. If the current interface uses different labels, follow the live portal navigation.
- Open the notice or letter PDF. In the proceeding, select the relevant Notice/Letter PDF. The manual describes viewing the document and downloading it with the Download control. Menu names and file presentation can vary with the type of communication.
- Save the file locally. Choose a folder you can find again, and ensure the download has completed before closing the page. Open the saved PDF to check that it is readable and that it is the intended document.
- Record identifying details. Note the issue date, assessment year or other period, document type and DIN or other reference shown, where available. These details help distinguish similar files and make later verification or retrieval easier.
The Department’s e-Proceedings materials describe this as a route for many notices, intimations and letters, not a guarantee that every tax communication or order will be available in one place. If the expected document is not shown, check the proceeding status and other relevant portal areas, and follow any instructions in the communication itself. Do not treat a missing portal item alone as proof that a document is invalid or that no response is due.
When more than one file is presented, save each relevant notice, letter or attachment separately unless the portal has already packaged them together. Give the files distinguishable names as you save them, rather than leaving several documents with identical generic download names. Once saved, open the local copy and compare its visible identifying details with the proceeding you selected. This simple check can prevent mixing documents from different years or cases.

If a notice, order or other communication arrived through another channel, or its authenticity is uncertain, use the Income Tax Department’s pre-login Authenticate Notice/Order issued by ITD service. The service is intended to let a recipient check whether a Department communication is genuine and is described as available without signing in.
The Department’s FAQ states that every communication it issues on or after 1 October 2019 shall bear a unique Document Identification Number (DIN). Its authentication manual describes two ways to check a communication:
- Use the document details: enter the PAN, document type, year type or assessment year, date of issue and a mobile number, following the current on-screen instructions.
- Use the DIN: enter the DIN and a mobile number, as requested by the service.
Field labels can differ between manual versions and may change on the portal. Use the live service’s instructions and enter the details exactly as displayed on the communication. Keep the result with the document record. If the details do not match, recheck for typing errors and confirm you selected the correct document type and year before drawing a conclusion.
For a useful file trail, keep the identifying details you used to authenticate the item alongside the PDF: the DIN if present, or the document type, year and issue date. The service has two routes, so a recipient may use the document-detail option or the DIN option according to what is available on the communication. Authentication is not a substitute for reading the document itself: after checking the reference, still note what the communication asks you to do and any deadline or proceeding status shown.

The Department’s FAQ says of communications issued on or after 1 October 2019 that lack a DIN: “In such case, the notice/order/letter received by you would be treated as invalid and shall be non est in law or deemed to be as if it has never been issued.” This is the Department’s stated rule for that context; it should not be extended to communications or circumstances outside the rule it describes. If you are unsure how it applies to a particular document, seek qualified tax advice rather than relying on a general interpretation.
How to organize the downloaded file and related records
Keep the original downloaded PDF unchanged. Create a folder for the relevant tax matter and place the notice or order there with any attachments, documents you submit, response text, portal confirmation and later correspondence. The folder name should make the case identifiable without requiring you to open each file.
A practical file-naming pattern is tax-year_issue-date_document-type_DIN.pdf. For example, replace each part with the corresponding details shown on the communication. This is an organizational suggestion, not a format prescribed by the Department. If no DIN appears or a component is unavailable, use another identifying reference rather than inventing one.
- Keep the original notice, order or letter PDF and any accompanying files.
- Save documents and attachments you provided in response, along with a copy of the response text.
- Retain the portal submission confirmation, transaction ID and acknowledgment number, when provided.
- Save later queries, orders and correspondence in the same matter folder, using clear dates and document descriptions.
The Department says users can view submitted responses in e-Proceedings and identifies future record keeping as a benefit of the service. That portal access is useful, but a well-organized copy of the key documents and confirmations makes it easier to assemble the full history of a matter. Keep the files access-controlled, especially on a shared computer or device.
Use a consistent naming convention for every item in the folder, not just the original notice. For instance, add a clear description such as response, attachment, acknowledgment or later order, together with a date or reference where available. This makes it easier to reconstruct the sequence of events: what the Department sent, what you submitted, and what followed. Keep related files together by proceeding rather than combining unrelated notices into one large, ambiguous folder.
Preserve the portal confirmation and transaction ID as soon as a response is submitted. The Department’s e-Proceedings manual specifically tells users to keep the transaction ID, and its FAQ says submitted responses can be viewed again. A later portal view is useful, but the transaction reference and your saved response provide a practical record of what you sent. Save the confirmation email as well when it arrives at the registered email address.
How to keep a secure offline copy
An offline copy on removable storage is optional; the Department does not require a USB drive or external drive, prescribe a storage device, or endorse a particular security feature. If you choose to keep one, copy the organized case folder rather than only the notice PDF, and check that the copied files open. A second copy is useful only if you can keep it protected and know where it is.

Consider portability, available capacity, who can access the device and whether you can maintain another copy separately. These are practical selection factors, not Department specifications. A storage device does not by itself guarantee confidentiality, security or long-term preservation. Avoid leaving tax records on a device that others can readily access, and keep any separate copy in a controlled location.

If comparing an external SSD with a USB flash drive, consider how much material you need to store, how often you will carry the device, and whether you have a separate place to keep another copy. No particular capacity, brand or device type is required for keeping notice PDFs. Do not select a device on the assumption that its presence alone makes tax records secure; control access to the files and the physical device, and check that a backup is readable when you make it.
Review and preserve your e-Proceedings response
Before submitting, compare the response with the notice’s request and check that each attachment is the intended, readable file. The Department says a submitted response cannot be edited afterward. That makes a final review important: a mistaken response or omitted file cannot simply be corrected by editing the original submission.
- Read the notice or order carefully and identify the requested action and the deadline shown for that proceeding.
- Check the response text for accuracy and confirm that it addresses the matter raised.
- Open or inspect each attachment and confirm it is the correct file for the relevant tax matter.
- Submit through the portal and retain the transaction ID and any acknowledgment or confirmation presented.
- Check for the confirmation message sent to the registered email address, then save the confirmation and submitted-response record with the case documents.
The Department’s manual notes that a confirmation message is sent to the registered email address and instructs users to keep the transaction ID. Retain both the portal record and any email confirmation available to you. Do not rely only on a message in an inbox as your sole copy of the submitted response.
Before clicking submit, make a final comparison between the response and the specific notice or proceeding. Check that the file names and attachments correspond to that tax matter, that each attachment opens, and that the documents are the versions you intend to provide. The Department notes that attachment limits and availability can vary by notice or proceeding, so follow the live portal instructions about what can be attached rather than assuming every proceeding accepts the same number or size of files.
After submission, record the transaction ID promptly and make sure the confirmation is saved with the response, not in a general downloads folder where it may be separated from the matter. The portal’s view of submitted responses can help you retrieve the response later, but the Department’s instruction to retain the transaction ID makes it sensible to keep that reference in your own file too.
Check the deadline and proceeding status
Use the deadline and status shown for the specific proceeding as your guide. The response controls may be unavailable depending on the due date or whether the proceeding has closed. The Department’s help material describes, for some open proceedings, submission availability ending seven days before the limitation date at 6 PM; it also says the authority may re-enable submission. This timing is not a universal deadline for every notice. Check the notice and the current case-specific portal information, and do not assume that a general e-Proceedings rule overrides what is displayed for your case.

If a response control is unavailable, first verify that you opened the correct proceeding and reviewed its current status and dates. If the proceeding appears open but the portal still prevents a response, follow the available portal instructions or contact the Department through its current official channels. Do not assume the authority will re-enable the control or wait for access to return when a stated deadline is near.
Keep a note of the displayed due date and status with the notice record. A date printed on one communication and the current portal status are both part of the case-specific information you should review; the Department’s timing guidance expressly varies with the proceeding. If the notice or portal presents a deadline, do not substitute the seven-days-before-limitation-date rule described for some open proceedings as a general extension or as a standard response period.

The notice is not in the pending actions area
Check the e-Proceedings area and select the relevant proceeding rather than assuming every communication appears in the dashboard’s pending list. Confirm you are using the appropriate taxpayer or representative account. Because availability depends on the communication and proceeding, an absent item may require checking the notice’s stated route or the portal’s current instructions.
The PDF will not open or appears incomplete
Return to the proceeding, select the document again and complete the download. Then reopen the local copy and check that it is readable and contains the expected pages. If the portal offers related attachments separately, save those too. The Department’s materials caution that attachment limits and availability can vary by notice or proceeding; follow the live instructions rather than assuming one file contains every attachment.
The authentication result does not match
Re-enter the identifying details from the document and check the date, year or assessment year, and document type. If a DIN is provided, try the DIN route. Use the current pre-login service’s instructions; do not treat a mismatch caused by an entry error as a definitive finding about authenticity.
You cannot change a response after submission
The Department says e-Proceedings responses cannot be edited after they are submitted. Save the submitted response and transaction details, then use the portal’s current instructions or seek appropriate professional advice about any next step. Do not submit a second response on the assumption that it will replace the first.

Keep the original notice PDF separate from working copies and clearly label each response draft and submitted version. What to retain for each tax matter
A complete, usable file should let you identify what the Department sent, what you sent back and what happened afterward. Keep the records together by proceeding, with dates and references clear enough that you can distinguish one communication from another. There is no retention period specified in the Department materials summarized here, so this guide does not prescribe one; follow applicable record-retention requirements and professional advice for your circumstances.
- The original notice, order, intimation or letter PDF, plus related files.
- The DIN or other reference, issue date, document type and relevant tax year or assessment year.
- The response and its submitted attachments.
- The transaction ID, acknowledgment and submission confirmation.
- Subsequent queries, orders and correspondence for the same matter.
For a quick check, ask whether another person with legitimate access could use the folder to identify the proceeding, find the exact communication, see what was submitted and confirm when it was submitted. If a key reference or confirmation is missing, use the portal’s available response history to check what can be retrieved and add the record to the matter folder. Keep access limited to people who need the tax documents, whether the folder is on a computer, an offline drive or both.
Frequently Asked Questions
How do I download an income tax notice?
Sign in to the Income Tax Department’s e-Filing portal, open the relevant e-Proceedings item from pending actions or the e-Proceedings area, select the Notice/Letter PDF and use Download. Save and open the file to check that it is readable and is the intended communication.
Where can I view my income tax order online?
For many notices, intimations and letters, the Department describes e-Proceedings as the place registered users and authorized representatives can view and respond. Sign in to the appropriate account and open the proceeding associated with the order. Menu names and availability can vary by communication, so follow the current portal display.
How do I verify an income tax notice by DIN?
Use the Department’s pre-login Authenticate Notice/Order issued by ITD service. Follow its current instructions to enter either the DIN and mobile number or the PAN, document type, year type or assessment year, issue date and mobile number. Communications issued on or after 1 October 2019 are subject to the Department’s DIN rule.
How do I keep a copy of an e-Proceedings response?
Save the response text and attachments, portal confirmation, transaction ID and acknowledgment number when provided in the same matter folder as the notice. The Department says submitted responses can be viewed in e-Proceedings and tells users to keep the transaction ID; it also sends a confirmation message to the registered email address.
Can I edit an e-Proceedings response after submitting it?
No. The Department says a submitted response cannot be edited. Review the response and attachments before submission, then keep the transaction ID and confirmation. If you need to know what to do after a mistake, follow current portal instructions or seek qualified tax advice rather than assuming a second submission replaces the first.

Check that you opened the correct proceeding and review its status and case-specific dates. Response controls may become unavailable based on the due date or closure. Department help describes a seven-days-before-limitation-date cutoff at 6 PM for some open proceedings, with possible re-enablement at the authority’s option; do not treat that as a universal deadline.
The Bottom Line
Download the relevant Notice/Letter PDF from the correct e-Proceedings item, verify uncertain communications through the Department’s pre-login DIN service, and keep the original notice with your response, attachments, transaction ID and confirmation. Review the live case status and deadline, since submitted responses cannot be edited and availability rules can vary by proceeding.
