Choose a conference bag only if attendees have a real use for it. Then match its capacity, construction and straps to what people will carry and how far they will carry it, and keep the branding suitable for use after the event. A durable, wanted bag can be useful long after a conference; an unwanted or flimsy giveaway consumes budget and materials without serving that purpose.
Decide whether a bag is worth giving away
Start with the attendee, not the logo or the unit price. Consider whether people need a bag for the event kit, sponsor materials or items they bring themselves—or whether their existing bags and digital materials are enough. The University of Liverpool’s guidance on sustainable events recommends considering alternatives, including providing no merchandise, because giveaways have resource and disposal impacts: University of Liverpool event guidance.
Ask what attendees used at previous events, and whether they would want another tote. IAAPA advises considering everyday usefulness, likely lifespan, product quality, recipient preference and tote saturation: IAAPA’s event-merchandise guidance. If the answer to “Will people carry this?” is uncertain, ask attendees before committing to a bulk order.
Match the bag to its contents and route
List what the bag needs to hold: for example, registration materials, sponsor inserts, a notebook or a water bottle. Then consider how long attendees are likely to carry it, including between sessions, across a venue or on the journey home. Capacity and comfort should reflect that actual use; the sources do not establish one universal conference-bag size.

For trade-show bags, PPAI quotes Jennifer McFadden, communications director at BAG MAKERS, Inc.: “Look for higher GSM material for greater durability, and wide adjustable shoulder straps for comfort.” GSM refers to grams per square metre, a measure of fabric weight. Treat higher GSM as a feature to assess alongside construction and sample quality, not as a universal cutoff: the advice does not specify a minimum weight for every bag or event. Compare materials and construction
Material labels alone do not establish how a particular bag will perform. Kane County’s general comparison describes woven polyester, polypropylene or PET as often durable with comparatively low resource requirements; non-woven plastic as cheap but flimsy; and canvas as durable but resource-intensive to make. These are broad comparisons, not a lifecycle assessment of every product. The County page’s publication or update date was not established in the reviewed content. Read its reusable-bag guidance with those limits in mind.

Ask suppliers for material composition and production details rather than relying on a broad “eco-friendly” label. The University of Liverpool recommends asking how merchandise is made and what it is made from.
Keep the branding usable beyond the event
A bag designed to advertise a single conference may feel dated once the event ends. The University of Liverpool recommends minimal customization and avoiding event dates to support longer use. Consider standard organization branding, a subtle mark or a design that makes sense without the conference name. IAAPA also recommends checking whether recipients actually want to carry the branding.

Compare the full cost with likely use
Compare the delivered order cost with the bag’s expected usefulness, likely lifespan and the risk of leftovers—not just the quoted cost per unit. MPI’s 2026 guidance suggests cost per impression as a planning lens, but that comparison depends on an explicit estimate of how often a bag will be reused and seen. The reviewed sources do not establish a verified conference-tote reuse rate or lifespan, so present any reuse assumption as your own planning estimate, not a proven benchmark. Get details and proof from the supplier
Before approving a bulk order, request a sample and confirm the specifications that affect actual use and delivery. Ask the supplier to explain environmental claims and provide details on materials and production. Requirements such as pricing, minimum quantities and lead times depend on the supplier and order; the cited guidance does not verify terms for any particular seller.

After the event, ask attendees whether they kept the bag, what they used it for and what they would change. Kane County and the University of Liverpool both recommend audience feedback. Use responses alongside remaining inventory and your own cost assumptions when deciding whether to order again, choose a different design or provide no bag at the next event.
