How to Choose Between a Tech Festival, Conference and Meetup

The event label is only a starting point. Compare the actual programme, audience, interaction, and full cost with the result you want from attending.

Choose the event that best fits the outcome you want—not the label on its ticket. A conference often centers on scheduled talks and sessions, a meetup on focused discussion, and a tech festival may combine technical programming with cultural or social activities. Because these formats overlap, compare the actual programme, audience, interaction, and full cost before registering.

How the three event formats differ

These are useful tendencies, not fixed definitions. Organizers use the labels differently, and some events combine formats. Check the schedule for the particular edition you are considering.

Tech festival: a broader mix of activities

A festival may bring together talks, workshops, exhibitions, performances, screenings, installations, and social or community activities. For example, BornHack describes its 2026 edition as a seven-day outdoor camping festival about technology and society, with talks, workshops, music, performances, installations, and volunteer participation. Mesh describes a biennial art-and-technology festival that combines exhibitions, performances, screenings, and workshops with conference talks and panels. Tech conference: a scheduled programme

A conference typically offers a timetable of talks, panels, tutorials, workshops, or parallel sessions. Review the session descriptions, speakers, topics, and intended audience to see whether the programme matches what you want to learn or discuss. tcworld’s format guide distinguishes presentations for information, tutorials and workshops for learning, and meetups for exchange and networking. Tech meetup: focused exchange

A meetup often gives participants time to discuss a topic or connect with peers. The format varies: tcworld describes open, small-group discussions in which attendees choose topics, while Web Summit describes informal meetups that can be spontaneous, organized around a topic, or run as speed networking. Choose by the result you want

Start by naming one main reason to attend. A clear goal makes it easier to evaluate an event’s schedule and audience instead of being swayed by its branding.

  • Practise a skill: Seek a hands-on workshop or tutorial, and confirm what participants will actually do.
  • Explore a field broadly: A festival may suit you if its edition includes a mix of technical sessions, exhibitions, performances, or community activities that interest you.
  • Exchange ideas with peers: Look for meetups or other sessions that leave time for attendee discussion.
  • Meet a particular professional community: Check the intended audience, speakers, facilitators, and any information about who is expected to attend.

These are starting points, not guarantees: a conference may include networking, a festival may contain a conference programme, and a meetup may include a presentation. A practical checklist before you register

  1. Write down your main goal. Keep it specific enough to test against the programme—for example, learning a defined topic or having peer discussions.
  2. Read the current schedule. Check session types, descriptions, parallel tracks, activity times, and how much participation is expected. For a festival, look at the balance between technical and cultural activities.
  3. Check the audience and contributors. Confirm that the intended attendees, speakers, or facilitators are relevant to your goal; do not assume the right people will be there based on the event name alone.
  4. Work out the total commitment. Add admission or registration to transport, accommodation, time away, and any required add-ons. Compare the whole trip, not just ticket prices.
  5. Verify current logistics with the organizer. Confirm the date, venue, programme, registration requirements, and ticket terms before booking travel.
  6. Decide whether this edition is a fit. If none of the options has the right programme, audience, and cost, waiting for another event or edition is a reasonable choice.
