For a retail counter, compare the merchant-acquiring relationship—not just the UPI apps customers use. Before signing up, confirm who acquires your payments, how customers pay, where funds settle, how you resolve failed transactions, and the full written cost of any optional services or hardware. There is no established universal “best” provider; the right fit depends on your shop’s workflow and agreement.
Start with the acquiring provider, not the customer’s UPI app
To accept UPI as a merchant, a shop partners with an acquiring bank that provides the UPI infrastructure. The merchant-facing company may also handle onboarding, support, or aggregator services. Ask which acquiring bank is involved and which organization is responsible for each part of the relationship. NPCI’s merchant onboarding information describes the bank’s role and onboarding requirements.
Keep this separate from the payer’s choice of app: NPCI’s June 2026 QR guidance says customers can scan and pay with any UPI app. A QR offer does not mean your shop must select or promote one consumer app.
Compare the acceptance workflow your counter actually needs
NPCI lists four merchant integration modes: QR, intent, application-based, and collect. For a straightforward in-person checkout, start by assessing QR acceptance. A shop that needs a different checkout flow should ask the provider which additional modes it supports and how they work in practice. A basic bank-acquired QR may be enough; a payment gateway is not automatically necessary for a physical counter.

Ask whether the QR is static or dynamic and what the customer sees before confirming payment. NPCI says a merchant QR can carry information such as the merchant UPI ID and amount, enabling the payer to see merchant details in the payment flow. Its June 2026 guidance says to include the line “Scan & Pay with any UPI app.”
Check onboarding and merchant identity
Onboarding involves more than displaying a QR. NPCI describes compliance and risk assessment, merchant identification, and configuration that can include the merchant category code (MCC), UPI ID, account details, and channel information. Ask the provider what documents and checks your shop will need, and how long its own process takes; the sources do not establish a universal onboarding timeline.
Before accepting payments, verify that the registered merchant name and business category are correct. Ask the acquiring bank to confirm the MCC assigned to your business type. Incorrect merchant details can confuse customers and misclassify the shop.
Get settlement and reconciliation terms in writing
NPCI says a merchant receives funds immediately after the customer confirms payment into either a merchant pool bank account or the merchant bank account, according to the agreement. That statement does not establish that every provider sends funds directly to the shop’s account or on identical terms.

- When will the funds be available under this agreement?
- How will the shop identify and reconcile UPI payments against daily sales?
- Where can staff find transaction references and settlement records?
Use the written agreement to understand the destination and timing rather than relying on a general promise of “instant settlement.”
Plan for pending or disputed payments
Train staff not to treat a customer’s screenshot or verbal confirmation as the only proof of payment. Agree on a checkout procedure for checking transaction status and recording the reference, especially when an app shows a pending result. NPCI says merchants can check transaction status or raise grievances directly with their acquiring bank. Ask the provider for the escalation route, required details, and support channel for unresolved transactions.
Separate UPI network charges from optional provider costs
The RBI publication in the source set states that from 1 January 2020 no charge, including merchant discount rate (MDR), applies to prescribed electronic modes including UPI and UPI QR. This is the policy baseline for those modes; it does not establish that every optional service, device, rental, or other payment instrument is free.

Paytm’s FAQ says QR UPI payments routed directly to a bank account are generally zero and advises merchants to confirm provider-specific charges. That statement is not a universal current fee schedule. Ask for the current agreement and a line-item breakdown before enrolling.

A QR soundbox may help a busy counter by giving staff an audible payment alert. NPCI’s June 2026 QR guidance includes soundbox layouts, but that does not verify the features or quality of any particular model. If considering one, check compatibility with the chosen acquirer, which payment modes trigger alerts, connectivity and power needs, warranty, and total device and service costs. A soundbox is optional; it is not a prerequisite for accepting a QR payment.
Use a practical comparison checklist
- Acquirer and responsibilities: Record the acquiring bank, merchant-facing party, and who handles onboarding, support, and any aggregator service.
- Eligibility and setup: Confirm required documentation, risk review, merchant name, and MCC.
- Acceptance: Specify the supported QR or other modes and how customers confirm the merchant and amount.
- Settlement: Write down the receiving account, any pool arrangement, availability timing, and reconciliation method.
- Transaction support: Establish how staff check status, locate references, and escalate pending or disputed payments.
- Total cost: Get every applicable service, hardware, connectivity, tax, cancellation, and replacement charge in writing.
NPCI reported 12,705.16 million person-to-merchant UPI transactions worth ₹723,797.42 crore in August 2025 on its UPI statistics page. That is a historical monthly ecosystem figure, not a current 2026 total, and it does not show that one merchant provider performs better than another.
