How to Choose a Mortgage Point-of-Sale Platform for Borrowers and Loan Officers

A practical framework for evaluating mortgage POS platforms: test both user journeys, verify LOS handoffs, compare vendor pricing carefully, and validate governance terms.

Choose a mortgage point-of-sale (POS) platform by testing a real loan workflow—not by counting features. The right system should make application and document collection easier for borrowers, help loan officers manage follow-up, and pass accurate information into the lender’s loan origination system (LOS) and service providers without creating duplicate work. Compare vendors against the same scenario, verify integration behavior in your configuration, and model total cost at realistic loan volumes.

Understand what the POS does—and where the LOS begins

A mortgage POS commonly supports borrower intake and engagement: starting an application, collecting documents, communicating with the borrower, and showing progress. An LOS commonly supports lender-side processing, underwriting, and closing. These are functional distinctions, not fixed product boundaries. A vendor may bundle a POS and LOS, while another may sell a POS designed to connect to a lender’s existing LOS.

As an Amazon Associate I earn from qualifying purchases.

Mortgage Cadence, for example, describes its POS as borrower-facing and its LOS as the system used to process, underwrite, and close loans. That is a vendor’s description of its product boundary, not a rule that applies to every platform. For each product under consideration, establish which system owns the authoritative loan record and where each capability actually lives.

Do you need a separate POS?

Not necessarily. If an existing LOS or CRM already provides a borrower portal, first test whether it supports the borrower and staff workflows you need. A separate POS may be worth evaluating if the current portal creates friction or lacks necessary capabilities, but an additional system also introduces integration, implementation, governance, and cost questions. Compare the complete workflow, including handoffs, rather than assuming a standalone portal is better.

Make that decision against specific gaps, not a general desire for a newer interface. For example, test whether the existing portal lets borrowers start and resume an application, work with a co-borrower, upload requested documents, and see outstanding items. Then test whether staff can see borrower activity, manage follow-up, and pass information to the systems they use. If the current tools meet those needs, a separate platform may add complexity without solving a demonstrated problem. If there are gaps, ask each POS vendor to show how its product closes them and what new integration or staff steps it adds.

Build a comparison around the lender’s real workflow

Fannie Mae’s Q1 2024 Mortgage Lender Sentiment Survey questionnaire listed costs, market influence or share, features or functionality, implementation, integration, and proven record of success as criteria for selecting technology service providers. The questionnaire lists criteria, not a published ranking or product evaluation. Use them as a starting grid, then test each criterion against your channel, loan mix, staff roles, and technology environment.

Before requesting demos, choose a representative purchase or refinance file and write down the path it follows today: who starts the application, who requests documents, how staff follow up, which system receives the application record, and what happens as the loan approaches closing. Include the lender’s actual roles and required service providers. This gives the selection team a consistent baseline. Without one, a vendor can demonstrate an attractive feature without showing whether it fits the lender’s broader process.

Evaluation area What to assess Evidence to request
Borrower workflow Application experience, co-borrower handling, document requests and uploads, status visibility, mobile usability, reminders, and e-signature where needed. A live walkthrough on a phone and a realistic file, including a pause-and-resume and a document upload.
Loan-officer workflow Pipeline view, tasks and conditions, borrower communications, scenario or pricing workflow, assistant and processor handoffs, and work across channels. A demonstration of staff actions on the same file used to test the borrower journey.
Integration and data ownership Which system is authoritative; how fields, documents, and status changes move among the POS, LOS, CRM, pricing, verification, credit, appraisal, disclosures, and closing tools. A demonstration of both directions, duplicate handling, failed-sync alerts, and any manual reconciliation.
Implementation Configuration or migration effort, workflow design, branding, training, testing, rollout sequence, support model, and internal staffing. A proposed implementation plan with lender responsibilities, milestones, and support expectations.
Cost Subscription, per-application or per-closed-loan charges, e-signature or other transaction fees, integrations, implementation, support, minimums, and contract duration. A quote modeled at low, expected, and high monthly volume, with optional modules and assumptions shown.
Track record and fit Experience with comparable lenders, channel and loan-mix fit, deployment scope, service commitments, and implementation outcomes. References and evidence tied to a lender with a similar operating model.
Controls and governance Security and privacy, role-based access, audit history, retention and export, disaster recovery, compliance-support boundaries, and contract terms. Product documentation and contract language reviewed by the lender’s appropriate security, compliance, legal, and operations teams.

Use the grid to record evidence as well as impressions. A “yes” on a feature list is less useful than a note describing what the demo showed, which product or module supplied the capability, and whether staff intervention was required. Where a vendor cannot demonstrate a requested function, record that as an open question rather than assuming it is included or unavailable.

Test borrower and staff experiences separately, then together

A polished borrower portal can still leave employees entering the same information twice or searching across fragmented records. Evaluate the two journeys independently first so shortcomings are visible, then follow the handoff between them using the same loan file.

Borrower journey

  • Can a borrower start an application on a phone, save progress, and resume later?
  • Can a co-borrower participate without confusing account access or file ownership?
  • Are requested documents and outstanding items clear, and can the borrower upload files from a mobile device?
  • Does the borrower see useful status information and receive appropriate reminders?
  • Where included, how do e-signature, e-delivery, disclosures, or closing steps fit into the journey?

Ask the vendor to show the complete sequence rather than jumping between isolated screens. A borrower should be able to understand what action is needed next, while the loan officer should be able to see the resulting activity. Where the workflow relies on another product for e-signature, e-delivery, or closing, clarify that dependency and whether it is in the proposed scope.

Loan-officer and operations journey

  • Can staff see pipeline status, upcoming tasks, conditions, and borrower activity in a workable view?
  • Can a loan officer communicate a clear next step and hand the file to an assistant or processor without losing context?
  • How are changes to borrower details reviewed and reflected in connected systems?
  • Can employees work across channels while retaining a useful history of interactions and actions?

Include the people who would receive the handoff in the evaluation. A loan officer’s view may look straightforward, while assistants or processors may need different task visibility or a different way to manage conditions. Ask the vendor to make those roles explicit in the demo and to show what each role can see and do.

Combined handoff

Trace an application, uploaded documents, and a status change from the POS into the LOS. Ask the vendor to show where each item lands, whether it synchronizes one-way or both ways, and what happens when a field conflicts, a duplicate is detected, or a transfer fails. Identify who notices the exception, who resolves it, and whether the correction must be made in one system or several.

Do not stop once the vendor shows a successful transfer. Ask what staff see when the transfer does not succeed, how they know whether a document or status is current, and what steps are required to reconcile the record. The practical cost of an integration is not only whether systems connect; it is also the work required to keep information consistent when exceptions occur.

Verify integrations in your environment

An integration count or compatibility statement does not establish that a particular connection is available, included, or configured for your lender. Map the systems the lender actually uses and confirm the specific services and data involved. For every required connection, ask:

  • Which fields, documents, and status events synchronize?
  • In what direction does each item move, and when does the transfer occur?
  • Which system is authoritative if records differ?
  • How are duplicates, missing data, and failed transfers surfaced to staff?
  • What manual reconciliation remains, and who is responsible for it?
  • Are there separate setup, transaction, or ongoing charges for the integration?

Require a demonstration using the lender’s LOS and, where possible, its service-provider configuration. A product page’s broad partner list or a vendor’s statement that an integration is bi-directional is a useful lead for questions, not proof of the lender-specific behavior.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Map more than the main LOS connection. The lender may also need to understand how the proposed workflow touches its CRM, pricing and eligibility tools, verification providers, credit, appraisal, disclosure, or closing services. The purpose is not to assume every vendor handles all of these connections. It is to identify which ones are in scope, where data moves, and whether a given capability depends on a separate provider or product.

Compare pricing on a like-for-like basis

Published prices use different billing bases, and prices or packaging can change. A per-application charge is not directly comparable to a per-closed-loan charge without applying both to the lender’s own volume assumptions. Treat vendor-published figures as starting points for a quote, not as a complete estimate of total cost.

Use the same low, expected, and high volume scenarios for every proposal. State the assumptions behind each scenario, including the number of applications and closed loans, and ask vendors to price the same scope of capabilities. This makes it easier to see whether a quote changes with application volume, funded volume, transaction use, or optional modules. It also helps expose charges that may not appear in a headline price, such as implementation, support, integration, or e-signature fees.

Vendor example Published description and price What to verify
Calyx Software ZIP POS Calyx’s product page, accessed in 2026, lists $3 per loan application and says ZIP POS is available only with a Point LOS subscription. It also lists an eSign package at $1.50 per transaction, says there is no upfront fee or monthly minimum, and states that Point integrates with more than 200 vendor partners. Current eligibility and pricing, what counts as an application or transaction, the required Point subscription, included eSign scope, and whether each needed partner integration is available and configured for the lender. The partner count is Calyx’s claim, not an independent inventory audit.
Mortgage Automation Technologies BIG POS The BIG POS product page, accessed in 2026, lists a core price of $44.99 per closed loan and describes borrower, loan-officer, and real-estate partner portals, mobile access, rules-driven workflows, and bi-directional Encompass integration. Current quote and scope, what the core price includes, how closed loans are counted, and how the Encompass integration behaves in the lender’s configuration.
Mortgage Cadence borrower center Mortgage Cadence describes branded applications, borrower self-service, status and condition views, document upload, eDelivery, eSign, eClose, and loan-officer pipeline tools as part of an integrated platform. A comparable price was not stated on the cited product page. Current packaging and quote, which capabilities are included, and how the platform fits the lender’s existing systems and workflow.

These are vendor-published examples, not independent endorsements or comparative performance results. Before comparing quotes, ask vendors to state the billing unit, any minimums, contract term, implementation charges, support charges, optional modules, transaction fees, and integration costs. Model each quote against low, expected, and high monthly application and closing volumes so that differences in billing basis are visible.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Be careful not to compare an application fee with a closed-loan fee as though they were the same unit. Ask each vendor to define the event that triggers a charge, what happens to a started but unclosed file, and whether any per-transaction services are separate from the core POS price. Confirm whether quoted integrations, implementation, and support are one-time or recurring charges, and request the assumptions in writing. The available examples do not establish the total cost for any lender; the lender’s quote and actual volume mix are necessary for that comparison.

Run the same demo scenario with every vendor

Use a representative purchase or refinance file, and ask every vendor to follow the same sequence. Do not let the demonstration stop at a polished borrower screen: the key question is whether staff can carry the file forward accurately.

  1. Start on a phone: Have a borrower begin an application, add a co-borrower, pause, and resume.
  2. Collect documents: Upload requested documents and show how the borrower sees what remains outstanding.
  3. Handle staff follow-up: Have a loan officer review the file, communicate a next step, and update a changed borrower detail.
  4. Show the LOS handoff: Send the application, documents, and status changes to the LOS. Show where the data lands and how duplicates or failed synchronizations appear.
  5. Exercise required services: Demonstrate the third-party services the lender needs, plus any disclosure, e-signature, or closing workflow included in the proposed scope.
  6. Inspect controls and exit: Show reporting, audit history, role permissions, and how the lender exports its data at contract end.
  7. Price the scenario: Quote low, expected, and high monthly volume, including implementation and optional modules.

Record what the platform completes natively, what depends on another product, what requires staff intervention, and what the quote excludes. That gives the selection team a comparable record rather than relying on different vendors’ feature labels.

Keep a short issue log alongside the comparison. For each unanswered question, note who at the lender needs to validate it, what documentation or demonstration would resolve it, and whether it affects cost, implementation, or daily workflow. This prevents an attractive demo from being mistaken for a confirmed capability and gives vendors a fair opportunity to clarify scope before a decision.

Plan implementation before signing

Implementation is one of the selection criteria named in Fannie Mae’s 2024 questionnaire, and the practical work can affect both borrower experience and staff adoption. Ask for a proposed rollout sequence that identifies configuration or migration work, workflow design, branding, training, testing, support, and the lender’s internal staffing needs. The goal is to understand what the vendor will do, what the lender must do, and which assumptions affect timing or effort.

During evaluation, identify which internal teams need to participate. Operations can explain the current workflow and exceptions; loan officers and support staff can test the day-to-day experience; technology teams can validate the LOS and provider connections; and security, compliance, legal, and operations reviewers can assess documentation and contract terms. The vendor should describe training and support expectations for the people who will use the product, not only the technical configuration.

Ask how testing will cover the same borrower journey used in the demo: application start and resume, co-borrower participation, document upload, staff follow-up, data transfer, and error handling. Clarify how the lender will verify records in the LOS and connected services before relying on the new workflow. Confirm the support model during rollout and after launch, including how staff should report an issue and what response commitments are contractual rather than informal assurances.

Validate controls, support, and contract terms

Product pages do not independently establish a platform’s security, privacy, accessibility, audit quality, compliance support, or service performance. Review documentation and contractual commitments with the lender’s relevant internal reviewers instead of treating a feature description as assurance.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Security and privacy: Review the vendor’s documentation and the lender’s requirements for access, data handling, retention, and incident response.
  • Permissions and auditability: Confirm how roles are assigned and what borrower, staff, and system actions appear in the audit history.
  • Accessibility: Test the borrower and staff interfaces against the lender’s needs; do not infer accessibility from mobile usability alone.
  • Compliance responsibilities: Clarify what the platform supports and what remains the lender’s responsibility.
  • Continuity and service: Review disaster-recovery information, support channels, response commitments, and service-level terms.
  • Data ownership and exit: Establish what data can be exported, in what format, and what happens to records at contract end.

Make the exit discussion concrete before signing. The demo should show how data export works, and the contract review should establish what can be exported, in what format, and what happens to records when the agreement ends. Similarly, ask for specific support and service commitments in the documentation or contract. A verbal description of support or an audit feature should not substitute for reviewing the actual terms and product behavior.

Make the decision with evidence, not feature counts

Score each platform against the same workflow, integration map, implementation assumptions, cost scenarios, and governance requirements. Give more weight to issues that can disrupt the lender’s actual process: inaccurate or incomplete synchronization, unclear ownership of the loan record, difficult borrower document collection, or unplanned manual work. A capability that appears on a feature list has limited value if it is unavailable in the proposed package or does not work with the lender’s configuration.

Before signing, obtain a current written quote, confirm the exact product scope and integrations, and document implementation responsibilities and contract-end data export. The strongest choice is the one that works for both borrowers and staff within the lender’s real operating environment—not necessarily the one with the longest feature list.

Frequently Asked Questions

How is a mortgage POS different from an LOS?

A POS commonly supports borrower intake and engagement, including application start, document collection, communication, and progress visibility. An LOS commonly supports lender-side processing, underwriting, and closing. Those are functional distinctions, not fixed product boundaries; confirm which system owns the authoritative loan record and where each capability lives.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do I need a separate POS if my LOS or CRM already has a borrower portal?

Not necessarily. Test the existing portal against the borrower and staff workflows you need, including application completion, co-borrower handling, document uploads, staff follow-up, and the handoff into connected systems. Consider a separate POS when it addresses demonstrated gaps, while also accounting for its integration, implementation, governance, and cost implications.

What should I ask about a POS-to-LOS integration?

Ask which fields, documents, and status changes move; whether transfers are one-way or bidirectional; which system is authoritative when records differ; how duplicates or failed transfers are surfaced; and what staff must reconcile manually. Whenever possible, have the vendor demonstrate the connection using your lender’s LOS configuration.

How should I compare mortgage POS pricing?

Use the same low, expected, and high application and closing volumes for each quote. Confirm the billing unit, transaction fees, minimums, implementation and support charges, integration costs, optional modules, and contract term. For example, Calyx’s published ZIP POS price is per application, while BIG POS lists a price per closed loan; those units are not directly comparable without the lender’s volume assumptions.

What should a mortgage POS demo include?

Ask every vendor to demonstrate the same file: a borrower starts on a phone, adds a co-borrower, pauses and resumes, uploads requested documents, and sees outstanding items. Then have a loan officer follow up, change a borrower detail, and send the application, documents, and status changes to the LOS. Also inspect required third-party services, audit history, role permissions, reporting, data export, and scenario-based pricing.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do vendor product pages prove security, accessibility, or compliance fit?

No. Product descriptions and prices do not independently establish security, privacy, accessibility, audit quality, compliance support, or service performance. Review relevant documentation and contract language with the lender’s security, compliance, legal, operations, and technology reviewers.

The Bottom Line

Choose a mortgage POS by following one realistic file through the borrower experience, staff workflow, LOS and provider handoffs, implementation, and contract-end export. Compare current written quotes using the lender’s own volume assumptions, and validate every integration, control, and service claim in the proposed configuration. The right platform is the one that works for borrowers and staff without creating avoidable manual work or uncertainty about the loan record.
