Compare usability, integrations, implementation, licensing and contract terms—not just feature lists. There is no universal winner, and current prices or compatibility cannot be assumed without a buyer-specific vendor quote and demonstration.
Start with the work that is breaking down
Before looking at products, trace how a project moves from estimate and setup through field execution and closeout. Procore’s selection guidance recommends assessing company needs and assembling a buying team before choosing software (Procore’s selection guide, updated Dec. 10, 2025).
Map the handoffs between estimating, project management, field crews, accounting and closeout. Mark where people re-enter the same information, lose track of drawing revisions, chase approvals, miss commitments or costs, or struggle to get field updates back to the office. These are the problems a system should solve; a long feature list is not a substitute for that diagnosis.
Build a buying team
Include the people who will select, administer and use the system: for example, company leadership, project managers, superintendents, accounting or operations staff, and IT or software administrators. Ask each group to identify its essential tasks and current bottlenecks. This helps surface conflicts early, such as an office workflow that is efficient for administrators but cumbersome for field staff.

Turn pain points into must-have workflows
Translate the problems you found into specific tasks the system must support. Construction software vendors describe capabilities such as scheduling, RFIs, submittals, drawings and document control, daily logs, photos, cost tracking and reporting; use those categories as prompts, then define what each means for your company (Procore’s buyer’s guide; Procore’s project management page; Autodesk Forma’s general contractor page).
Separate required workflows from optional features. A requirement should be stated as an action and outcome, such as “a superintendent can find the current approved drawing on a phone” or “a project manager can see the status of open RFIs.” That is more useful in a demonstration than asking whether a vendor “has document control.”

- Documents and drawings: How are revisions identified, approved and made available to the field?
- RFIs and submittals: How are requests created, routed, tracked and surfaced when overdue?
- Schedule and field updates: How do crews see changes, and how do daily reports, photos or progress updates reach project managers?
- Cost visibility: Which commitments, changes or cost details must be visible, and to whom?
- Reporting and closeout: What recurring reports, records and handover tasks need to be completed?
Test whether field and office users can do the work
Use demonstrations or a pilot with people who will use the system on real jobs. Give each shortlisted vendor the same scenario and ask users to complete representative tasks on the devices and under the conditions they actually face. Procore describes mobile access to current drawings, daily reports, photos, RFIs, submittals and schedules, as well as offline functionality; those are vendor statements to validate in the proposed configuration, not guarantees about every plan or workflow (Procore’s project management page).
- Find the latest drawing for a specific location and confirm how a user can tell it is current.
- Locate and review a specification or other project document.
- Record a daily update and attach a photo.
- Create or respond to an RFI and check how its status and approval history are shown.
- Find a schedule change and determine who can see it in the field.
- Repeat key tasks on a mobile device, including with connectivity limited or unavailable if crews work in those conditions.
Observe where users hesitate, need help or resort to a workaround. A system that technically supports a workflow but is confusing in daily use can shift work rather than reduce it. Include occasional users and, where relevant, trade partners in usability checks; their access and experience may differ from that of full-time office staff.

Verify integrations and data ownership
List every system that must exchange information with the project management platform, such as accounting, ERP, CRM, document management, analytics or scheduling tools. For each, ask the vendor to demonstrate the exact connector and data flow using your systems and a realistic example.
Clarify which system owns each record, what information moves in each direction, how often it syncs, what happens when a transfer fails, and which steps remain manual. Procore reports over 400 out-of-the-box integrations, while Autodesk reports more than 400 pre-built integrations; these vendor-reported counts do not establish that a particular connector is available, included or suitable for your configuration (Procore; Autodesk Forma).

Compare growth costs and operational effort
Ask for a current, written quote based on your expected users, projects, required modules, integrations, onboarding and support. The available vendor pages do not establish comparable prices or the total cost for a specific contractor, so a headline price or broad licensing claim is not enough to budget from.
Review licensing and ownership terms alongside the quote. Procore describes an unlimited-user policy for specified offerings, and Autodesk’s general-contractor page describes unlimited users and document storage under its stated pricing model. These are vendor claims tied to offerings and terms that should be confirmed in the current quote and contract (Procore; Autodesk Forma).

- How are users, projects, storage and modules priced, and what changes the bill as the company grows?
- What implementation, migration, configuration and training work is included, and what is extra?
- What support is available, when, and under what terms?
- How much staff time will be needed to maintain templates, permissions and workflows as teams expand?
- What are the renewal, expansion, cancellation and data-export terms?
Use a consistent scorecard and decision process
Score each shortlisted system against your must-haves, using evidence from the same demonstration scenario rather than different vendor presentations. Weight the criteria according to your current problems and likely growth needs; record both a rating and the specific evidence behind it.

For every criterion, note pass, fail or unresolved, along with user feedback and any remaining risk. Make the decision on demonstrated fit
Choose the system that handles your essential workflows reliably, works for the people expected to use it, connects to the systems you need and has acceptable implementation and contract terms. Keep unresolved items visible until the vendor confirms them in a demonstration, quote or contract. A product’s broad adoption or advertised integration count is not evidence that it fits your company’s process; Autodesk’s claim that its software is trusted on “2M+ projects” is marketing context, not a measure of suitability for an individual contractor (Autodesk Forma).
