How to Check Whether a Supplier’s GSTIN Is Active Before Buying

Use the GST Portal’s Search Taxpayer tool to check a supplier’s GSTIN status and compare the returned business details with the purchase documents.

Check the supplier’s GSTIN on the official GST Portal using Search Taxpayer. Confirm the result says Active, then compare the record’s legal name, trade name and other relevant details with the supplier’s quotation, invoice or purchase documents. If the status is cancelled or inactive, or the identity does not line up, pause the purchase until the supplier explains or corrects the discrepancy.

This is a point-in-time registration check—not a guarantee about the supplier, a particular invoice or your eligibility for input tax credit.

What an active GSTIN check tells you

A GSTIN lookup lets you check whether the GST Portal currently reports a registration as active and whether the registration details correspond to the business that gave you the number. It is a practical screening step before you rely on a supplier’s GST details.

GSTN’s Welcome Kit describes the Search Taxpayer facility and the information it can return. That record may include the legal name, trade name, jurisdiction, registration date, constitution of business, taxpayer type, GSTIN/UIN status, cancellation date, nature of business activities and a return-filing table. Which fields are visible can depend on the record and the portal’s current interface.

These fields help you assess whether you are looking at the expected registration, not just whether a sequence of characters produces a result. The legal name may be the registered person’s formal name, while the trade name may be the name customers recognize. Jurisdiction, constitution of business and nature of business activities can provide additional points to compare where relevant. A return-filing table is part of the kinds of information the Welcome Kit describes, but it should not be treated as a substitute for a separate review of the transaction or tax position.

An Active result means the portal reports that GSTIN as active when you search. It does not, by itself, establish that the supplier will deliver, that a specific invoice is valid in every respect, or that you can claim input tax credit. The lookup covers registration information; transaction-specific tax treatment may depend on other facts.

How to check a supplier’s GSTIN on the GST Portal

  1. Copy the GSTIN from the supplier’s paperwork. Use the number on the quotation, invoice or other business document, and check each character carefully. GSTN’s ITC-04 user guidance warns against typing the letter “O” where the numeral “0” belongs. Do not “correct” a number based on memory; compare it with the original document or ask the supplier to confirm it.
  2. Open the official GST Portal and choose “Search Taxpayer.” GSTN’s guidance describes searching by GSTIN/UIN. Its Welcome Kit also describes searching by PAN; for a direct check of the number supplied by the vendor, use the GSTIN/UIN search. Labels and portal layout can change, so use the live portal rather than relying on an old screenshot or set of directions.
  3. Enter the GSTIN/UIN and submit the search. Review the returned taxpayer record rather than relying on a screenshot, copied search result or the supplier’s own statement. The point is to compare the number and identity fields against the current record displayed by the official portal.
  4. Check the status field. Confirm the portal displays Active at the time you perform the lookup. GSTN’s GSTR-7 Offline Utility instructions explicitly tell users to verify GSTIN validity through Search Taxpayer and ensure the registration is active. That utility was last updated on 8 July 2020; use the live portal for the current status and interface.
  5. Match the record to the supplier. Compare the legal name and trade name with the paperwork, along with any other relevant business details shown. Save or record the result and the date checked if you need an audit trail for your purchasing process.
  6. Resolve discrepancies before relying on the number. If the result is inactive, cancelled or inconsistent with the supplier’s documents, check the characters again and ask the supplier to clarify or provide corrected details. For a material purchase or an unresolved issue, get advice from a qualified tax professional before proceeding.

What to compare in the taxpayer record

Read the record as a set of identity and registration details. Start with the GSTIN/UIN status, then check the names and other fields against the document in front of you. The comparison does not need to become a full investigation: it is a way to catch a wrong, mistyped or unexplained number before you rely on it.

  • Legal name: Compare it with the registered or legal name shown on the supplier’s business paperwork, where available. If the supplier trades under a different name, do not assume that difference alone means the GSTIN is false.
  • Trade name: Look for the trading or brand name the supplier uses. GSTN lists legal name and trade name separately, so check both fields rather than expecting one name to appear identically everywhere.
  • Taxpayer type and constitution: These can help you understand the kind of registration and business entity reflected in the record. Compare them if they are relevant to the supplier identity or documents you received.
  • Jurisdiction and registration date: These are additional record details identified in the Welcome Kit. They may help distinguish or confirm a record, but they do not independently prove that a transaction is proper.
  • Nature of business activities: Consider whether the listed business activity is broadly consistent with the supplier you are dealing with. Treat an apparent difference as a question to clarify, not as a conclusion based on the field alone.
  • Cancellation date, if displayed: If the status is cancelled and a cancellation date is present, note it and ask the supplier to explain or provide the correct GSTIN before relying on the number.

Not every field will be decisive for every purchase, and the portal’s available details or display may change. The core checks are the live status and whether the record’s identity makes sense alongside the supplier’s documents.

How to interpret the result

If the status is Active

Treat the result as evidence that the GST Portal currently reports an active registration for the GSTIN searched. Verify that the identity fields fit the supplier and the purchase documents. If the supplier uses a familiar trading name that differs from the legal name, look for both fields in the record rather than treating the difference alone as proof of a problem.

Keep the scope of the check in mind: it establishes what the portal reports about the registration at that moment. It is not a full review of the supplier’s conduct or your purchase’s tax documentation. If a separate issue appears on the quotation, invoice or transaction, an Active status does not answer it automatically.

If the status is Cancelled

Do not continue to rely on that GSTIN without clarification. Ask the supplier to explain the result and, if appropriate, provide corrected registration details or supporting documentation. Make sure the number was entered correctly before concluding that the record is the one intended.

A cancelled result is not something to work around by accepting a different name or an assurance that the registration “should still be fine.” Ask for the exact GSTIN intended for the purchase, check it on the portal, and make sure the returned identity details reconcile with the documents. If the supplier cannot resolve the discrepancy, consider postponing reliance on the GST details and obtaining qualified tax advice for a material transaction.

If the status is Inactive

Pause and seek an explanation rather than treating the number as usable. GSTN’s GST Portal – Known Issues & Suggested Solutions material distinguishes status cases and, for the inactive-status situation it addresses, points users toward seeking clarification from the jurisdictional officer. The appropriate next step can depend on the specific record and circumstances.

Do not infer from the word “Inactive” alone what caused the status or how it affects every aspect of a proposed purchase. First verify that the identifier was entered accurately, then ask the supplier to clarify the record. Where the issue remains unresolved, follow the status-specific guidance applicable to the record or seek advice rather than treating the number as confirmed.

If the name or other details do not match

First check for an entry error, including the O/0 distinction. Then compare both legal and trade names: GSTN treats them as separate fields, so a trading name can differ from the legal name. Ask the supplier to explain any remaining mismatch and provide corrected paperwork if needed. Do not assume the difference is harmless, but do not treat a trade-name difference alone as conclusive evidence of a false GSTIN.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Be specific when you ask. Point out the field that differs and ask the supplier to identify the registered entity associated with the number. A clear explanation may reconcile a legal name on the portal with a different trading name on a quotation. If the explanation does not match the portal record, or the supplier gives you a replacement number, search that replacement independently before using it.

If no record appears or the result is unclear

Re-enter the GSTIN carefully and try the search again. If the result remains unclear, ask the supplier to confirm the GSTIN and provide an explanation. Avoid relying on an ambiguous result as confirmation that the registration is active; use the portal’s live record or seek qualified advice if the purchase is significant.

A failed or unclear search is not the same thing as an Active result. It may be an input problem or another issue that needs resolution, but the available record has not confirmed the supplier’s details. Do not fill the gap with a third-party listing, a supplier-provided screenshot or a search result that cannot be checked against the official portal.

When to perform the check

GSTIN status is a point-in-time result and can change. Check close to the purchase or the point at which you will rely on the supplier’s GST details. For a longer procurement process, a check performed during vendor onboarding may not reflect the status at the time of a later order; repeat the lookup when timing matters.

The timing should match the decision. If you are comparing vendors or setting up a supplier, an early lookup can help identify a problem before the relationship advances. If an order is placed much later, or a discrepancy surfaces before payment or document processing, check again rather than assuming the earlier result is still current. This is particularly useful when the status itself is central to whether you proceed.

For repeat purchases, keep a record of the GSTIN checked, the date, the status shown and any clarification received. A saved record helps document what you reviewed, but it does not turn an earlier result into a current status check. Record the number exactly as searched so that someone reviewing the file can distinguish a portal lookup from a supplier’s statement.

Official portal versus other sources

For the status reference, use the official GST Portal’s Search Taxpayer record. GSTN’s Welcome Kit describes that official lookup and its returned taxpayer details, while GSTN’s GSTR-7 Offline Utility tells users to verify GSTIN validity on the portal and ensure the registration is active. These instructions support the portal as the place to confirm the current registration status.

A supplier’s paperwork is still important, but it serves a different role: it gives you the number and the business identity to compare against the record. A supplier email, a saved screenshot or a third-party summary may help you identify what to check, but it is not a replacement for checking the official record yourself. This is not a reason to disregard a supplier’s explanation; it is a reason to confirm the corrected details at the government source.

The task is a simple online lookup and does not require buying a product or subscribing to a paid service. Organizations that handle repeated supplier checks may have broader vendor-onboarding or GST compliance processes, but the essential screening step described here remains a portal search and comparison. For an individual unresolved tax question, a qualified GST practitioner or tax adviser may be useful; the lookup itself does not require one.

What to do when a discrepancy affects the purchase

  • Stop before relying on the disputed details. Do not treat an inactive, cancelled or mismatched record as confirmed merely because the supplier has supplied an invoice or quotation.
  • Ask a specific question. State the GSTIN searched, the status or identity field that differed, and request a corrected number or an explanation that reconciles the record with the paperwork.
  • Keep the question tied to the record. For example, ask whether a different legal name belongs to the trade name shown on the quotation, or whether the GSTIN on the document was mistyped. Avoid relying on a general assurance if the actual mismatch remains unexplained.
  • Recheck corrected information. Search the corrected GSTIN on the official portal and compare the record again before proceeding. Do not assume a replacement number is valid simply because the supplier sent it.
  • Preserve a simple audit trail. For a repeat purchasing process, record the GSTIN, lookup date, status, identity details that mattered and any clarification. Keep this as evidence of the screening you performed, not as proof of future status or tax entitlement.
  • Escalate unresolved cases. If the transaction is material, the supplier cannot reconcile the details, or you need to know how the issue affects tax treatment, consult a qualified GST practitioner or tax adviser.

Common mistakes to avoid

  • Confusing O with 0: GSTN specifically warns about this character-entry error. Recheck the original number and all characters before interpreting a result.
  • Checking only the status: An Active result is not enough if the business identity on the record does not fit the supplier’s documents. Compare the identity fields too.
  • Rejecting a supplier only because its trade name differs: Compare the legal and trade name fields and ask for an explanation before drawing a conclusion.
  • Using an old check as current proof: Registration status can change, so check again close to the transaction when the timing matters.
  • Treating the lookup as a tax or fraud guarantee: The portal check confirms the displayed registration details and status, not every fact about the supplier, invoice or buyer’s tax treatment.
  • Relying on a third-party summary instead of the portal: Use the official GST Portal record as the status reference, then compare it with the supplier’s paperwork.
  • Assuming a mismatch has only one explanation: A name difference may be reconcilable because the legal and trade names are separate fields, but that does not make every mismatch safe to ignore. Ask and verify.
  • Assuming the portal layout is frozen: Older guidance may describe the enduring lookup instruction, but the live portal is the current place to check the status and fields shown.

What the GSTIN lookup does not replace

The Search Taxpayer result is one verification step. It does not establish every fact needed to assess a purchase or decide the buyer’s tax position. If the record is active but the invoice, transaction or supplier information raises a separate question, assess that issue separately. GSTN’s described lookup fields do not amount to a complete audit or a guarantee of input tax credit.

In particular, do not describe the result as proof that the supplier is trustworthy, that goods or services will be supplied as promised, or that every detail of an invoice is correct. The utility is described as a way to verify GSTIN authenticity and help avoid fake GSTINs, which makes it useful screening; its stated function should not be extended into a guarantee about future performance or a buyer’s tax outcome.

For routine screening, the practical standard is straightforward: search the supplied GSTIN on the portal, verify the live status, match the displayed identity details, and resolve inconsistencies before relying on the number. Seek tax advice when the remaining question is about the specific transaction rather than the registration record.

Frequently Asked Questions

Where can I check whether a supplier’s GSTIN is active?

Use the official GST Portal’s Search Taxpayer function and search by the GSTIN/UIN on the supplier’s document. Review the status in the returned record and confirm it shows Active at the time you check.

What details should I compare after the search?

Compare the GSTIN/UIN status and the record’s legal name and trade name with the supplier’s paperwork. The record may also show jurisdiction, registration date, constitution of business, taxpayer type, cancellation date, nature of business activities and a return-filing table. The fields shown can vary.

What if the supplier’s trade name is different from the legal name?

GSTN lists legal name and trade name as separate fields, so a difference alone does not establish that the GSTIN is wrong. Ask the supplier to explain how the names relate and check that the remaining details and GSTIN are consistent.

What should I do if the GSTIN shows Cancelled or Inactive?

Check the number again, including the distinction between the letter O and numeral 0, then ask the supplier to clarify or provide corrected details. Do not rely on the number until the issue is resolved. GSTN’s status troubleshooting material points toward seeking clarification from the jurisdictional officer for the inactive-status situation it addresses.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Does an Active GSTIN guarantee that I can claim input tax credit?

No. An Active result reports the registration status at the time of the lookup. It is not a complete review of a particular invoice, transaction or the buyer’s eligibility for input tax credit; seek qualified tax advice if that transaction-specific question remains.

Should I rely on a supplier’s screenshot or a third-party GSTIN checker?

Use the official GST Portal as the status reference and search the number yourself. A screenshot, supplier statement or third-party summary may point you to a number to check, but it does not replace the live portal record.

When should I check the supplier’s GSTIN?

Check close to the time you will rely on the supplier’s GST details, because status is a point-in-time result and can change. If you checked during onboarding and the order comes much later, repeat the lookup when timing matters.

The Bottom Line

Before relying on a supplier’s GST details, search its GSTIN on the official GST Portal, confirm the live status is Active, and match the legal and trade names and other relevant details to the paperwork. Recheck any corrected number and pause if a mismatch remains unresolved. An active status is a registration check at that moment—not a guarantee about the supplier, invoice or input tax credit.
