How to Check Whether a Supplier’s GSTIN Is Active and Compliant

Check a supplier’s GSTIN on the official GST Portal, compare the registration record with the invoice, review filing details for the relevant year and reconcile any ITC claim with GSTR-2B and your books.

Check a supplier’s GSTIN on the official GST Portal using Search Taxpayer. Search by GSTIN or UIN, compare the returned business details with the supplier and invoice, then open SHOW FILING TABLE to review the filing information for the relevant financial year. The GST Portal manual says the public search is available without logging in.

That lookup is a due-diligence check, not proof that the supplier has met every tax obligation. For an invoice, consider the registration status on the invoice date, review the relevant filing details, and—if you are assessing an input tax credit (ITC) claim—reconcile the invoice with your GSTR-2B and accounting records.

How do I check if a supplier’s GSTIN is active?

  1. Open the official GST Portal and choose Search Taxpayer. Use the public GSTIN/UIN search; the GST Portal manual says it can be used without logging in. Use the government portal rather than relying only on a certificate, screenshot or GSTIN copied into an email, since those items do not show what the live portal currently displays.
  2. Enter the supplier’s GSTIN or UIN and complete the captcha. Submit the search and review the taxpayer record returned by the portal. Carefully check the number you entered against the invoice: a transposed digit or a search for a related company’s GSTIN can produce a misleading comparison.
  3. Compare the record with your supplier and invoice. Check the legal name, trade name, effective registration date, constitution of business and principal place of business. Review any cancellation information shown. Match the record to the actual contracting or invoicing party, not merely to a familiar brand name.
  4. Check the filing information. Select SHOW FILING TABLE, choose the financial year relevant to your review, and search to display the filing details. Check the return-filing-frequency view as well. Monthly and quarterly frequencies are described in the GST Portal manual, so account for the supplier’s displayed frequency when reviewing the information.
  5. Save the result with your transaction records. Note when you performed the check, which GSTIN you searched and which financial year you reviewed. Keep the result alongside the invoice or vendor-onboarding record so another reviewer can see what you checked. Recheck close to the transaction if the supplier’s status or filings may have changed.

The portal’s public record is useful for confirming what it displays about a registration and its filings. It does not establish, by itself, that every return is accurate or every liability has been paid. Think of the search as one step in verification: it helps establish identity and visible registration information, while invoice review, filing review and ITC assessment answer different questions.

What details should you compare?

A GSTIN check is most useful when you compare the portal record with the actual counterparty, not when you treat a matching number as the whole verification. The GST Portal manual lists these public-search details:

#1 Best Overall

  • Clear Print Quality: Displays high-resolution printing intended to remain legible through regular use and cleaning
  • GSTIN/UIN: Confirm that the number you searched is the one shown on the supplier’s invoice and records. If the supplier uses more than one registration, make sure the invoice’s registration is the one relevant to the transaction you are reviewing.
  • Legal name and trade name: The legal name identifies the registered business; the trade name may be the name the supplier uses with customers. A difference between the two is not automatically evidence of fraud, but the supplier should be able to explain it. For example, a familiar storefront or brand may not be the legal entity named on the registration.
  • Effective registration date: Compare the date with the invoice date when checking whether the registration existed for the transaction. A registration that took effect after the invoice date raises a different question from a registration that was effective by then.
  • Constitution of business: Check that the type of entity shown makes sense for the supplier you contracted with. If your purchase order, contract or invoice names a different entity type or legal party, ask the supplier to explain the relationship rather than guessing.
  • Principal place of business: Compare the address with the supplier information and invoice, allowing for a legitimate branch, trading name or other explained difference. The principal place is a useful identity cross-check, but a different delivery location by itself does not establish that the GSTIN is wrong.
  • Cancellation information, if applicable: Note any cancellation date shown and compare it with the transaction date. A cancellation date may matter differently for an old invoice than for a new transaction, so do not treat a current search as a complete record of historical status.

If a name or address differs, ask the supplier to identify the legal entity, the GSTIN used for the transaction and the relevant place of business. A trade-name variation alone is not enough to conclude that the registration is invalid. Record the explanation and supporting transaction documents; if the mismatch remains material, pause the review and seek tax-professional advice appropriate to the facts.

Is the GSTIN active now, or was it active on the invoice date?

These are different questions. A portal lookup tells you what the record shows when you perform the search; an invoice review may require you to establish the registration status for an earlier date. A supplier’s status can change, so a current result does not, by itself, settle the status that applied when an invoice was issued.

The GST Portal’s GSTR-1 guidance says a recipient GSTIN must be valid and active on the invoice date for invoice details to pass the portal’s validation. For a buyer checking a supplier, this reinforces the need to relate registration status to the transaction date rather than relying only on a later search. Compare the effective registration date and any cancellation information displayed with the invoice date. If the portal does not make the historical position clear, ask the supplier for clarification or seek tax-professional advice before relying on the invoice.

Keep the two time questions separate in your notes: “What does the portal show today?” and “What status applied on the date of this invoice?” The first can be answered from the current public record. The second may require you to interpret the displayed effective or cancellation dates in relation to the transaction and clarify any uncertainty. Avoid treating a later active result as proof of an earlier status, or a later change as automatic proof about every earlier transaction.

How do I check GST return filing status?

Use the filing table in the GST Portal record. Select SHOW FILING TABLE, choose the financial year you need, and search. The portal also provides a view of return-filing frequency, with monthly or quarterly frequencies described in the GST Portal manual.

Read the result as filing information for the selected year—not as a complete compliance certificate. A displayed filing history does not prove that all tax was correctly calculated or paid, and an active registration does not mean every return or other obligation has been satisfied. If a particular return or period matters to your transaction, make sure the selected financial year and displayed details correspond to the period you are assessing. A filing table for the wrong year cannot answer a question about another year.

The supplier’s filing frequency matters when you interpret the view. The manual describes monthly or quarterly frequencies, so do not assume every supplier will have the same pattern or that a blank-looking period should be interpreted without checking the displayed frequency and year. Use the portal’s presentation as filing information, and ask the supplier for clarification if a relevant period is unclear. The lookup shows the filing information presented for that selection; it does not independently audit the content of a return or confirm the correctness of tax payment.

What a public search shows—and what login may add

View Information described by the GST Portal manual How to use it
Public Search Taxpayer lookup GSTIN/UIN, legal and trade names, effective registration date, constitution of business, principal place of business, cancellation date when applicable, and return-filing details. Start here to check registration identity and review public filing information without logging in.
Post-login view Additional information may include proprietor, director or promoter names; e-way bill history; annual aggregate turnover; percentage of tax payment in cash; and a place-of-business tab. Use additional displayed information as context when available. The manual notes that some taxpayer information is only available after login.

Availability of the additional fields is not a guarantee that every field appears for every taxpayer. Treat them as supplementary information rather than as a required checklist for every supplier. If the public record does not contain a detail you hoped to check, that absence alone is not proof of wrongdoing. Ask the supplier for an explanation or supporting records where the missing information affects your decision.

The practical distinction is convenience versus detail: the public lookup is the starting point for a buyer who needs identity and displayed filing information, while a post-login view may provide more context. Neither view turns the search into a complete legal audit. Use only the information relevant to the transaction and avoid drawing conclusions from a field that is not shown.

Does “active” mean the supplier is compliant?

No. Registration status answers a narrower question than overall compliance. The public search and filing table can help you confirm the identity and status information displayed by the portal and see filing details for a selected year. They do not prove that every return is correct, that every amount due was paid, or that every other GST obligation was met.

The GST Portal manual describes a GST Compliance Rating on a scale from 0 to 10, based on factors such as timely return filing, tax payment and penalties. The manual page does not establish whether this rating is currently visible for all taxpayers or fully explain its present calculation. If a rating appears in the live portal, treat it only as a supplementary indicator—not as a definitive compliance certificate. Do not use a score as a substitute for checking the registration, relevant filing details or the transaction’s ITC requirements.

In practical terms, “active” is a status result, filing history is evidence of filing information presented by the portal, and compliance is a broader conclusion. The portal lookup is useful for screening and follow-up, but a buyer should not infer tax paid, return accuracy or full legal eligibility from the word “active” alone.

How should buyers check an invoice before claiming ITC?

  1. Check the supplier registration and invoice details. Compare the invoice’s GSTIN, business identity and transaction date with the GST Portal information. Make sure you have searched the GSTIN actually printed on the invoice and connected it to the named counterparty.
  2. Find the invoice or document in your GSTR-2B. GSTR-2B is a read-only, auto-drafted statement based on supplier-furnished information and other system data. Check that the relevant invoice or document appears in the recipient-side statement you are reviewing.
  3. Reconcile it against your books. Check that the invoice details you recorded agree with the document and the recipient-side statement. Investigate differences in invoice identifiers or other details with the supplier and preserve the resolution in your accounting records.
  4. Apply the relevant ITC rules separately. The GST Portal’s GSTR-2B FAQ says the statement helps recipients claim the right ITC, but recipients must self-assess and observe other legal provisions. Presence in GSTR-2B is not the entire legal eligibility test.

GSTR-2B is static/read-only, and supplier information flows into it through filed returns and applicable cutoffs. A missing or differing entry therefore calls for reconciliation and follow-up; it is not resolved simply by seeing that the GSTIN is currently active. Conversely, an entry in GSTR-2B should not be treated as an automatic permission to claim ITC without checking the other applicable restrictions and the recipient’s own records.

This is the key comparison for an ITC review: supplier-side filing visibility in GSTR-2B helps you reconcile information, while the recipient remains responsible for assessing broader legal eligibility. Keep the supplier lookup, invoice, GSTR-2B result and books aligned, but do not collapse these separate checks into one yes-or-no status result.

Can you verify an e-invoice QR code?

For an e-invoice, the IRIS IRP help page describes verification of digitally signed invoice JSON and e-invoice QR codes. The QR code may contain supplier and buyer GSTINs, invoice number and date, value, HSN, IRN and the IRP digital signature. This can help check the authenticity of the e-invoice artifact. It does not replace the GST Portal status search, filing review or the buyer’s ITC assessment.

Use this as a document check, not as a substitute for verifying the counterparty. The QR verification addresses whether the digital invoice artifact and its signature information can be checked; the GST Portal search addresses the registration details and filing information it displays. A verified QR code does not by itself prove that the supplier’s registration was active on every relevant date or that the invoice meets all ITC requirements.

What should you do if the result is inconsistent?

  • Name or address difference: Ask the supplier to explain the legal entity, trade name, GSTIN and place of business relevant to the invoice. Do not assume a trade-name difference alone means fraud. Compare the explanation with the contract, purchase order and invoice so you know which entity supplied the goods or services.
  • Registration dates do not fit the transaction: Pause before relying on the invoice, confirm the relevant date and seek professional advice if the historical status remains unclear. Distinguish the registration effective date from a current status result and any cancellation date shown.
  • Suspended, cancelled or otherwise inconsistent record: Pause the transaction or claim review while you clarify the issue. Escalation choices depend on the facts; the cited official sources do not prescribe one universal buyer policy. Ask the supplier to explain the status and consider advice for the specific transaction rather than assuming one response fits every case.
  • Filing information does not answer the question: Confirm that you selected the correct financial year and inspect the recipient-side GSTR-2B for ITC reconciliation. Do not infer tax payment or full compliance solely from a filing entry.
  • Public details are insufficient: Some information may only be available after portal login. Ask the supplier for clarification and supporting transaction records rather than treating unavailable public information as proof of a problem.
  • A result may have changed since onboarding: Repeat the search close to the relevant transaction and record the date of the new check. A lookup saved from an earlier vendor setup may not answer a question about today’s status or a later invoice.

There is no single buyer escalation rule prescribed by the cited portal guidance. Procurement or accounts-payable teams can set an internal process for flagging a mismatch, routing it for tax review and documenting the supplier’s response. Keep that process focused on the specific inconsistency: identity, transaction-date status, filing visibility or ITC eligibility are related but distinct checks.

How can I verify a GST number without relying on a certificate?

Search the number directly in the GST Portal’s public Search Taxpayer tool, complete the captcha and compare the portal result with the invoice and supplier record. A certificate or screenshot supplied by a vendor can be useful supporting paperwork, but it does not show the current portal result or answer whether filings appear for a selected year. Use the live lookup for the public details and retain your own dated record of the check.

What does an active GSTIN check not tell me?

It does not by itself establish that every return is accurate, every liability has been paid, or an invoice qualifies for ITC. It also does not necessarily resolve the supplier’s historical status on an earlier invoice date. For those questions, check the relevant filing information, relate the status dates to the invoice, reconcile the invoice to GSTR-2B and books, and apply the applicable legal rules.

How can I check GST return filing status?

Open SHOW FILING TABLE on the taxpayer record, select the financial year you need and search. Review the displayed filing details and the return-filing-frequency view; remember that filing information is not proof that every tax liability was correctly paid.

Does an active GSTIN prove that a supplier is fully compliant?

No. Active status is narrower than overall compliance. The portal’s filing table shows filing information for the selected year, but does not establish that every return was accurate, every liability paid or every other GST obligation satisfied.

Can a current GSTIN search confirm status on an earlier invoice date?

Not by itself. Compare the effective registration date and any cancellation information shown with the invoice date. If the historical position is unclear, ask the supplier or seek appropriate tax-professional advice.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If an invoice appears in GSTR-2B, can I automatically claim ITC?

No. GSTR-2B is a read-only, auto-drafted statement that supports reconciliation, but the recipient must reconcile it with the invoice and books and self-assess eligibility under other applicable legal provisions.

What should I do if the supplier’s trade name differs from the GST Portal record?

A trade-name difference alone is not proof of fraud. Ask the supplier to clarify the legal entity, GSTIN and place of business relevant to the invoice, then compare the explanation with your transaction records.

The Bottom Line

Use the official GST Portal to verify the supplier’s GSTIN and visible registration details, check filing information for the relevant financial year, and relate status dates to the invoice date. For ITC, reconcile the invoice with GSTR-2B and your books, then assess legal eligibility separately. An active result is useful due diligence—not a complete compliance certificate.
