Compare the bonus pay statement with the employer’s year-end Form W-2 and payroll records for the same calendar year. Check federal income-tax withholding separately from Social Security and Medicare taxes: a bonus for work performed while you were employed generally remains wages subject to employment taxes, but the permitted federal income-tax withholding method depends on how the bonus was paid and other circumstances. A W-2 reports annual totals, so it may not show the bonus as a separate item.
Start with the payment date and the bonus pay statement
For federal tax purposes, a bonus paid by a former employer for services you performed while employed generally remains wage compensation. Leaving the job does not, by itself, make that payment nonwage income. The IRS states in Publication 15 (2026), section 5: “Also, compensation paid to a former employee for services performed while still employed is wages subject to employment taxes.” The payment’s facts and applicable exceptions still matter.

Begin with the statement for the bonus payment. Record its gross amount, payment date, and each deduction shown. Keep these categories separate:
- Federal income-tax withholding: a prepayment toward your annual federal income-tax bill.
- Social Security tax: employment tax tied to Social Security wages, subject to an annual wage base.
- Medicare tax: a separate employment tax with wage reporting that differs from Social Security.
- State and local withholding: amounts governed by rules that can vary by location.
Also save the final regular-pay statement, year-to-date payroll summaries, and any other statements from that employer for the payment year. Those records help you distinguish the bonus from wages paid before or after it and see whether the reported year-to-date totals make sense.

Do not begin by judging the bonus in isolation. The deduction on its statement shows what was withheld from that payment; it does not necessarily explain how the employer calculated annual totals or whether a tax limit had already affected withholding earlier in the year. The bonus may also have been paid after your employment ended, even though it relates to work performed while you were employed. Keep the reason for the payment and the date it was paid as separate facts in your notes.
A useful first-page checklist is: the payment date, gross bonus, each tax deduction, the year-to-date totals immediately before and after payment if shown, and the name or contact information for the former employer’s payroll team. If a statement does not label deductions clearly, do not guess which tax category a line belongs to; ask payroll to identify it in writing.
Confirm which tax year the bonus belongs to
Use the calendar year in which the bonus was paid as the starting point for comparing it with a W-2. A bonus paid after December 31 can fall in a different tax year from the work that earned it. The pay statement’s payment date and the W-2 for that year are therefore more useful for this reconciliation than the period in which you performed the work.
Annual limits, form instructions, and filing deadlines change. Use the W-2 instructions and payroll rules for the payment year rather than applying a figure from another year. For example, the Social Security wage base was $184,500 for 2026, according to the IRS’s 2026 W-2 instructions. That limit is not a figure to apply automatically to a bonus paid in a different year.
Keep the year label visible while comparing documents. If you received a bonus in January for services in the prior year, do not automatically add it to the prior year’s W-2 just because that is when you earned it. Start with the W-2 for the calendar year in which the payment was made, then check that year’s payroll records and instructions. If you have more than one W-2 from the employer or payments spanning calendar years, make a separate reconciliation for each year.
The same caution applies to dates in IRS guidance. The deadline and wage-base figures discussed here are identified by tax year; they are not permanent figures. A rule stated for 2025 wages or a limit stated for 2026 cannot be carried to a different year without checking that year’s official instructions.
Understand which federal income-tax withholding method may apply
A separately identified bonus does not automatically have to show exactly 22% federal income tax withheld. IRS Publication 15 describes a flat 22% withholding option for supplemental wages within the applicable threshold when specified conditions are met. It also describes an aggregate method, which calculates withholding on supplemental and regular wages together. The method available depends in part on how the bonus was paid and whether the employer withheld federal income tax from your regular wages in the current or immediately preceding calendar year.

If supplemental wages paid to an employee during the calendar year exceed $1 million, the amount over that threshold is subject to 37% federal income-tax withholding. This rule concerns withholding on the excess amount; it is not a statement that every bonus is withheld at 37% or that 22% is the final tax rate on a bonus.
Withholding is not the same as the final amount of income tax you owe. It is money paid toward your annual tax liability. Your total tax is determined on your return using your full-year circumstances, not by the rate shown on one bonus statement. Publication 505 provides consumer guidance on supplemental withholding and estimated tax. A lower or higher bonus withholding amount, by itself, does not establish that the employer calculated the final tax incorrectly.
When you review federal income-tax withholding, first ask whether the bonus was separately paid and identified or combined with regular wages. Then consider whether the employer used a flat supplemental-wage method or calculated withholding on the combined wages using the aggregate method. Those are different ways to calculate withholding, so the amount on a bonus statement may not match a simple percentage calculation you make after the fact. The documents alone may not disclose which permitted method was used; that is one reason a written explanation from payroll can be useful.
Also separate two questions that can sound alike: “Was the employer’s withholding method permitted?” and “Was enough tax withheld for my full-year tax bill?” The first concerns payroll withholding rules. The second depends on annual income-tax circumstances and is resolved through your tax return and, where relevant, estimated-tax planning. A bonus’s withholding rate is not a special final tax rate on that payment.

Reconcile the W-2 boxes that matter
Form W-2 reports annual totals for the employer, not necessarily a separate bonus line. Compare the bonus statement and all other pay records from that employer with the relevant W-2 boxes:
| W-2 box | What it reports | How to use it in the check |
|---|---|---|
| Box 1 | Federal income-tax wages | Compare with the employer’s annual wage records. Do not expect the bonus to appear separately if it was combined with other wages. |
| Box 2 | Federal income tax withheld | Compare with federal income-tax deductions across the employer’s pay statements for that calendar year. |
| Box 3 | Social Security wages | Compare with year-to-date payroll records and the wage base for the payment year. |
| Box 4 | Social Security tax withheld | Compare with Social Security deductions in the payroll records, taking the annual wage base into account. |
| Box 5 | Medicare wages and tips | Review separately from Social Security wages; the reporting rules differ. |
| Box 6 | Medicare tax withheld | Compare with Medicare deductions across the employer’s pay records. Consider whether Additional Medicare Tax may be relevant at higher individual wage levels. |
These are annual boxes, so a useful comparison is between each W-2 total and the total supported by the employer’s payroll records for that year—not simply between the W-2 and the bonus statement. Account for every payment and relevant adjustment from that employer. The box descriptions and annual limits are year-specific; consult the W-2 instructions for the year the bonus was paid.
Work through the boxes by category rather than trying to make one grand total from the W-2. Boxes 1 and 2 relate to federal income-tax wages and withholding; Boxes 3 and 4 relate to Social Security wages and withholding; Boxes 5 and 6 relate to Medicare wages and withholding. A number in one pair should not be substituted for a number in another pair. In particular, do not assume that Social Security wages and Medicare wages must be identical or that a difference proves a mistake.

For each category, total the corresponding amounts shown on the statements and payroll summaries for that employer and calendar year, then compare the resulting picture with the relevant W-2 boxes. If you cannot reproduce an annual figure, write down the specific difference rather than simply labeling the W-2 “wrong.” A concise question such as “My pay statements show X in federal withholding for this calendar year, while Box 2 reports Y; can you provide the annual payroll breakdown?” gives payroll a defined point to investigate.
Remember that the W-2 is an annual report. It may include regular pay and a bonus together, and the bonus itself may not be itemized on the form. The purpose of the reconciliation is to determine whether the annual reporting is consistent with the employer’s records, not to find a one-to-one bonus line on the W-2.
Check Social Security and Medicare separately
Publication 15 says supplemental wages are subject to Social Security and Medicare taxes. Social Security wages are subject to an annual wage base. If you had already reached the applicable limit earlier in the year with that employer, Social Security tax might not have been withheld on all of a later bonus. That is why a deduction line on the bonus statement should be assessed alongside year-to-date Social Security wages and the rules for that calendar year.
Do not treat Medicare as if it had the same wage-base rule. Review Medicare wages and withholding separately, using Boxes 5 and 6 and the employer’s year-to-date payroll figures. Additional Medicare Tax may be relevant at higher individual wage levels, but the bonus statement alone does not show your complete individual wage picture.
For 2026 only, the IRS lists a Social Security wage base of $184,500. If the bonus was paid in another year, use that year’s limit and W-2 instructions instead. Do not use the 2026 figure to judge an earlier or later payment year.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsWhen checking Social Security, place the bonus in sequence with other Social Security wages paid by the same employer during that calendar year. The central question is whether the annual wage base had already been reached before the bonus was paid, not merely whether the bonus is large or whether a later statement shows a different deduction. Year-to-date figures can help show that sequence; if they are missing, request a payroll summary.
For Medicare, use its own wage and withholding records rather than carrying over the Social Security calculation. The W-2’s separate boxes reflect why these comparisons should not be collapsed into one test. If Box 5 or Box 6 appears inconsistent with the employer’s Medicare payroll totals, identify that discrepancy separately when contacting payroll. Additional Medicare Tax can depend on an individual’s broader wage picture, so a single employer statement may not answer the question by itself.

Work through the reconciliation in order
- Collect the records. Gather the bonus pay statement, final regular-pay statement, year-to-date payroll summaries, and the Form W-2 from the former employer.
- Identify the payment year. Write down the bonus payment date and use the corresponding calendar year’s payroll records, W-2, and tax-year instructions.
- Record the bonus figures. Note gross bonus pay and each deduction shown. Do not combine federal income-tax withholding with Social Security or Medicare deductions.
- Build the employer-year totals. Add or otherwise reconcile pay and withholding across all statements from that employer for the year. Account for any relevant adjustments shown in payroll records.
- Compare W-2 boxes. Check the annual wage and withholding totals against Boxes 1–6. Remember that the W-2 may include the bonus within a larger annual total.
- Check Social Security against the correct annual limit. Compare Social Security wages with the wage base for that payment year and the year-to-date records. Consider whether the limit had already been reached earlier in the year.
- Review Medicare independently. Compare Medicare wages and tax withholding with Boxes 5 and 6; do not infer a Medicare error just because its figures differ from Social Security figures.
- Ask for a written explanation if something does not reconcile. Contact the former employer’s payroll or HR contact with the payment date, statement, W-2 box, and amount in question. Request a breakdown of the bonus calculation and the annual W-2 amounts, and keep the reply.
- Request a correction if the W-2 is inaccurate. If the employer’s records support a different annual figure, ask the employer to issue a corrected W-2. Keep copies of the original and corrected forms and the related correspondence.
Before sending a question, make a short comparison table for yourself with four columns: the record, the amount or figure it shows, the tax category, and the question you still have. This helps keep a federal income-tax withholding concern from getting mixed up with a Social Security wage-base question or a Medicare discrepancy. Include the payment date and the relevant calendar year in your message.
Ask payroll for the underlying explanation, not just a yes-or-no answer. You can request the gross bonus calculation, the withholding categories applied to that payment, the annual wage and withholding amounts reported on the W-2, and any year-to-date payroll summary needed to reconcile those totals. Retain the statements, your calculation, and the written response together. If the employer identifies an incorrect W-2, ask for a corrected form; do not alter the original W-2 yourself.
Know what your records can—and cannot—show
A pay statement can show what the employer deducted from a particular payment, and a W-2 can show what the employer reported for the year. Together with payroll summaries, they can help identify a mismatch in deductions or annual reporting. They do not, by themselves, establish every detail of how a payment was classified, whether an employer deposited withheld amounts, or which remedy applies to a disputed issue.
Separate the issue before escalating it. An apparent error could involve the deduction on one paycheck, an incorrect annual W-2, or a concern that withheld money was not remitted. The appropriate next step can differ by issue and may also depend on state law. Start by asking payroll for supporting records and a written explanation. For a material or unresolved dispute, consult the appropriate tax authority or a qualified tax adviser rather than assuming one remedy covers all three situations.
This distinction matters because an amount shown as withheld on a pay statement and a number reported on a W-2 answer different recordkeeping questions from whether tax was ultimately deposited or whether your final income-tax liability is covered. Do not treat a mismatch between the amount you expected and the amount withheld as proof of a failure to remit. Likewise, do not assume that an annual reporting discrepancy and a possible deposit concern have the same correction process.
The geographic scope also matters. This guide focuses on federal payroll taxes. State and local withholding rules can vary by location, and territory-specific rules may differ. If the concern is a state or local deduction, identify the jurisdiction and ask the employer or appropriate tax authority about the rules for the payment year. Do not use a federal withholding method as a substitute for checking local requirements.

Requesting a W-2 from a former employer
IRS guidance says employers must furnish W-2s to former employees. For 2025 wages, the IRS lists February 2, 2026, as the deadline. The IRS also says that when a former employee requests a W-2, the employer must provide it within 30 days of the request or within 30 days of the final wage payment, whichever is later. These dates are specific to the stated tax year; check current IRS instructions rather than carrying them forward to another year.

If you do not have the form, make the request in writing and keep a copy, along with the date you sent it and any response. Once it arrives, confirm that it is for the employer and calendar year associated with the bonus before comparing it with your statements. If you already have a W-2 but believe it reports incorrect annual amounts, distinguish a request for the missing form from a request for a corrected form.
Keep the comparison focused on the right question
When explanations differ, compare them using the same six facts: the payment date and year; whether the bonus was separately identified or combined with regular wages; the federal income-tax withholding method; Social Security wages relative to that year’s wage base; Medicare wages and withholding; and whether the W-2 totals reconcile with all the employer’s records. These comparisons narrow the issue without assuming that every difference is an error.
No physical product is needed to perform the check. The core records are the pay statement, Form W-2, and applicable official instructions. Tax-preparation software may help with completing an annual return, but it does not determine whether the former employer correctly withheld or reported the bonus.

Does a bonus paid after I leave a job still count as wages?
Generally, compensation paid by a former employer for services performed while you were employed remains wages subject to employment taxes. The IRS states this in Publication 15 (2026), section 5. The payment’s facts and applicable exceptions still matter.
Should exactly 22% federal income tax be withheld from every bonus?
No. A flat 22% is one permitted withholding option for supplemental wages within the applicable threshold when specified conditions are met. Publication 15 also describes an aggregate method, and the method available depends in part on how the bonus was paid and whether federal income tax was withheld from regular wages in the current or immediately preceding calendar year.
Why might Social Security tax not have been withheld on all of my bonus?
Social Security wages are subject to an annual wage base. If you had already reached the applicable limit earlier in that calendar year with the employer, Social Security tax might not have been withheld on all of a later bonus. Check year-to-date wages and the wage base for the payment year.
Which W-2 boxes should I compare with my bonus pay statement?
Review Boxes 1 and 2 for federal income-tax wages and withholding, Boxes 3 and 4 for Social Security wages and withholding, and Boxes 5 and 6 for Medicare wages and withholding. The W-2 shows annual totals, so compare them with all pay records from that employer for the calendar year, not only the bonus statement.

Ask the former employer’s payroll or HR contact for a written breakdown of the bonus calculation and annual W-2 amounts. If the W-2 is inaccurate, request a corrected W-2 and keep the original, corrected form, pay statements, and correspondence. If the issue remains material or unresolved, consult the appropriate tax authority or a qualified tax adviser.
Does a pay statement prove that withheld taxes were remitted?
No. A pay statement can show what was deducted from a payment, while the W-2 shows annual amounts reported. Those records do not, by themselves, establish whether withheld money was deposited. Ask payroll for supporting information and seek appropriate tax-authority or qualified-adviser guidance for an unresolved concern.
The Bottom Line
Use the bonus payment date to identify the tax year, then compare the bonus statement and all employer payroll records with W-2 Boxes 1–6. Evaluate federal income-tax withholding separately from Social Security and Medicare, and use that year’s rules and wage base. If figures do not reconcile, ask the former employer for a written breakdown and request a corrected W-2 when needed. A discrepancy is a reason to investigate, not by itself proof that the final tax bill or a tax deposit is wrong.
