How to Check the GST Rate and Tax Amount on a Purchase Invoice in India

A practical sequence for checking a purchase invoice in India: verify the seller’s GSTIN, confirm the HSN or service classification and date-specific rate, then check tax heads, calculations and totals.

To check GST on a purchase invoice in India, verify the supplier’s GSTIN, match the goods or service to its correct HSN or service classification and the CBIC rate entry effective for the invoice date, confirm whether CGST plus SGST/UTGST or IGST applies, then recalculate the tax and reconcile the invoice total. A percentage alone cannot confirm that a bill is correct: classification, conditions, place of supply, cess, discounts and rounding can all affect the result.

Use the invoice date as your reference point throughout. Rate schedules and portal procedures can change, so check the CBIC entry and relevant notification applicable to that date rather than relying on a remembered rate or an old example. The steps below help identify inconsistencies; they do not, by themselves, determine every legal or tax consequence of a purchase.

What to check on the invoice first

Start with the invoice itself. Record the invoice date, supplier’s GSTIN, invoice number, description of each item or service, HSN or service accounting code where applicable, taxable value, stated GST rate, tax amounts by head and final invoice value. Check any listed cess, discount, other charge, round-off amount, place of supply and reverse-charge indication as well.

These particulars give you the inputs for the rest of the check. Invoice requirements can differ by supply type and may be affected by class-specific notifications or exceptions, so the absence or format of a particular field is not, by itself, enough to establish whether a bill is invalid. CBIC’s Tax Invoice, Credit and Debit Notes page sets out invoice-related rules and particulars.

  • Clear Print Quality: Displays high-resolution printing intended to remain legible through regular use and cleaning
  • Invoice date: Use it to identify the rate schedule and registration status relevant to the transaction. GST rates and procedures can change; a rate that applies now may not have applied on an earlier invoice date.
  • Description and classification: The HSN or service code should correspond to what was actually supplied, not merely to a broad product category or the supplier’s business.
  • Taxable value: This is the base used for the line-level tax calculation, subject to the applicable GST valuation rules.
  • Tax breakdown and total: Compare the line amounts with the stated tax heads and the final payable amount, including any other listed components.

Also note whether the invoice gives a place of supply and whether it marks the transaction as involving reverse charge. These details are useful clues for reviewing the tax treatment, but a reader should not try to decide a complicated supply question from one field in isolation. If the nature of the transaction, locations or invoice format makes the treatment unclear, ask the supplier to explain the basis used.

Verify the supplier’s GSTIN

Use the GST Portal’s Search Taxpayer function to search by GSTIN or UIN. The official Search Taxpayers using GSTIN/UIN guide says the search can be used without logging in and can display details such as the legal name, trade name, registration effective date, principal place of business and cancellation date where applicable.

  1. Open the GST Portal’s taxpayer search and enter the GSTIN or UIN printed on the invoice.
  2. Compare the returned legal or trade name with the supplier named on the bill. Check the registration details and address against the invoice information where relevant.
  3. Look at the registration effective date and, if shown, cancellation date in relation to the invoice date.
  4. If a detail does not match, note the discrepancy and ask the supplier to explain it before treating the lookup as confirmation of the invoice.

A taxpayer search checks registration and profile information; it does not establish that the seller classified the supply correctly, used the right rate, or calculated the tax accurately. A matching GSTIN is one check, not a complete tax review.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Keep the timing in mind when comparing records. A supplier’s current profile may not answer every question about its status on an earlier invoice date, so compare the registration effective date and any cancellation information shown with the transaction date. If the GST Portal result and the invoice appear inconsistent, preserve the details of what you checked and ask the supplier to clarify the entity and registration used for that sale. A name difference is a reason to investigate; it is not, by itself, a conclusion about wrongdoing.

Find the rate that applies to the actual supply

Use the goods or service classification and match it to the applicable entry in CBIC’s GST Goods and Services Rates schedule. Check the relevant HSN or heading for goods, or service classification for services, and read any conditions or qualifications attached to the entry. The invoice date matters because rate schedules are notified and amended.

  1. Read the item or service description and identify what the supplier actually provided.
  2. Check whether the invoice’s HSN or service code fits that supply. If the code or description is unclear, ask the supplier to identify the classification used.
  3. Find the corresponding entry in the CBIC schedule and read its conditions, including any qualifications that affect whether the rate applies.
  4. Confirm that the entry and any applicable notification were effective for the invoice date. Do not assume that a current listing automatically settles the treatment of an older invoice.

Do not infer the rate from the seller’s identity, a generic online list or the tax charged on a similar-looking item. Similar descriptions can fall under different classifications or conditions; the applicable entry must fit the actual supply. If you cannot determine the classification from the invoice and available details, the rate cannot be reliably checked just by doing percentage arithmetic.

When checking an entry, focus on both the classification and the words attached to the rate. A listed rate may be subject to conditions or qualifications, and an exemption or other treatment may affect whether the headline percentage is relevant to the specific transaction. Make a note of the heading or HSN, the rate entry and its effective date, then compare those with the item or service actually supplied. If the invoice description is too broad to make that comparison, request a clearer description or the classification basis from the supplier.

The CBIC schedules are the relevant official starting point for a rate lookup, but do not treat a search result or a generic rate chart as a substitute for reading the actual entry. Check that you have not matched a neighboring heading simply because the wording looks familiar. The checked official materials on 9 October 2026 also caution that rates and portal procedures are time-sensitive; for a later invoice, revisit the current CBIC material and the notification effective on that invoice date.

Check which tax heads should appear

After checking the classification and rate, establish the relevant place-of-supply treatment. For the transaction types described in IRP validation guidance, an inter-state supply uses IGST, while an intra-state supply uses CGST and SGST or UTGST as applicable. The supplier location and place-of-supply facts matter; do not decide the tax head solely from where you happen to be viewing or paying the bill.

Compare the tax heads on the invoice with the transaction’s treatment. For an intra-state supply, check the relevant central and state or Union Territory components. For an inter-state supply, check the IGST line. The IRIS IRP validation rules describe validation of line taxes and the distinction between these tax treatments. If the invoice’s locations or place-of-supply details are unclear, ask the supplier which facts were used rather than guessing from the buyer’s location alone.

Do not confuse the tax rate with the way it is split across heads. For example, a stated aggregate rate may be shown as central and state or Union Territory components for the relevant intra-state supply, while an inter-state supply is shown under IGST. Check the actual line breakdown and transaction facts; do not assume that a single number on the invoice tells you whether the heads are correct. The IRP guidance describes tax validation in relation to line taxable values, rates and the applicable supply treatment.

Recalculate GST from the taxable value

For a price shown exclusive of tax, calculate the line’s GST by multiplying its taxable value by the applicable rate and dividing by 100. For example, if a correctly established rate is 18% and the taxable value is ₹1,000, the arithmetic is ₹1,000 × 18 ÷ 100 = ₹180 GST, before any separately applicable cess or invoice adjustments. This illustrates the calculation only; it does not mean 18% applies to any unspecified product or service.

  1. For each line, take the taxable value shown on the invoice.
  2. Multiply that value by the rate that applies to the classification and invoice date.
  3. Compare the result with the tax amount shown for that line, allowing for rounding in the invoice calculation.
  4. Check that the amount is recorded under the appropriate tax head or heads for the supply’s place-of-supply treatment.
  5. Repeat for every line, then compare the line amounts with the invoice’s tax totals.

If a quoted amount is tax-inclusive, do not treat the full inclusive amount as though it were the pre-tax taxable value and multiply it directly by the rate. First establish the taxable value and applicable rate used for the supply; then check the invoice’s stated tax calculation against those inputs. A calculator can verify arithmetic after the correct base and rate are known, but it cannot determine the classification or applicable rate.

Keep the arithmetic and the rate decision separate. The ₹180 example is only a multiplication check after the 18% rate and ₹1,000 taxable base have already been established. It is not a typical, default or recommended rate for a purchase. If the invoice has several lines, calculate each line using its own taxable value and applicable rate rather than applying one percentage to the final invoice amount. Then compare the line calculations with the listed tax amounts and allow for the invoice’s rounding method.

For a tax-inclusive quoted price, the calculation is not the same as taking the inclusive amount and multiplying it by the stated percentage: that would apply the rate to an amount that already includes tax. Establish what amount the invoice treats as taxable and how the stated tax was derived before judging the result. If the supplier’s invoice does not make that clear, ask for the taxable value and tax calculation. A discrepancy between your rough calculation and a displayed total may also reflect rounding or other listed components, so isolate the line and input values before concluding that the tax is wrong.

Reconcile the invoice total, not just the percentage

Once line taxes are checked, reconcile the invoice as a whole. Add the taxable values and tax amounts, then account for any cess, other charges, invoice discounts and round-off shown on the document. A simple subtraction of taxable value from the final total is not necessarily the GST amount: the total may include other elements, and discounts or adjustments can affect the reconciliation.

The GST Portal’s GSTR-1 guidance says that taxable value is determined under GST law and that the “Total Invoice Value” in Form GSTR-1 is inclusive of taxes. It also states that the portal does not validate that invoice value equals taxable value plus tax. For a purchaser checking a bill, this is a reminder to review the listed components and the underlying taxable value rather than relying on a single subtraction or assuming a simple total equation always settles the matter.

  • Check whether the invoice’s line taxable values add to the stated taxable total.
  • Compare the sum of line-level tax amounts with the tax totals shown under each head.
  • Include separately listed cess and other charges in the final-value reconciliation.
  • Account for discounts and round-off where shown; do not silently treat either as a tax component.
  • If the arithmetic still does not reconcile, ask the supplier to explain the difference or provide a corrected document.

A practical reconciliation has two stages. First, check internal totals: do line taxable values add to the taxable total, and do line taxes add to the tax totals under each head? Second, follow the invoice’s other entries through to the final value: note discounts, cess, charges and round-off rather than forcing the invoice into a single “taxable value plus tax” equation. The GST Portal’s guidance concerns reporting in GSTR-1, but its distinction between taxable value and total invoice value is useful when reviewing why a bill’s final figure may contain more than the basic tax calculation.

If the invoice has a separate discount or charge, do not assume how it was treated without checking the stated taxable values and tax calculations. The relevant question is whether the line taxable base and tax amounts are consistent with the invoice and applicable treatment, not whether a subtraction from the grand total produces a familiar figure. If you cannot reconstruct the total from the printed components, ask the supplier for an itemized explanation.

Ordinary invoice and e-invoice QR checks

An ordinary tax invoice can be checked from its particulars, the supplier’s GSTIN, the applicable classification and rate, tax heads, arithmetic and total. An e-invoice with the relevant IRP QR code adds a way to compare signed invoice data with the document, but it does not replace those tax checks.

For an e-invoice, the IRP’s Verify signed E-Invoice / Verify QR Code document describes QR verification and the data displayed. The document is marked draft and dated 2023-01-27, so treat it as guidance for the verification function, not as proof that every invoice or current portal interface will present identical options. Use the QR as an additional identity and invoice-data check, not as a certificate that every tax choice is correct. Compare the returned GSTINs, invoice number and date, value and HSN with the printed document. The IRP material also identifies an IRN and digital signature in the verification details. If those details differ from the invoice, ask the supplier to explain the discrepancy. Even when the signed QR data matches, you must still review whether the HSN fits the actual goods or service, whether the CBIC rate entry applies and whether the tax heads fit the place-of-supply treatment.

What to do when something does not match

A mismatch is a reason to seek clarification, not proof by itself that the supplier committed fraud or that the buyer automatically qualifies for a refund or input tax credit. The significance depends on what is wrong: a GSTIN profile discrepancy, an unclear classification, a rate difference, an incorrect tax head and a small rounding variance are different issues.

  1. Identify the exact mismatch: for example, supplier name, invoice date, classification, stated rate, tax head, line arithmetic or final total.
  2. Keep the invoice details and the relevant rate entry or taxpayer-search result available when contacting the supplier.
  3. Ask the supplier to explain the classification, rate, place-of-supply treatment or arithmetic used, as relevant.
  4. If the supplier confirms an error, request an appropriate explanation or corrected document for the transaction.
  5. Do not assume that one arithmetic discrepancy establishes a universal consumer complaint route, tax refund process or entitlement to input tax credit; the appropriate next step depends on the purchase and its context.

Make the question specific. Instead of saying only that “the GST looks wrong,” identify the invoice line and ask which classification and CBIC entry were used, what taxable value the calculation uses, or which place-of-supply facts support the tax head. If the issue is only a small difference, ask whether it reflects rounding or another listed adjustment. Save the answer and any corrected document with the invoice so that the reason for the change is clear.

The official materials cited here explain invoice particulars, taxpayer search, rate schedules, line-tax validation, GSTR-1 values and QR verification. They do not establish one universal complaint or refund process for every kind of purchase. Do not treat a calculation difference alone as proof of fraud, as an automatic right to a refund, or as automatic entitlement to input tax credit. Those outcomes depend on the circumstances and applicable rules, which are beyond a basic invoice arithmetic check.

Common checking mistakes

  • Checking only the percentage: A familiar-looking rate does not prove the classification, conditions or invoice date treatment are right.
  • Using the final amount as the taxable base: If the shown price includes tax, multiplying that entire amount by the rate overstates the basic exclusive-tax calculation.
  • Choosing tax heads from buyer location alone: Place-of-supply facts determine the relevant treatment; the buyer’s viewing or payment location alone is not enough.
  • Treating a GSTIN match as approval of the bill: Registration details do not validate the invoice’s classification, rate or arithmetic.
  • Assuming taxable value plus tax must equal the invoice total in every case: Cess, charges, discounts and round-off may also matter.
  • Treating an e-invoice QR as a rate certificate: A signed QR helps verify invoice data and authenticity; it does not establish that the supply was taxed under the correct entry.

A quick final checklist

  • Have you noted the invoice date and the supplier GSTIN?
  • Does the GST Portal taxpayer search show supplier details consistent with the bill and relevant date?
  • Does the description and HSN or service classification match the actual supply?
  • Have you checked the CBIC rate entry, conditions and effective date rather than relying on a generic rate list?
  • Do the place-of-supply facts support the tax heads shown?
  • Do line taxable values multiplied by their applicable rates agree with the line tax amounts, allowing for rounding?
  • Do cess, charges, discounts, round-off and other listed components account for the final total?
  • If the invoice has an IRP QR, do the verified details match, while keeping the separate rate check?

If one answer is unclear, isolate that issue and ask the supplier for its basis. The result of this sequence is a better-supported invoice check, not an automatic verdict on every legal, refund or credit question that may arise from the purchase.

Frequently Asked Questions

Can I check whether GST is charged correctly by looking only at the percentage?

No. First match the actual goods or service to its HSN or service classification and the CBIC rate entry effective for the invoice date. Then check any conditions, the place-of-supply treatment, the tax heads, taxable value, cess or other components, and the arithmetic. A familiar percentage alone does not establish that the invoice is correct.

How can I verify the supplier’s GSTIN on a purchase invoice?

Use the GST Portal’s Search Taxpayer function and search by the GSTIN or UIN printed on the invoice. The official guide says the search can be used without logging in and can show information such as legal or trade name, registration effective date, principal place of business and cancellation date where applicable. Compare the result with the invoice and transaction date. The lookup checks registration/profile information, not the rate or calculation.

How do I calculate GST on a taxable value of ₹1,000?

Once the applicable rate is established, multiply the exclusive-of-tax taxable value by the rate and divide by 100. At an illustrative 18% rate, ₹1,000 × 18 ÷ 100 = ₹180 before any separately applicable cess or invoice adjustments. This is arithmetic only, not a claim that 18% applies to a particular product or service.

What if the invoice amount already includes GST?

Do not multiply the full tax-inclusive amount directly by the rate as if it were the pre-tax taxable value. Identify the taxable value and applicable rate used on the invoice, then compare the stated tax with those inputs. If the taxable base or calculation is unclear, ask the supplier for an itemized explanation.

How do I know whether an invoice should show IGST or CGST and SGST/UTGST?

Check the relevant supplier-location and place-of-supply facts. In the transaction types described by IRP validation guidance, an inter-state supply uses IGST; an intra-state supply uses CGST and SGST or UTGST as applicable. Do not decide the tax head solely from where you viewed or paid the bill. Ask the supplier to explain the facts used if they are unclear.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Does a valid e-invoice QR code prove that the GST rate is correct?

No. IRP QR verification can help compare signed invoice details, including GSTINs, invoice number and date, value, HSN, IRN and digital signature. It does not independently establish that the classification or rate is correct, or that the place-of-supply treatment is right. Check those separately.

What should I do if the GST amount or invoice total does not match my calculation?

Identify the specific line and mismatch, then ask the supplier to explain the classification, rate, place-of-supply treatment, taxable base or rounding used. Reconcile cess, charges, discounts and round-off before comparing the final total. A numerical discrepancy alone is not proof of fraud and does not establish a universal refund route or automatic input-tax-credit entitlement.

The Bottom Line

Check a purchase invoice in sequence: verify the supplier’s GSTIN, match the actual supply to the date-appropriate CBIC classification and rate, confirm the tax heads from the place-of-supply facts, recalculate each line from its taxable value, and reconcile the total including cess, charges, discounts and round-off. For an e-invoice, use the IRP QR as an additional data and authenticity check—not as a substitute for checking the rate.
