How to Calculate GST and Net Profit on Marketplace Sales After Fees and Refunds

A practical framework for reconciling GST, customer refunds, marketplace fees, product costs and cash payouts without mistaking a settlement for profit.

Calculate marketplace profit from sales retained after discounts and refunds, then subtract product costs, marketplace fees and other business expenses. Track GST collected or payable, fee taxes, tax credits and payout deductions separately: a marketplace deposit is a cash settlement, not automatically your revenue, GST liability or profit. The exact GST calculation depends on your country, tax status, product, marketplace and fulfillment arrangement.

How do I calculate GST on marketplace sales?

Start with order-level records, not the payout amount. Keep item prices, customer-paid shipping or other charges, discounts, cancellations and refunds visible so you can determine the relevant taxable value under the rules that apply to your business. Invoice details such as taxable value, tax rate and tax amount are among the particulars listed in India’s CBIC invoice rules.

  1. Identify the sale and taxable base. Use the invoice and transaction data to establish what was sold, what the customer was charged and which amounts are taxable. Product classification, place-of-supply rules, exemptions and the marketplace’s role can affect the answer.
  2. Confirm who accounts for customer tax. Check whether you or the marketplace issues the tax invoice, calculates and collects tax, and remits it. Also confirm whether the displayed price is tax-inclusive. The word “GST” alone does not establish a rate or calculation method.
  3. Apply the jurisdiction’s rules to the base. Use the applicable tax authority’s current guidance and the marketplace’s tax reports. Do not assume that a tax-inclusive price can be handled by multiplying it by the headline rate; the correct treatment depends on local rules and the arrangement for that transaction.
  4. Record tax on marketplace services separately. Match taxes charged on fees to the fee invoices or transaction details, and determine whether they are recoverable under your local rules. A fee’s tax treatment is not necessarily the same as the tax treatment of the customer’s purchase.

There is no single GST rate or cross-border formula that can be safely applied to every marketplace seller. For a filing calculation, verify the governing rules for your country and transaction rather than relying on a general profit formula.

How do refunds affect GST?

Match each refund to the original order, invoice and marketplace adjustment. A return or cancellation may change the taxable supply, but the tax adjustment and required documentation depend on local rules; a customer refund does not by itself prove that a GST adjustment is permitted.

  • Customer refunds: The tax component may be reversed in whole or in part under the applicable rules and platform process. Amazon’s US Tax Calculation Services Terms distinguish responsibilities by fulfillment method: for supported calculated taxes and charges on seller-fulfilled products, the seller calculates and processes refunds; for Amazon-fulfilled products, Amazon does so.
  • Marketplace fee refunds: These are separate from refunds to customers. In its US seller-fee FAQ, Amazon says that applicable tax originally charged on a refunded seller fee is also refunded. Check the relevant transaction details rather than assuming this treatment applies in other countries.
  • Credit notes and returned supplies: India’s CBIC says marketplace TCS is calculated on net taxable supplies after returned supplies. It also describes credit notes as a way to reduce taxable value or tax payable in qualifying circumstances, subject to legal conditions. Do not treat every refund as an automatic credit-note adjustment.

Platform arrangements can differ even within a country. Amazon’s New Zealand guidance for its described low-value-goods transactions says it calculates GST at checkout and that a customer refund is expected to exclude GST withheld by Amazon. That example is limited to the transactions and regime covered by that guidance.

How do I calculate profit after marketplace fees?

For a management estimate before income tax, use this structure:

Net profit before income tax = sales revenue retained after discounts and refunds − cost of goods sold − marketplace fees − other business expenses.

Build the estimate from the sales and expense records, and keep GST collections and credits on separate lines. GST collected for the tax authority is not ordinary sales margin; treatment of recoverable input tax credits depends on the applicable accounting and tax rules. This estimate is useful for business tracking, but it does not determine your tax filing treatment.

Include the full cost of selling

Break platform charges into the categories shown in your account, such as referral or commission fees, fulfillment or shipping, closing fees, storage, advertising, subscription and other applicable charges. Add product cost and other business expenses relevant to your operation. Amazon.in identifies referral, closing, weight-handling and other applicable fees; its published estimate is selling price minus those fees and product cost. Amazon also cautions that calculator results are estimates and actual costs may vary.

Keep taxes on fees distinct from fees

Record a marketplace service fee and any tax charged on that fee as distinct transaction details. Whether that tax is recoverable depends on local rules and the seller’s circumstances. If a fee is refunded, check whether the related tax was reversed as well; the Amazon US FAQ describes that reversal for applicable US seller-fee taxes.

Is marketplace payout the same as profit?

No. A payout is the cash settlement after platform adjustments and timing differences. It can include or reflect sales proceeds, customer refunds, fee debits, taxes collected or withheld, tax credits, reserves, chargebacks and amounts still awaiting settlement. Profit instead measures sales retained less the costs and expenses of making those sales.

Reconcile the two as separate records: start from order activity, then account for refunds, fees, taxes, credits, reserves and settlement timing until the balance agrees with the marketplace report and bank deposit. In India, CBIC describes section 52 TCS on net taxable supplies after returned supplies and says eligible seller TCS is reflected for credit through the GST reporting process. It is a tax-reconciliation item, not automatically a platform fee or profit reduction.

Platform-specific deductions illustrate why payouts cannot be treated as profit. AWS Marketplace India describes an arrangement in which it deducts GST-TCS, withholding tax and listing fees before remittance, while stating that tax compliance remains the seller’s responsibility in that arrangement. Those terms are specific to AWS Marketplace India and should not be assumed for a retail marketplace or another country.

What to verify before relying on a calculation

  • Your country, tax registration status and the rules for the product and place of supply.
  • Whether you or the marketplace issues the customer tax invoice, collects tax, processes tax refunds and remits tax.
  • Whether customer-facing prices include tax, and how the marketplace report separates taxable sales, tax and refunds.
  • Which fees and fee taxes were charged, refunded or potentially eligible for credit.
  • How customer returns, credit notes, marketplace TCS or similar collections, withholding, reserves and chargebacks appear in reports.
  • Whether the order was seller-fulfilled or marketplace-fulfilled; Amazon’s US terms, for example, assign supported tax-refund tasks differently by fulfillment method.

Use marketplace transaction and tax reports to reconcile activity, then confirm filing treatment with the current tax authority guidance for your jurisdiction. The examples above describe particular systems and do not establish a universal GST method.
