How to Back Up Data Before Replacing a Failing HDD

Save accessible files to a separate destination, use the backup method for your operating system, and verify important files before replacing a failing HDD.

To back up data before replacing a failing HDD, copy or back up the files you can still access to a separate external drive or network destination, then open the backup and check that your important files are there. Use Time Machine on a Mac or File History for Windows personal files. A failing drive may produce an incomplete backup, so do not treat a successful-looking copy as a guarantee that everything was recovered.

Choose a separate destination and the right kind of backup

Do not save the only backup on the HDD you are replacing. Apple recommends a Time Machine destination other than the Mac’s internal disk, such as an external hard disk or network disk; Microsoft lists external drives and network locations for Windows File History. The destination must be accessible independently of the failing drive.

Match the method to what you need to preserve. Time Machine and File History are intended to protect files, not necessarily every component needed to reproduce a complete working computer. Microsoft treats personal-file backup and broader Windows recovery as separate concerns.

Back up files on a Mac with Time Machine

  1. Connect an external backup drive or make a network backup destination available. Prefer a drive connected directly to the Mac rather than through a USB hub if you encounter problems.
  2. Open Apple menu > System Settings > General > Time Machine, then add or select the backup disk and start a backup. Available controls can vary by macOS version; follow the Time Machine options shown on your Mac. Apple explains the method and supported destinations in its Time Machine guide.
  3. When the backup finishes, use Time Machine to browse the backup and check for the folders and files you cannot afford to lose. Apple documents browsing an existing backup before starting a new one.

If the backup disk is not available or the backup does not run, check its connection and capacity. Apple advises connecting a directly attached disk to the Mac rather than through a USB hub. If you need files from an existing Time Machine backup, retrieve them before starting a new backup: Apple’s documented flow for creating a new backup deletes the existing backup. Back up personal files in Windows with File History

  1. Connect an external drive or prepare a network location for the backup.
  2. Open Control Panel > System and Security > File History, choose the available drive or network location, and turn File History on. Windows versions can vary in their available settings; Microsoft’s File History instructions provide the supported workflow.
  3. Run the backup, then use File History’s restore or browse options to check that the personal files you need appear in the saved versions.

If the File History destination was disconnected, reconnect it and run a backup manually if needed, as Microsoft advises in its drive reconnection instructions. For a different Windows backup or recovery approach, first confirm what it includes: Microsoft distinguishes personal-file backup from broader system recovery in its backup-solution guide and Windows backup and recovery overview.

Verify the backup before replacing the drive

A finished backup is not enough if you have not checked what it contains. Open the backup using the platform’s browse or restore feature and confirm that the important folders and representative files are present and can be opened. If a file is missing, try to save that accessible file separately to the external destination before removing the old HDD. Keep the backup destination separate from the replacement drive until you have confirmed the files you need.

  • Check the locations where you actually keep important data, such as documents, photos, and other personal folders.
  • Open a few saved files from the backup rather than relying only on a completion message.
  • Know whether the backup contains personal files only or also covers the system recovery you require; these are not interchangeable.

What to do when the HDD reports errors

Read errors or bad sectors can prevent a complete copy. Seagate’s DiscWizard guide describes a setting intended to let a backup continue despite bad sectors, but that vendor-specific documentation does not guarantee a successful or complete backup and is not a general recovery procedure. If a drive clicks, disappears, or appears mechanically damaged, the available platform and manufacturer guidance does not establish a universal step-by-step recovery method. Avoid treating repeated copy attempts, cloning, or a utility as a guarantee of recovery. If the files are irreplaceable, consider stopping and seeking qualified data-recovery help rather than experimenting on the only copy.
