To accept UPI payments, ask an acquiring bank to onboard your business as a merchant, then choose an acceptance method that fits how you sell. To keep fees and payments under control, get the bank’s charges and settlement terms in writing and reconcile each day’s UPI transactions against your sales records and bank credits.
How to set up UPI payments for your business
Start with an acquiring bank. NPCI says the acquiring bank provides a merchant’s UPI infrastructure and assigns the merchant category code (MCC), which can affect how a transaction is classified. Ask the bank which acceptance methods it can provide for your sales channel and what account will receive settlements. NPCI’s merchant FAQ describes the available modes and merchant setup.
Choose a mode for where you sell
NPCI lists QR, intent, application-based, and collect modes. A shop taking payments at a counter can ask about a merchant QR. An online seller can ask about checkout integration and transaction-level reporting. These are starting points for a provider discussion, not a guarantee that one mode is best for every business.
Confirm settlement and reporting before onboarding
NPCI says settlement is immediate after customer confirmation into either a merchant pool account or the merchant’s bank account, as set by the agreement. The actual destination and workflow depend on your arrangement, so check the onboarding contract and bank statement rather than assuming all providers work alike.

Before choosing a provider, ask for written answers to these questions:
- Which MCC and merchant category will be assigned to the business?
- Which account receives settlements, and what timing or steps apply under the agreement?
- What transaction-level reports, exports, or references are available?
- What MDR, service, provider, or device charges apply, and under what conditions?
- How are failed or unconfirmed payments, refunds, reversals, and disputes handled?
Do small businesses pay fees for UPI?
Not necessarily, but the answer depends on the merchant’s category and arrangement. In a clarification published on 15 September 2026, India’s Ministry of Finance said small merchants in the P2PM category receiving up to ₹1 lakh per month through UPI QR continue to have zero MDR on all transactions. The clarification also said payments to merchants up to ₹2,000 and transactions covered by the small-merchant zero-MDR framework remain free, and that approximately 96% of P2M transactions remain unaffected. These are statements about the government’s framework, not a guarantee about every business’s invoice. Read the Ministry of Finance clarification via PIB.

NPCI says the acquiring bank assigns the MCC; the government’s statement refers to P2PM and other qualifying categories. Ask your acquiring bank to confirm your classification, any applicable threshold and transaction treatment, and all charges under your agreement. The government says MDR is distributed among payment ecosystem participants rather than collected as a tax by the government or NPCI.
The Department of Financial Services lists an FAQ dated 15 September 2026 about MDR on selected UPI P2M transactions. The listing identifies the policy topic but does not establish a universal merchant rate. Do not use a generic rate to estimate your bill: check the Department of Financial Services FAQ and your current acquirer terms.

How to reconcile UPI payments each day
A customer’s screenshot or notification is not enough to close out a sale. Keep a business-side record tied to the invoice, order, or receipt, and match it to merchant-side transaction information and bank credits.
- Assign each sale an invoice, order, or receipt identifier.
- Record the UPI amount, date and time, transaction reference, and success status against that identifier.
- At the end of the day, match the sales-side list to the merchant dashboard and bank credits.
- Leave a payment unresolved until its merchant-side status and bank credit have been checked.
- Record refunds, reversals, and disputes separately, linked to the original transaction reference and resolution status.
- Raise transaction-status questions and merchant grievances with the acquiring bank; follow its defined refund process.
NPCI’s merchant FAQ says merchants can check transaction status or raise a grievance with their acquiring bank, and that refunds follow the bank’s defined process. Keeping the original reference with each follow-up makes it easier to trace an exception through that process.

Should you use a UPI soundbox?
A soundbox can provide an audio notification when a UPI payment comes in, which may help staff notice payments at a busy counter. NPCI’s June 2026 merchant QR guidelines include soundbox formats, and Bank of India describes a portable UPI QR soundbox kit with audio notifications. Neither establishes that every merchant needs a device or that its alert replaces checking transaction records and bank credits. Ask the provider about purchase or rental cost, service charges, connectivity needs, and cancellation terms before agreeing to one.
