How RWS Global Uses Box AI to Streamline Performer Contracts

RWS Global’s Box workflow links hiring intake, contract generation, Legal approval, performer signature and filing. The company reports faster processing, but the figures are not independently audited in the reviewed sources.

RWS Global says Box’s contract workflow cut processing from as long as 20 minutes to under two minutes per contract. The company’s February 25, 2026 announcement describes a process that takes a hiring request through document generation, Legal approval, performer signature and automatic filing. Those are company-reported results; the sources reviewed do not explain the measurement method or establish an independent audit.

What RWS Global announced

On February 25, 2026, RWS Global announced Box, Inc. as its Intelligent Content Management partner and named Box Enterprise Advanced as the platform for intelligent workflows, secure document management and AI use across creative, production and operational teams. The announcement describes no-code apps, forms, document generation, workflow automation, configurable AI agents, automated metadata extraction and content security and classification capabilities. The deployment addresses a content-management problem beyond contracts. Box describes files scattered across systems inherited through acquisitions, teams working across locations, long production and design documents, and guest-satisfaction data that needs consolidating. It says more than 450 RWS Global users work across complex productions and thousands of files. How the performer-contract workflow works

  1. Request: A hiring manager submits contract information.
  2. Generate: Box DocGen assembles an agreement for Legal review.
  3. Approve: Legal reviews and approves the agreement.
  4. Sign: Box Sign sends the contract to the performer for signature.
  5. File: The signed contract is automatically saved in Box.

RWS’s announcement adds that the automated process covers contract generation, approvals, signatory management and status tracking. It says Legal gets a centralized dashboard and audit trail, and that the workflow integrates with WorkSuite. Computer Weekly also reported the figures on February 25, 2026, based on the deployment description, but does not add a measurement method in the reviewed account. What is described as deployed—and what remains planned

The 2026 announcement describes Box Enterprise Advanced, Box AI, configurable agents, metadata extraction and workflow automation as part of the deployment. Some capabilities are future intentions rather than established outcomes. RWS says it plans to expand Box Extract use for metadata automation and develop further agents; archival-media search and classification are described as roadmap aims, not completed results. Box’s customer story

The product name also reflects a timeline rather than a contradiction: an earlier Box announcement said RWS had selected Box Enterprise Plus, planned to migrate hundreds of terabytes, and was integrating with Microsoft Teams, NetSuite and Wrike. RWS’s stated approach to AI and human oversight

RWS presents AI as a way to reduce administrative work while leaving creative direction and experience design to people. COO Jake McCoy said: “We want our people spending more time being human — being creative — and less time bogged down in admin.” Box’s customer story

In a separate Box interview, McCoy said the company uses workflow guardrails to limit which roles may carry out higher-risk activities, and cautioned against applying AI without a defined outcome: “Don’t use AI for the sake of AI. Don’t just apply this new tool to everything. Like anything in business, you have to start with the outcome. What are you trying to achieve? What this case study can—and cannot—tell buyers

The example shows how document generation and e-signature can sit inside a broader process that connects intake, review, signature, filing and status tracking. The reported time savings may be useful as a point of comparison, but the published material does not establish the measurement basis, total contract cost or a vendor comparison.
