How Mortgage Preapproval Works and What Documents Lenders May Require

Mortgage preapproval is a lender-specific preliminary review, not a guaranteed loan. Learn how the process works, what records lenders may request, and how to compare lenders.

Mortgage preapproval is a lender’s preliminary assessment of whether it may lend you up to a stated amount—not a guaranteed loan offer or final approval. The process and document list vary by lender, so ask what the lender has actually verified, what assumptions support its letter, and what remains to be checked.

What mortgage preapproval tells you—and what it doesn’t

A preapproval letter gives you an early indication of a lender’s willingness to lend up to a specified amount, based on the information and assumptions considered so far. The Consumer Financial Protection Bureau (CFPB) puts the limit plainly: “A preapproval letter just says that a lender is willing to lend to you – pending further confirmation of details.” It can help you understand the lender’s preliminary view of your application, but it is not a promise that the loan will be made.

As an Amazon Associate I earn from qualifying purchases.

The word “preapproval” does not describe one uniform review. One lender may initially rely on information you report; another may check your credit and verify income or assets before issuing a letter. The letter’s name alone does not tell you how much checking took place. Ask what the lender verified, which details remain unverified, and what conditions or assumptions underpin the amount.

Preapproval also does not mean you must borrow from the lender that issued the letter. Nor does it settle the final loan amount or eligibility. The lender may request more records later, and further review of your finances and the property can affect the outcome. A letter is a preliminary step—not the final mortgage application decision or a guarantee of a closed loan.

In practical terms, treat the amount in the letter as a preliminary maximum under the assumptions the lender used, not as a final decision. If information changes or later checks produce different details, the lender may revise the amount, terms, or decision. Ask what might change the letter’s figures, including whether the rate or costs could increase or the loan could ultimately be denied.

How the process works

  1. Contact one or more lenders. Ask how each lender defines preapproval and what its process includes. Because terminology and review depth differ, compare what each lender actually does rather than relying on the label.
  2. Provide financial and identity information. Depending on the lender and your circumstances, you may be asked about income, assets, debts, employment, residence history, and identity. A lender may also check your credit.
  3. Submit or authorize access to supporting records. Some lenders request documents before issuing a letter; some may begin with borrower-reported information. A digital process may let a lender access account statements or verify income, assets, or employment. Ask how any access is obtained and handled.
  4. Review the letter and its conditions. Check the amount, assumptions, any stated conditions, and expiration date. CFPB says 30 to 60 days is a typical period for a preapproval letter, but your lender’s letter controls: confirm its expiration and how renewal works.
  5. Expect further verification if you proceed. A lender may ask for additional information or documents as you move forward. The initial letter does not replace later borrower and property checks.

Ask the lender directly: “Which details have you verified, and which are based on what I reported?” The answer is more useful than assuming that every preapproval involved the same review.

Before relying on the letter while shopping, read it for any stated assumptions, remaining conditions, and the date through which it is valid. If it expires while you are still looking, ask the lender how to renew it and whether it needs updated information or documents. CFPB describes 30 to 60 days as typical, not as a universal validity period, so use the expiration written by your lender.

Documents lenders may request

There is no universal preapproval checklist. The records below are common preparation items drawn from Fannie Mae’s consumer mortgage-document checklist; your lender may ask for different or additional documents depending on your loan and financial situation. Fannie Mae gives examples such as recent two months of pay stubs and two years of W-2s or relevant tax returns. Those are examples, not a rule that every lender or loan type must follow.

Income and employment

  • Recent pay stubs and W-2 forms for salaried or hourly employment.
  • Tax returns when relevant to self-employment, rental, or commission income.
  • 1099 forms for contract workers.
  • Social Security award letters, when applicable.
  • Profit-and-loss statements or business tax returns for business owners.
  • Employer names and addresses for the prior two years; a lender may also ask self-employed borrowers for a business license.

The right records depend on how you earn income. If you have more than one income source, ask the lender which documents it needs for each one rather than assuming that pay stubs alone will cover the review. For example, the checklist distinguishes W-2 employment from contract work, self-employment, rental income, and commission income; different records may be relevant to each.

Assets and funds

  • Checking and savings account statements.
  • Certificates of deposit, bonds, retirement account statements, and investment statements.
  • Business account statements, if relevant.
  • A gift letter if you expect to use gift funds.

Be ready to explain unusual activity if asked. For example, the CFPB says a lender may request records showing the source of recent large deposits. That follow-up depends on what appears in your financial records; it is not a reason to assume every deposit will trigger the same request.

Ask whether the lender wants statements for particular accounts and which period they should cover. If you use business funds or expect a gift, mention that early and ask what supporting records or gift letter it needs. The lender’s request will depend on your circumstances; the checklist is a way to anticipate common categories, not a guarantee that every item applies.

Identity, residence, and situation-specific records

  • Photo identification; a lender may also request a Social Security card, ITIN, or similar documentation.
  • Residential addresses for the prior two years.
  • Proof of rent or a lease, if requested.
  • Divorce or bankruptcy papers, when relevant.
  • A ratified purchase contract, if one exists at that point in the process.

Use this list to prepare, not as a promise that every item will be required. Ask which documents apply to your income sources and circumstances, how recent they must be, and whether the lender accepts digital copies or account-verification access.

Some details on the list are relevant only if they apply to you. For instance, a business owner may be asked for business tax returns or a business license, while divorce or bankruptcy papers are situation-specific. A ratified purchase contract belongs on the list only if you have one at that stage. Tell the lender about your circumstances so it can identify what it needs rather than sending sensitive records that were not requested.

Preapproval versus prequalification: compare the review, not the word

Lenders use “prequalification” and “preapproval” differently. There is no dependable, industry-wide distinction that lets you infer the strength of a review just from the term printed on a letter. CFPB guidance advises consumers to find out what information a particular lender collected and checked.

When comparing letters or lenders, ask about the substance of the process: what income, assets, debts, and credit details were reviewed; what is still based on your report; what assumptions were used; and what conditions remain. A lender’s answers, rather than the label, tell you what the letter actually represents.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The CFPB’s guidance, last reviewed December 5, 2023, cautions against treating the labels as a reliable measure of review depth. Two lenders may use the same word while doing different checks, or use different words for a similar preliminary step. Compare the verification performed, outstanding conditions, document process, and expiration and renewal terms. A letter alone is not enough to decide which lender has the best loan offer.

A preapproval letter is not a Loan Estimate

A preapproval letter is not an official Loan Estimate and does not show, by itself, whether a lender’s eventual loan offer is the best fit. CFPB says you can request a Loan Estimate by giving a lender six key pieces of information:

  1. Your name.
  2. Your income.
  3. Your Social Security number, so the lender can check your credit.
  4. The property address.
  5. An estimate of the home’s value.
  6. The loan amount you want.

You do not have to provide documents simply to get a Loan Estimate, although information you supply may make the estimate more accurate. A lender may ask for documents later to verify what you provided after you choose to proceed. CFPB recommends comparing official Loan Estimates from prospective lenders after you have made an offer and before deciding which lender to use.

These are separate steps with different purposes. Preapproval is a lender-specific preliminary review, while a Loan Estimate is an official estimate you can use to compare a prospective loan’s rates and costs. You are not committed to the lender that issued your preapproval. After making an offer, compare official Loan Estimates from potential lenders before deciding which one to use.

Questions to ask before relying on a letter

Get clear answers from the lender before treating its letter as a useful planning document. These questions focus on what the letter means in practice:

  • Which of my income, assets, debts, and credit details have you verified, and which are based on information I reported?
  • What assumptions support the amount in the letter?
  • What could change the amount, rate, costs, or approval later—or lead to a denial?
  • Given my income sources and financial situation, what documents do you need from me now?
  • How long is the letter valid, and what is your renewal process?
  • How can I securely submit sensitive records or authorize digital account access?
  • If I am comparing lenders, when should I request and compare official Loan Estimates?

CFPB specifically recommends asking about the assumptions behind preapproval and whether anything could lead to a later denial or increased rates or costs. Keep the lender’s answers alongside the letter so you can tell what was considered and what still needs confirmation.

You can also ask whether the lender’s initial review included a credit check, which records it still needs, and whether it will contact you if a document is incomplete or no longer current. For digital verification, clarify what account or employment information you are authorizing the lender to access and how to provide that authorization securely. These questions help you understand the lender’s process without assuming every institution follows the same sequence.

Keep documents and account access secure

Financial records and identity documents contain sensitive information. If a lender offers digital access to accounts or employment information, ask how you authorize it, what information it will access, and how you can submit documents securely. If you are uncertain about a request, confirm the submission method with the lender through a contact channel you trust before sending records. Follow that lender’s directions; lenders may use different digital and document-submission processes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Organizing likely records in advance can make it easier to respond to requests, but you do not need to obtain a special product to seek preapproval. The lender should tell you which records it needs and how to provide them.

Frequently Asked Questions

Is mortgage preapproval a guarantee that I will get a loan?

No. A preapproval letter is a preliminary indication that the lender may be willing to lend up to a stated amount, pending confirmation of details. The lender may request more information, and later review of your finances and the property can change your eligibility or loan amount.

What documents do I need for mortgage preapproval?

It depends on the lender and your situation. Common requests include pay stubs, W-2s, tax returns or 1099s when relevant, bank or investment statements, identification, and prior employment and residence information. Self-employed borrowers or people using gift funds, or with relevant divorce or bankruptcy history, may need additional records. Ask your lender for a tailored list.

Is preapproval different from prequalification?

Lenders use the terms differently, so the label alone does not tell you how thorough the review was. Ask what income, assets, debts, and credit information the lender checked, what it relied on you to report, and what conditions remain.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How long does a mortgage preapproval last?

CFPB says 30 to 60 days is typical, but the expiration date and renewal process are lender-specific. Check the date on your own letter and ask what updated information or documents the lender may need to renew it.

Do I have to use the lender that preapproved me?

No. A preapproval does not bind you to that lender. After making an offer, you can request and compare official Loan Estimates from prospective lenders before choosing which one to use.

Do I need to submit documents to get a Loan Estimate?

No. CFPB says you can request a Loan Estimate by providing six key items: your name, income, Social Security number, property address, estimated home value, and desired loan amount. Documents may be requested later to verify information if you choose to proceed.

The Bottom Line

Use preapproval as a preliminary planning step, not a promise of financing. Ask the lender what it verified, what assumptions and conditions remain, which documents fit your circumstances, and when the letter expires. When you are ready to choose a loan, compare official Loan Estimates from prospective lenders rather than choosing based on the preapproval label alone.
