Yes—Google raised the price of many Workspace plans while including standard access to Gemini and other AI tools. But the AI is not free in the ordinary sense: the separate Gemini add-on charge was removed for many customers, while Workspace subscription prices increased. Access also varies by plan, feature, administrator settings and usage limits.

What Google changed
In January 2025, Google announced a pricing and packaging change for Workspace. AI capabilities previously sold through Gemini Business, Gemini Enterprise, AI Meetings and Messaging, and AI Security add-ons were folded into many Workspace Business and Enterprise subscriptions. Google said the goal was to simplify pricing and make AI available to Workspace customers.

The separate legacy add-ons are no longer available for purchase under the transition described by Google. That does not mean every customer received a cheaper bill. It means the cost of standard AI access is now incorporated into the Workspace plan price. Google’s current information says the legacy Gemini and AI add-ons are no longer available for purchase. Education customers are a notable exception because Google says the Google AI Pro for Education add-on remains available to educational organizations.

When the increase took effect
There was no single date on which every customer’s bill changed:

- January 16, 2025: Google announced the change.
- January 17, 2025: New-customer pricing was scheduled to take effect.
- March 17, 2025: Existing monthly customers began moving to updated pricing.
- At renewal: Annual and fixed-term customers moved to the new pricing when their contracts renewed.
- July 7, 2025: Google’s updated notice said pricing changes for very small businesses would begin.
Customers billed through a reseller, nonprofit program, regional contract or negotiated Enterprise agreement may have different dates and prices. Annual commitments can also delay when the higher rate appears.

The following are Google’s standard U.S. list prices checked on August 18, 2026. They are not guaranteed quotes: taxes, promotions, annual commitments, regional pricing, reseller terms and negotiated contracts may change the final amount.

Business Starter, Standard and Plus are generally limited to 300 users. Enterprise plans do not have the same stated user ceiling. Google advertises savings of approximately 16% for annual commitments, although the actual rate and promotional terms depend on the offer. Check the current Workspace pricing page for the price shown to your account.
What “included AI” actually covers
Google’s Workspace AI documentation lists capabilities across:
- Gmail, including drafting and rewriting messages
- Docs, including writing, summarizing and document assistance
- Sheets, including AI-assisted spreadsheet work
- Slides, including presentation creation and image generation
- Drive, including summaries and assistance with files
- Meet, including meeting notes and related assistance
- Chat and Vids
- The standalone Gemini app for brainstorming, research and analysis
- NotebookLM for working with uploaded sources
- Workspace Studio automation features
That list should not be read as a promise that every user receives every capability. Google distinguishes between Business Starter, Business Standard and Plus, Enterprise editions, and paid higher-access options. Some features may require a particular edition, administrator enablement, a verified domain or regional availability. Google also changes quotas and promotional access over time.

Included AI is best understood as standard access, not unlimited access. It may be sufficient for occasional email drafting, document summaries and routine brainstorming. Heavy users can run into feature-specific quotas or find that an advanced model or capability is unavailable on their plan.
Google says AI Expanded Access is available to eligible Business Standard, Business Plus, Enterprise Standard and Enterprise Plus customers. It is designed for higher usage limits, greater access to advanced Gemini models, larger or more frequent NotebookLM outputs, and higher quotas for image, video and avatar generation and Workspace Studio automation.
AI Expanded Access is not required for ordinary use. It becomes relevant when particular users exceed the standard allowance or need capabilities their edition does not provide. It is also not available as a universal upgrade for every Workspace tier.
Illustrative feature limits
Google’s comparison table gives examples of how access can differ:

These are current examples, not permanent guarantees. Google says some advanced capabilities are promotional or subject to future limit enforcement, so administrators should verify the live table before budgeting around a specific quota.

Who actually saves money?
The answer depends on what you were paying for before the change. Google’s own Business Standard example compared an approximately $12 Workspace-only price with a $32 total for Workspace plus the $18 Gemini Business add-on. The new bundled price in that example was $14 per user per month.
That can be a significant reduction for a customer who already paid for Gemini. It is a different result for a business that previously paid only for Workspace and did not want AI: that customer may now pay more for a bundle containing tools they rarely use.
Do not calculate the change by comparing only the old Workspace base price with the new plan price. Compare the full previous bill—including AI add-ons—with the new Workspace charge.
Example monthly budgets
At current U.S. list prices, the basic calculation is:
- Starter:
N × $7per month - Standard:
N × $14per month - Plus:
N × $22per month
For 25 users, that produces:
- Starter: $175 per month, or $2,100 per year
- Standard: $350 per month, or $4,200 per year
- Plus: $550 per month, or $6,600 per year
For 10 users, the monthly totals are $70, $140 and $220 respectively. For 100 users, they are $700, $1,400 and $2,200. These are list-price illustrations only and exclude taxes, discounts, regional adjustments, reseller margins, contract terms and AI Expanded Access.

Likely winners
- Organizations already paying for Gemini add-ons
- Teams that regularly use AI in Gmail, Docs, Sheets, Meet or NotebookLM
- Businesses that prefer one predictable Workspace invoice
- Companies that want centrally managed AI with Workspace administration and security controls
- Organizations that would otherwise buy AI access for many users
Potential losers
- Small businesses using Workspace mainly for custom-domain email and basic storage
- Companies that do not want generative AI in their work tools
- Businesses with dormant or low-use accounts
- Teams that need AI for only a few employees but pay the higher Workspace price for everyone
- Organizations with data-governance concerns or low employee adoption
The central trade-off is license granularity. When AI is embedded in the base plan, there may not be a simple way to keep the old Workspace-only price for users who do not need it.

Privacy and administration considerations
Google says customer data, prompts and generated responses are not used to train Gemini models outside the customer’s domain without permission. Google also says Gemini follows existing Workspace permissions and security controls and does not use this data for advertising targeting. Those are Google’s claims, not an independent audit.

- Data loss prevention and compliance requirements
- Third-party app integrations
- Whether users can access the Gemini app and NotebookLM
- Regional, edition and rollout restrictions
- Which users actually need advanced features
Administrator checklist before renewal
- Confirm your current Workspace edition and whether you are billed directly or through a reseller.
- Count active users, dormant accounts and shared or unnecessary licenses.
- Check whether your organization still has a legacy Gemini or other AI add-on.
- Compare your old total bill—not just the old Workspace line item—with the new price.
- Review the renewal date if you have an annual or fixed-term commitment.
- Measure actual Gemini, NotebookLM, Meet, Sheets and Vids usage.
- Compare required features with the current edition’s limits.
- Determine whether standard access is sufficient or whether only specific users need AI Expanded Access.
- Review administrator controls, retention, DLP and compliance settings.
- Check whether a lower Workspace tier or a different office suite better matches your actual needs.
Should you switch?
Microsoft 365 may be a better fit for organizations centered on Outlook, Word, Excel, PowerPoint, Teams and Microsoft identity management. Zoho Workplace may appeal to smaller teams looking for an integrated business suite. Proton’s business products are positioned around privacy-oriented email, storage and collaboration, although they are not a one-for-one replacement for Google’s full Docs, Sheets, Slides, Meet and AI ecosystem.
Switching suites involves migration, employee retraining, domain and email changes, compatibility testing and a separate review of each provider’s AI licensing and data controls. The price increase alone is not enough to establish that switching will save money.
Bottom line
Google did not simply make Workspace AI free. It replaced many separate AI charges with higher Workspace prices and standard AI access that varies by plan and is subject to limits. The change is most attractive if your company already paid for Gemini or will actively use Google’s AI tools. It is a less compelling deal for a business that wants inexpensive custom-domain email and basic collaboration but has little use for generative AI.
