Free Desktop as a Service for Small Businesses in 2026: What’s Actually Free?

Permanent free business cloud desktops are hard to verify. Here’s what Amazon WorkSpaces, Windows 365 and other 2026 options actually offer—and what may still cost.

There is no clearly verified, permanently free, fully managed cloud desktop suitable as a small business’s regular work PC. The strongest mainstream free starting point identified is Amazon WorkSpaces: eligible customers can use selected desktops for up to 40 combined hours per month for up to three months. Microsoft Windows 365 Business offers a one-month trial that renews unless canceled. Both are ways to test DaaS, not free desktops for ongoing business use.

For a business comparing options, the key distinction is whether it needs a hosted computer, access to a particular application, or remote control of a computer it already owns. Those are different services with different costs.

What counts as free DaaS?

Desktop as a Service (DaaS) provides a desktop hosted by a vendor and accessed over the internet. Depending on the product, the vendor supplies some combination of computing, storage, operating system, remote-display access and administration. For example, Amazon WorkSpaces offers persistent desktops as well as pooled, nonpersistent environments. See Amazon WorkSpaces desktop types.

“Free desktop” offers often refer to something other than a free, ongoing cloud PC:

A zero introductory charge is therefore not the same as a zero-cost business computer. Read the offer’s duration, usage limits, billing rules and licensing terms before creating resources.

Free and low-cost options to consider

Amazon WorkSpaces: best fit for a limited DaaS test

AWS’s pricing page describes a free tier for eligible customers: up to two Standard AutoStop WorkSpaces, with up to 40 combined hours of use per month for the first three months. AWS also says new customers may receive up to $200 in credits. These are separate limits and eligibility conditions, not a promise of an unlimited free desktop. Usage beyond the offer is charged at standard rates. Check the current terms on Amazon WorkSpaces pricing.

The 40 hours are combined, not 40 hours per desktop or user. That makes the offer more suitable for a proof of concept, an occasional contractor, or a short project than for an employee working a normal schedule. AutoStop can reduce idle compute use, but it does not make all related resources free.

Potential charges include storage, directory services, public IPv4 addresses, data transfer and other AWS components. AWS says its Windows WorkSpaces bundles include a Microsoft RDS Subscriber Access License; bring-your-own-license arrangements have separate requirements. Confirm the applicable licensing for the selected product and configuration in the AWS pricing terms before relying on it for business use.

AWS’s pricing page also carries product-transition notices. As stated there in August 2026, WorkSpaces Pools is no longer accepting new customers from July 30, 2026; new PCoIP-based WorkSpaces Personal customers are not accepted after July 31, 2026; and PCoIP-based WorkSpaces Personal is scheduled to become unavailable after October 31, 2027, with Amazon DCV identified as a migration direction. These dates and product availability can change, so check AWS’s current notice before choosing a deployment.

Windows 365 Business: simplest conventional Windows trial

Microsoft offers a one-month Windows 365 Business trial. A payment method is required, and the subscription automatically renews after the trial unless canceled. Trial details are on the Windows 365 Business trial page.

On the U.S. pricing page captured for this comparison, listed Business configurations included 2 vCPU, 4 GB RAM and 128 GB storage at $28 per user per month, and 2 vCPU, 8 GB RAM and 128 GB storage at $36 per user per month. These are configuration-specific listed prices, not a guaranteed price for every buyer: country, account, promotion and billing channel can affect what Microsoft displays. Check the current Windows 365 Business plans and pricing before signing up. The Business offering is intended for organizations with up to 300 users.

Windows 365 is a practical trial to investigate when an owner wants a dedicated Windows Cloud PC and simple provisioning. It is not the same as Azure Virtual Desktop, which is a separately configured Azure service with a different cost and administration model. A Windows 365 Cloud PC also does not automatically establish that the business has the right Microsoft 365 or other application licenses it needs; verify the exact subscriptions and usage rights.

For Windows 365 and Azure Virtual Desktop access, Microsoft says the Remote Desktop client for Windows MSI is no longer supported from March 27, 2026, and directs users to Windows App for continued access. Review the current Windows 365 access options for supported clients and browser access.

Azure Virtual Desktop: flexible, but not a free turnkey PC

Azure Virtual Desktop can suit a Microsoft-centric business with technical support, especially when pooled desktops or variable usage are appropriate. Its cost has two broad parts: user access rights or licensing, and Azure infrastructure such as compute and storage. Eligible Windows or Microsoft 365 licenses may provide access rights, but they do not make the underlying Azure deployment free. Plan for identity, networking, storage, desktop images, policies, monitoring and security as well as the virtual machines. For a nontechnical owner seeking one predictable, ready-to-use PC, the administration burden can outweigh any infrastructure savings; an existing IT administrator or managed service provider may make the model more practical.

WorkSpaces Applications: stream an app or session, not necessarily a personal desktop

AWS WorkSpaces Applications is aimed at delivering applications or streaming sessions. AWS advertises 10 free session hours per Region per month, while separate user fees and hourly resource charges can apply. The pricing page gives Windows stream.standard.medium at $0.10 per hour in the U.S. East (N. Virginia) region as an example; that is a region- and configuration-specific figure, not a universal rate. This approach is worth investigating for a contractor who needs one application briefly or for task-based access. Do not treat the 10-hour allowance as a free, persistent employee PC: resource charges, user fees and persistence needs are different from the allowance.

Google Cloud Workstations: for developers, not general office desktops

Google Cloud Workstations targets standardized development environments, rather than general-purpose office Cloud PCs. Its documented pricing model includes Compute Engine resources, persistent disks, a workstation management fee of $0.05 per vCPU-hour and a control-plane fee of $0.20 per hour per cluster in the pricing example. These are usage-based charges, not a free desktop offer. See Google Cloud Workstations pricing.

Remote access and self-hosting: useful alternatives, but a different category

If the business already has an office PC, remote-access software can let an authorized user connect to it. That may avoid renting a cloud desktop, but the company remains responsible for the host’s hardware, power, internet connection, patching, backups and security. RustDesk’s pricing page describes a self-hosting model; self-hosted software does not supply a managed cloud PC, and running a secure service still takes infrastructure and administration. Self-hosted remote access should not be confused with a full virtual desktop service. It may be unsuitable where the business cannot reliably maintain the host, secure remote access or support users.

Which option fits your business?

Choose a desktop or an application session

A full desktop is more appropriate when a worker needs multiple applications, a consistent environment, persistent settings or a private work session. Application streaming can be a better fit when someone needs only one or two programs for occasional tasks. Before selecting a nonpersistent or streamed setup, decide where files and user settings live; do not assume local session data will survive.

Match persistence to the work

A persistent desktop retains a user’s environment and is generally a better fit for regular employees who need their settings and installed applications. A nonpersistent desktop can suit shared or task-based use and may simplify resets, but files and settings need to be stored centrally if they must persist. AWS describes WorkSpaces Personal as persistent and WorkSpaces Pools as nonpersistent in its WorkSpaces administration guide; check current product availability before planning around a specific option.

Check Windows and application rights separately

Windows Server-based desktop bundles, Windows 10 or 11 virtual desktops, license-included products and bring-your-own-license arrangements can have different requirements. An existing Microsoft 365 subscription does not automatically establish rights for every virtual desktop scenario. Review Microsoft’s Windows 11 licensing for virtual desktops and the chosen provider’s terms. Also confirm licenses for Microsoft 365 desktop apps and any other software; a Cloud PC and its applications are not necessarily one purchase.

Estimate actual hours and workload

Compare the free allowance with the user’s real schedule. One person working a normal week can exceed 40 combined hours quickly; several users sharing an allowance may reach the limit sooner. AutoStop helps only when sessions stop or the service detects inactivity, so test what happens when a user disconnects, closes a browser or leaves a session open.

Basic office work is different from CAD, video editing, 3D rendering, GIS, multi-monitor work or video calls with effects. Performance depends on the selected configuration, region, network, client and workload. Test the actual applications and peripherals rather than assuming a free configuration will handle demanding work.

Account for internet and peripheral constraints

A cloud desktop depends on a reliable connection to the provider’s region. Latency, Wi-Fi congestion and mobile hotspots can affect responsiveness, while an outage can interrupt access to work that is not available locally. Test printing, scanning, webcam and microphone redirection, multiple monitors, clipboard use and file transfer with the intended client. Browser access can help users on Chromebooks or unmanaged devices, but does not guarantee the same performance or peripheral support as a native client. AWS documents client and browser features and their limits in its WorkSpaces FAQs and web-access guide; Microsoft lists access methods in its Windows 365 access documentation.

Do not treat central hosting as automatic security

DaaS can centralize administration, but the business still needs to configure identity and access controls, multifactor authentication, least privilege, endpoint protection, logging, backups, session timeouts and employee offboarding. Assess data-loss controls and regulatory obligations for the actual service and configuration; hosting a desktop in the cloud does not itself establish compliance.

What can still cost money?

Before treating an offer as free, look beyond the desktop’s headline compute price. Potential charges and business costs include:

  • Compute time beyond a free allowance, and idle sessions that remain active.
  • Persistent disks, storage, backups and snapshots.
  • Public IPv4 addresses, directory or identity services, network gateways and data transfer.
  • Windows, RDS and application licensing, depending on the product and arrangement.
  • Premium support, managed security, monitoring and third-party marketplace software.
  • Regional price differences, taxes, automatic renewal and the time required to administer or troubleshoot the service.

AWS specifically notes that Directory Service and public IPv4 charges may apply to WorkSpaces deployments. Cloud credits are temporary budgets, not a product price: other resources on the same account can consume them, and forgotten resources can continue to incur charges.

How to test DaaS without a surprise bill

Before provisioning

  1. Set a billing alert or budget for the account before creating desktops.
  2. Check eligibility, region, product type and exact free-tier terms; identify whether limits apply per account, user, desktop or in combination.
  3. Write down the offer’s end date, any required payment method and whether it renews automatically.
  4. Decide where business files will be stored and confirm operating-system and application licensing.
  5. Limit who can create resources in the test account, especially if other cloud services already use its billing account.

While testing

  1. Start with the smallest eligible configuration and enable AutoStop or inactivity shutdown where available.
  2. Avoid GPUs, extra storage, snapshots, public IP addresses and premium support unless the test requires them.
  3. Run the actual work applications and test printing, audio, webcam, copy and paste, file transfer and multiple monitors.
  4. Record how sessions start and stop, then check the billing dashboard after the first session.
  5. Test user removal and data retention; keep a separate backup of critical files until you know what deletion removes.

When ending the test

  1. Cancel the subscription or trial through the provider’s account controls before its renewal date.
  2. Delete desktops and attached disks you no longer need, then check for separately billed snapshots, images, IP addresses, gateways, directories and network resources.
  3. Remove unused marketplace software or licenses where applicable.
  4. Review the billing breakdown after shutdown and again when the final invoice is available; stopping a desktop does not necessarily remove every billable resource.

When free DaaS is the wrong answer

If a person needs one computer every workday, the free allowances here are unlikely to cover normal use. Compare the full recurring desktop cost—including licensing, storage, administration and support—with a locally managed PC or refurbished computer. A browser-based business application may eliminate the need for a full desktop, while a managed laptop can be simpler for work that must continue during internet outages.

Remote access may be appropriate when the business already owns a suitable, reliably available PC and can secure it. A self-hosted or cloud-hosted virtual desktop may suit a technical team, but “free” software does not remove the cost of hosting, maintenance and security. For a small business, the best-value option is the one that covers the real work reliably with a cost and support burden the business can manage.
