Under section 36 of the Central Goods and Services Tax Act, 2017 (CGST Act), the ordinary retention period is 72 months from the due date for filing the annual return for the year the records relate to. If relevant proceedings or a qualifying investigation are underway, a later retention deadline may apply.
How long must you keep GST records?
Section 36 sets the ordinary period at 72 months from the due date for furnishing the annual return for the year to which the accounts and records relate. The clock is tied to the annual-return due date, not the date of an invoice or transaction. See section 36 of the CGST Act.
If you are party to an appeal, revision or other proceeding before an appellate authority, revisional authority, tribunal or court, or are under investigation for an offence under Chapter XIX, records pertaining to that matter must be kept until one year after final disposal or until the ordinary retention period expires, whichever is later. Do not destroy relevant records just because the ordinary period has passed while a covered matter remains open.
The exact end date for a particular year or dispute depends on the applicable annual-return due date, amendments and case status. Confirm those details before deciding that records can be destroyed.

Which documents should you organize?
Rule 56 of the CGST Rules identifies records and documents to preserve according to the registered person’s activities. A useful audit file links the figures in each return to the books and evidence supporting them. The relevant documents may include:
- Sales and outward supplies: invoices, bills of supply, credit notes, debit notes, delivery challans and e-way bills.
- Purchases and inward supplies: supplier invoices and related supporting documents.
- Tax and ITC: payment records, tax calculations and workings supporting ITC claimed or utilized.
- Goods and stock: opening and closing balances, receipts, supplies, losses, write-offs and disposals, where the business holds goods.
- Business activities: separate accounts relevant to activities such as manufacturing, trading or providing services.
- Other tax positions: documents supporting refunds, exemptions, deductions, tax rates or other amounts and positions reported in returns.
This is a practical organizing list, not a claim that every item applies to every business or that it exhausts every possible audit request. The CGST Rules, including rule 56, set out recordkeeping requirements for relevant registered persons.

What should your audit file help prove?
CBIC’s audit rules describe verification of the documents underlying the books and the correctness of turnover, exemptions and deductions, tax rates, ITC availed and utilized, refunds claimed and other relevant issues. Arrange records so an auditor or adviser can trace a reported figure or tax position back to its accounting entry and source evidence. See CBIC’s audit rules.

Rule 56 requires accounts and specified documents to be kept at every related place of business mentioned on the registration certificate. When records are maintained digitally, they must be accessible at every related place of business. The rules also require production of books of account when demanded.

Electronic records are permitted, but the rules also address providing audit-trail and interlinkage information when demanded. That can include source documents, financial accounts, record layout, data dictionary, explanations of codes and sample documents. See the CGST Rules and rules on electronic records.
In practice, keep readable exports alongside the systems needed to retrieve source records, test that backups can be restored, retain relevant access details and explanations of internal codes, and preserve links between returns, ledgers and source documents. These are ways to support the recordkeeping duties; the rules do not prescribe a particular backup product or software.

What to do before an audit or dispute
- Identify the years and issues involved. Gather records for the relevant returns, transactions and tax positions, including any records tied to an appeal, revision, proceeding or investigation.
- Build a traceable file. Link return figures to the corresponding ledgers and source documents, and include workings for tax, ITC, refunds and other positions.
- Check retrieval and production. Confirm records are accessible at the relevant places of business and can be produced in a readable format. For digital records, test restoration from backup.
- Check the retention deadline before disposal. Calculate the ordinary period from the relevant annual-return due date and determine whether a covered matter extends it. For an active dispute or investigation, establish its final-disposal status before calculating an end date.
