That does not mean every practice in a management framework is a legal requirement: employers’ specific duties depend on applicable law and the circumstances, while the management practices below are practical ways to make workplace technology work more fairly.
How can IT make the digital workplace more inclusive?
Start with the systems and processes employees rely on to do their jobs: collaboration tools, documents, authentication, support channels, and remote-work technology. Accessibility should be considered when selecting and configuring platforms, creating content, testing workflows, and providing support—not treated as a one-time procurement check.
The EEOC’s guidance on visual disabilities gives examples of possible accommodations, including assistive technology, accessible materials, and braille displays. These are examples, not a universal purchasing list or a complete digital accessibility standard. The appropriate solution depends on the person’s needs and the work involved. Read the EEOC’s guidance on visual disabilities and the ADA.
- Check whether common employee workflows work with relevant assistive technology, including during sign-in, meetings, document review, and help-desk interactions.
- Provide accessible versions or effective alternatives when a resource or process creates a barrier.
- Give employees a clear route to report barriers and receive support, without requiring them to navigate the inaccessible process they are reporting.
- Include accessibility questions in vendor selection and configuration reviews, and track whether reported problems are resolved.
What accessibility initiatives should workplace technology leaders prioritize?
Connect accommodation requests to IT operations
Make sure employees and managers know how to request a workplace change, and establish a route for HR and IT to coordinate when a request involves devices, software, access settings, or technical support. Limit the information shared with IT to what is needed to implement and support the change; handle sensitive employee information through appropriate confidential channels.

The EEOC identifies assistive technology and accessible materials as examples relevant to visual-disability accommodations, but its guidance does not prescribe a complete enterprise request workflow. Employers should design their process with HR and, where appropriate, counsel, so that technical decisions support an effective accommodation rather than substitute for the individualized process.
Make remote and hybrid work workable
Review whether remote-work platforms, equipment, and support processes are usable by employees with disabilities. Telework may be a reasonable accommodation in suitable circumstances, but whether it is appropriate depends on the job and the facts of the request. The EEOC’s February 3, 2003 guidance says the ADA does not require employers to offer telework to everyone; if an employer does offer a telework program, employees with disabilities must have an equal opportunity to participate. See the EEOC’s telework accommodation guidance.

- High-Resilience Molded Foam Seat – Won’t Flatten After 1 Year – Instead of budget foam that hardens and sags within months, the seat is built with high-density, high-resilience molded foam that bounces back day after day. It maintains its shape and cushioning far longer, preventing the “bottoming out” discomfort common at this price point
- Adjustable Lumbar, Not a Fixed Afterthought – Unlike flimsy plastic supports that crack or lose tension, this chair features a durable lumbar mechanism that adjusts depth to match your spine’s natural curve. Genuinely relieves lower back pressure during long sitting sessions
- Breathable Mesh Backrest – No Peeling, No Heat Buildup – Say goodbye to flaking faux leather. The high-tension mesh back promotes continuous airflow, keeping you cool in warm environments and eliminating the mess of peeling upholstery. Mesh holds up significantly better over time and looks professional years later
- Anti-Sink BIFMA Certified Gas Cylinder – A common failure in budget chairs: the pneumatic cylinder loses pressure and slowly sinks during use. Our Class 3 BIFMA-certified gas lift is built to hold its height reliably, so your chair stays exactly where you set it—year after year. No more sudden drops or mid-work adjustments
- Heavy-Duty Metal Core Base (330 lbs Capacity) – Thin plastic bases can crack under stress, especially near the cylinder hub. We use a reinforced nylon base with a metal core, providing the durability and peace of mind you need. Smooth-rolling, 360° silent casters glide across hardwood, tile, or carpet without scratching or catching
Build accessibility into procurement and upkeep
Ask vendors how they assess accessibility, how customers report barriers, what support they provide, and how defects are remediated. Evaluate evidence against your actual workflows and employee needs, including compatibility with existing platforms and assistive technology, privacy and confidentiality, and the effort required to implement and maintain a solution. These are review questions, not a vendor ranking or proof of compliance.
How should employers review AI hiring tools for accessibility?
Recruiting technology can affect whether candidates can access and complete an application or assessment. Before adopting or renewing an AI-enabled hiring tool, ask for documented accessibility review, clear governance and accountability, a process for reporting barriers, and evidence that identified problems are addressed. Consider the candidate experience across the full process, not only the tool’s advertised features.

How should leaders assign accountability and review progress?
Assign named owners for workplace accessibility, accommodation-related technology coordination, and hiring-tool governance. Set a review cadence for access barriers and employee feedback, and connect findings to decisions about platform configuration, procurement, support, and remediation. Use measures that fit the organization’s systems and responsibilities rather than adopting a target without a clear basis.
