Digital Invoice vs. Paper Invoice: Which Records Should You Keep?

Digital invoices can generally serve as U.S. federal business tax records when the storage system preserves complete, legible, accessible records and an audit trail. Scanning alone is not a reason to discard paper originals.

For U.S. federal business tax records, a digital invoice can generally replace a paper copy if your electronic recordkeeping system preserves complete, accurate, legible information, keeps it accessible and retrievable, and maintains the detail and audit trail needed to support your books and tax return. Do not discard paper originals simply because they have been scanned: first confirm that the electronic process meets IRS requirements and that no other law or rule requires the original.

This guidance is about U.S. business tax records. Household bills, state requirements, regulated records, contracts and rules in other countries may call for different treatment.

Digital or paper: what matters for tax records?

For federal tax recordkeeping, format by itself is not the deciding factor. The IRS says electronic records must meet the requirements that apply to hard-copy records and provide a complete and accurate record accessible to the IRS. A paper invoice and a digital invoice are useful only if they preserve the information needed to substantiate the transaction.

That means a digital file is not automatically sufficient just because it opens on your device. It should remain legible, be retrievable when needed, and connect the transaction detail to your accounting records and tax return. When can you discard paper invoices after scanning?

The IRS permits electronic storage, including electronic imaging, but its Publication 583 sets conditions for destroying the original hard-copy books and records. The storage system must be capable of indexing, storing, preserving, retrieving and reproducing records in legible form. It must provide complete and accurate records accessible to the IRS and follow the same controls and retention guidelines as the original records.

Publication 583 says originals may be destroyed only after the electronic storage system has been tested to establish that it can reproduce records in compliance with the requirements and procedures are in place to ensure continuing compliance. Before disposing of a paper original

  • Confirm that the electronic copy is complete and legible, including relevant transaction details.
  • Make sure your system can index, preserve, retrieve and reproduce the file when needed.
  • Test the system’s reproduction process and maintain procedures for continued compliance.
  • Check whether another applicable law or requirement calls for retaining the paper original.

Keep the invoice detail and its audit trail

An invoice should support the transaction recorded in your books, not just the amount paid. IRS automated-records guidance says records must provide enough information to support and verify return entries, reconcile with the books and returns, and preserve enough transaction-level detail to identify source documents. It also expects records to be available and processable upon request, with an audit trail linking retained records to books and tax returns.

A ledger total or payment entry by itself may not preserve that supporting detail. Keep the invoice and related records in a way that lets you trace the transaction from source document to accounting entry and return. The IRS describes these requirements in its automated records guidance and its overview of business records to keep.

How long should you keep digital or paper invoices?

There is no single retention period established here for every invoice. For machine-sensible records covered by its automated-records guidance, the IRS says records must be retained at least until the period of limitation for assessment expires, including extensions. It also notes that some records may need to be kept longer, such as records relating to fixed assets, certain losses and LIFO inventories.

The applicable period can depend on the tax year, transaction and extensions, as well as other rules. Check the IRS retention requirements for your circumstances and account for relevant state, industry, contract or non-U.S. requirements before deleting records. The IRS guidance does not establish all of those additional periods.

What if your records are subject to Canadian rules?

For Canadian business records, the Canada Revenue Agency’s guidance emphasizes an audit trail that connects supporting documents to summarized financial accounts. That is a limited comparison, not a substitute for checking the rules that apply to your business and records. See the CRA’s review of business systems and keeping audit trails of business transactions.

A practical way to choose what to keep

For U.S. business tax purposes, an electronic invoice can generally serve as the retained record when the storage and recordkeeping process meets the IRS requirements described above. Keep the paper original while you establish and test that process, and retain it if another applicable rule requires it. For household invoices or records governed by different jurisdictions or requirements, check the rules for that specific record rather than assuming the federal business-tax standard applies.
