Cloudbeds vs. HotelRunner: Which Hotel Platform Fits Your Property?

Cloudbeds emphasizes a unified hotel-management platform; HotelRunner stands out for distribution, website tools, and published revenue-linked plans. Compare the real costs and workflows before choosing.

Cloudbeds is the stronger fit for operators seeking a broad, unified property-management platform and a large integration ecosystem. HotelRunner is more compelling for properties focused on OTA distribution, direct bookings, and a website bundled with the booking tools. Neither is an automatic winner: compare the exact plans, country-specific connections, and total fees for your property before signing.

What Cloudbeds vs. HotelRunner actually compares

A property-management system (PMS) handles day-to-day work such as reservations, front desk, room status, housekeeping, guest records, payments, and reporting. A channel manager sends rates, availability, restrictions, and reservations between the property and online travel agencies (OTAs). A booking engine enables guests to book directly, while a central reservation system (CRS) centralizes reservation and inventory management. A hotel-management system (HMS) may combine several of these functions.

Both vendors offer connected hospitality tools, but they emphasize different parts of the stack. Cloudbeds presents an integrated platform spanning PMS, channel management, booking engine, payments, guest experience, and related tools (Cloudbeds platform). HotelRunner gives particular prominence to distribution, direct booking, website tools, and channel management (HotelRunner channel manager). Comparing Cloudbeds’ full platform with only one HotelRunner product—or comparing just their channel managers—can therefore produce a misleading result.

The channel totals are vendor-reported and their counting methods may differ. Verify the exact OTAs, payment systems, and regional services your property uses rather than choosing by headline count alone (Cloudbeds channel manager; HotelRunner channel manager).

Cloudbeds: a unified operating platform

Cloudbeds’ public pricing page groups its offers into Flex, One, Experience, and Enterprise, and asks prospective customers to request a quote (Cloudbeds pricing). Flex is positioned as a build-your-own stack; One as a unified platform including PMS, payments, marketplace, channel manager, and booking engine; Experience adds guest-experience and reputation-management capabilities; Enterprise is custom-packaged.

Cloudbeds lists PMS, multi-property management, mobile access, reporting, housekeeping, and group-management capabilities in its plan descriptions. It also promotes a marketplace and integration ecosystem: its pricing page says 400+ integration partners, while its platform page advertises 450+ integrations. These are different vendor-reported counts, not a single independently verified total. Cloudbeds’ channel-manager page separately reports 450+ channels.

The Cloudbeds Booking Engine is presented as a commission-free direct-booking tool managed through its PMS (Cloudbeds Booking Engine overview). “Commission-free” should not be read as “no costs”: confirm payment-processing terms, metasearch charges, and any other fees in the quote. Revenue Intelligence powered by Signals AI is an add-on or associated product, not a capability shown as universally included in every plan (Cloudbeds revenue-management product).

Where Cloudbeds may fit

  • An independent hotel or group seeking PMS and connected operating tools in one platform.
  • An operator that needs multi-property or group-management workflows and wants to assess a broad marketplace.
  • A property willing to obtain a tailored quote and evaluate which modules justify their cost.

Cloudbeds’ breadth may be unnecessary for a property that needs only basic channel management. Ask for a clear breakdown of the package rather than assuming every advertised capability is included in the quoted plan.

HotelRunner: distribution-led tools with published entry fees

HotelRunner’s public pricing page presents three Essential plans. Essential Manage includes front desk, basic reporting, unlimited users and rooms, and 50 rate plans. Essential Sell adds channel manager, CRS, booking engine, content management, metasearch, and website capabilities. Essential Complete combines Manage and Sell. Advanced products include options such as Autopilot, Review Center, custom apps, guest relationship management, Insights, and Competition Analysis; HotelRunner says an eligible Essential plan is required for Advanced plans (HotelRunner pricing).

The website and booking-engine bundle is a notable part of HotelRunner’s offer. Its booking engine supports multi-currency pricing, promotions, payment-system integrations, and mobile-friendly customization (HotelRunner booking engine). HotelRunner also reports 150+ online sales channels, names major OTAs and metasearch options, and says it does not charge per OTA connection. That does not mean the service is free of plan or transaction-related charges.

Where HotelRunner may fit

  • A small hotel, inn, or B&B that wants distribution and direct-booking tools in one package.
  • A property that values an included website builder and wants to compare a published minimum fee with a custom quote.
  • An operator whose essential local channels and payment systems are supported with the required connection depth.

A small room count does not necessarily mean a simple setup. Multiple currencies, packages, local tax rules, POS integrations, and payment gateways can make a compact property operationally complex. Test those requirements directly.

How the feature differences affect daily operations

PMS, front desk, and housekeeping

Both vendors describe PMS and housekeeping capabilities. Cloudbeds includes these in its platform and public plan descriptions; HotelRunner includes its PMS in the Essential Manage and Complete offerings. Feature names alone do not establish how well staff workflows fit. In a live demo, test room assignment, guest changes, check-in and checkout, room-status transitions, housekeeping inspections, deposits, and night audit.

Channel management and OTA mapping

Cloudbeds reports 450+ channels and HotelRunner reports 150+ sales channels. Neither number tells you whether a specific regional OTA is connected by a full two-way API or by a more limited calendar method. Confirm whether each required connection syncs rates, availability, restrictions, bookings, cancellations, modifications, taxes, and payment details.

Mapping errors can still cause problems: a rate plan may point to the wrong room type, occupancy or child pricing may differ, or a channel may not support a restriction. HotelRunner’s support documentation covers room and rate-plan mapping, child pricing, restrictions, and channel availability (HotelRunner channel-manager help). Ask each vendor to demonstrate your actual room types and rate plans.

Direct booking and website

HotelRunner explicitly bundles website capabilities with Essential Sell and Complete. Cloudbeds positions its booking engine as part of a connected PMS platform. If you already have a website, ask whether the engine can be embedded and used on your domain. If you are replacing the website, confirm who controls page content and URLs and how redirects and analytics will work if you later leave.

  • Test packages, extras, promotions, deposits, and multi-room bookings.
  • Check the mobile booking flow and the ability to track conversions.
  • Confirm guest and booking data export, and whether existing marketing links and SEO URLs can be preserved.

Payments and regional requirements

Cloudbeds lists payments as part of its platform, while HotelRunner lists payment tools and integrations. Availability and commercial terms depend on country and provider. Get written answers on gateway support, card tokenization, preauthorization, capture, refunds, virtual cards, chargebacks, currencies, payout timing, and payment-processing fees.

Also verify local e-invoicing, tax reporting, fiscal printers, police or guest-registration reporting, language, and data-residency requirements. HotelRunner lists e-invoice, police, POS, Wi-Fi, and other integration categories; Cloudbeds relies on its marketplace and partner ecosystem for many specialized requirements (HotelRunner pricing and integrations; Cloudbeds platform). A listing does not prove that a specific integration is available in your country or meets your workflow.

Reporting, revenue tools, and guest engagement

Cloudbeds lists reporting among its plan capabilities. HotelRunner includes basic reporting in Essential Manage and describes Insights and Competition Analysis among Advanced products. Compare actual reports: occupancy, average daily rate (ADR), revenue per available room (RevPAR), booking source, channel performance, audit history, export formats, and multi-property rollups.

Cloudbeds’ Revenue Intelligence and HotelRunner’s Advanced tools address revenue or automation needs, but product availability does not guarantee a particular financial result. Distinguish rate recommendations, automatic rate changes, competitor monitoring, forecasting, review responses, and guest messaging; ask which functions are included, which require another plan, and what staff approval they need.

Integrations, mobile use, and support

Cloudbeds advertises 400+ integration partners on its pricing page and 450+ integrations on its platform page. HotelRunner maintains an integration directory covering categories such as OTAs, payments, accounting, PMS, and revenue tools (HotelRunner integrations). Counts differ by vendor and database methodology. For every critical connection, ask whether it is native, a first-party add-on, a partner integration, or an iCal connection; what data moves in each direction; who supports failures; and whether fees apply.

Both vendors advertise mobile access and broad support availability. Those claims do not establish response quality for your location or plan. Test the staff tasks you expect to handle on a phone, then ask for support hours in your time zone, emergency escalation, response targets, training language, and responsibility for third-party integration incidents. HotelRunner lists chat, email, phone support, assisted onboarding, and training on its pricing page; Cloudbeds describes support and onboarding options on its pricing page (HotelRunner pricing; Cloudbeds pricing).

Compare total cost, not just the minimum

HotelRunner’s published Essential fees combine a monthly minimum with a percentage of realized booking revenue when the percentage amount exceeds the minimum. The figures below are illustrative calculations using the published rates, assuming the percentage applies to the whole stated revenue amount and no other charges apply. They are not final quotes.

HotelRunner gives $2,396 in monthly realized booking revenue as the Essential Sell threshold at which 1.25% equals the $29.95 minimum. Before using the calculation to budget, have HotelRunner confirm in writing whether the percentage applies to OTA and direct bookings alike, and how it treats taxes, fees, cancellations, refunds, no-shows, and modifications. Ask about annual pricing and legacy terms as well. Payment processing and any other charges should be accounted for separately (HotelRunner pricing).

Cloudbeds does not publish a simple universal monthly list price on its pricing page, so a direct cost comparison requires a written quote. The quote should identify property and room counts, included modules, onboarding and migration charges, payment processing, paid integrations, revenue tools, contract term, support level, minimum fees, variable charges, and renewal and cancellation terms (Cloudbeds pricing).

A third-party Hotel Tech Report comparison page lists starting-price estimates of about $500/month for Cloudbeds HMS and $100/month for HotelRunner HMS. Those estimates are not Cloudbeds’ official public pricing and do not establish a price available to every property. Use the vendors’ current written offers for budgeting, not the third-party estimates (Hotel Tech Report comparison).

For either product, calculate:

  • Platform and module charges
  • Revenue-based, metasearch, or other transaction charges
  • Payment processing and gateway costs
  • Paid integrations, website work, and implementation
  • Training, support, and migration charges

HotelRunner’s percentage model can make its published entry fee less representative as booking revenue grows. Whether a quote-based Cloudbeds package becomes more economical at higher volume depends on its actual modules and charges; there is no universal break-even point.

Run a structured demo before choosing

Ask both vendors to complete the same tasks using your property’s real room types, rate plans, channels, and payment requirements. Score each from 1 to 5, and record what was demonstrated versus merely promised.

Do not turn the scores into a universal winner unless both platforms are assessed against the same test and evidence standard. A single failed local payment integration or unsupported OTA may matter more than a high average.

Plan migration and implementation around the risks

Before switching, request a written migration plan covering future reservations, historical reservations, guest profiles, room and rate mapping, deposits and balances, taxes and fees, website URLs, booking-engine redirects, OTA cutover, staff training, parallel operation, and rollback. Confirm what data can be exported if the contract ends and whether historical records remain usable.

Website changes deserve special care: replacing a booking engine or site can affect direct-booking links, SEO URLs, analytics, and marketing attribution. Assign an owner to preserve redirects and tracking, and test them before the new flow goes live.

For the channel cutover, verify that inventory is correctly mapped before enabling live updates. Test one reservation, cancellation, and modification through each critical connection, then reconcile the property’s system against the OTA before relying on the new setup. A connected system can reduce manual work, but mapping mistakes, unsupported restrictions, delays, and manual changes can still create discrepancies.
