Zoho People can supply selected employee and leave data to greytHR, where payroll is processed. Separately, greytHR can send payroll journal vouchers to Zoho Books for accounting. These are two distinct workflows—not a single, fully two-way payroll integration. The documented Zoho People–greytHR integration covers India, the Middle East, and Africa; confirm support for your country, edition, and legal entity before implementation.
How the Zoho and greytHR payroll setup works
In the primary workflow, Zoho People is the HR and employee-data layer, greytHR is the payroll-processing system, and Zoho Books is an optional accounting destination.

Employee-master updates may sync automatically after an initial manual sync, subject to the configured filters. Loss-of-pay (LOP) information must be pushed manually each month. The Books connection is a separate journal-posting workflow through greytHR Unite. The integration does not establish unrestricted two-way synchronization or automatic transfer of every payroll field. What can move from Zoho People to greytHR
The documented employee data includes employee ID, name, email, gender, date of birth, joining date, employee type, designation, department, and location. Additional fields can be handled through field mapping. Pay-cycle information and LOP data are also part of the integration. Employee records are subject to the selected location and employee-type conditions.

Do not assume that salary structures, tax calculations, bank transactions, reimbursements, statutory information, or every custom field transfer automatically. Confirm the actual field mapping and ownership for your implementation.
Prerequisites and ownership
Before connecting the systems, settle the payroll population, calendar, access, and responsibility for each data type. The initial integration configuration in Zoho People is restricted to a super administrator. Once a payroll administrator is assigned, both that administrator and the super administrator can access the integration settings.
- An active Zoho People organization and an active greytHR account.
- Zoho People super-administrator access for setup and an assigned payroll administrator for ongoing operations.
- Your greytHR domain name, username, Access ID, and API key. Treat credentials as sensitive and limit access to authorized administrators.
- Agreed location and employee-type filters, a payroll calendar, and field-mapping decisions for nonstandard employee data.
- A controlled test population and a reconciliation plan before the first production payroll.
- Clear responsibility for source data: typically employee profile, organization attributes, leave, and LOP in Zoho People; payroll inputs, processing, and payslips in greytHR; and journal classification in Zoho Books. Confirm ownership of salary structure, bank details, tax declarations, reimbursements, and statutory data individually.
Connect an existing greytHR account
The following is the path documented in Zoho People’s help guide. Labels can vary by product edition or interface revision.
- In Zoho People, open Settings > Marketplace.
- Find the greytHR tile and select Configure / View Details.
- Read Important Information, then open Integration Settings.
- Enter the greytHR username, domain name, Access ID, and API key.
- Select Login to greytHR Account. After verification, select the payroll administrator.
- Choose the locations and employee types that should enter the payroll workflow.
- Choose whether to include employee profiles, enable employee access through self-service, and use field mapping for additional fields.
- Select Sync my employee database with greytHR to run the initial employee sync.
Control the employee population and verify the first sync
Location and employee type are inclusion conditions, not merely descriptive settings. An employee outside either selected scope may be left out; a change to either attribute can also move a previously included employee outside scope. Incomplete required data or mismatched field mapping can create additional exceptions.

Before the first production run, count or export the eligible employees in Zoho People and compare that population with greytHR after synchronization. Reconcile employee IDs, locations, employee types, joining dates, and any other master data your payroll setup depends on. Keep a dated sync log and resolve exceptions before processing payroll. After initial setup, additions, edits, and deletions are described as syncing automatically when they meet the configured conditions; this does not remove the need to check results.
If a specific employee is missing, check the filters and source record first. Correct the record or mapping if appropriate, then use Quick Push to select and push one or more users again. Confirm the employee is present and correct in greytHR before the payroll period is initiated.
Match the pay period and initiate payroll in greytHR
Configure a pay period in the Zoho People Leave module if it is to calculate LOP for that period. If no pay period is configured, Zoho documents a default of the first through the last day of the month. That calendar-month default may not fit a mid-month or nonmonthly payroll calendar, so set the period to match your actual cycle.
The relevant payroll month must also be initiated in greytHR. From the greytHR integration settings in Zoho People, use Admin Login, select the month in the upper-right month selector, and choose Create Payroll for the month that will receive data. Do this before expecting that month’s inputs to be available in greytHR.

Push and validate LOP each month
LOP is a separate monthly operational task; the employee-record sync should not be mistaken for an automatic LOP transfer. Use this sequence for each payroll period:
- Configure the applicable pay period in the Zoho People Leave module.
- Wait until the relevant processing day has passed, then review the LOP details report.
- If applicable, convert carry-over leave information into LOP data.
- Open Reports > Organizational Reports > Leave > Loss of Pay Details and select the pay period.
- Open the ellipsis menu, choose Push to Payroll, then push all applicable employees or select specific employees.
- In greytHR, open Payroll Inputs > Employee LOP details and validate imported values before payroll is processed.
If LOP is missing or incorrect, check that the pay period is configured correctly, the processing day has passed, and the report was pushed for the correct period. Also verify that the employee remains within the configured integration scope and that the month’s payroll was created in greytHR. Correct or push the affected employee’s data, then validate the imported value before recalculating or correcting payroll.
Review payroll access for employees
The integration can expose an Access my payroll option in the Zoho People self-service area. Depending on configuration, employees may be able to reach greytHR payroll information, print payslips, submit reimbursement claims, or view tax-related information. These permissions govern access to sensitive payroll and tax data; enable only the capabilities appropriate to each employee group and review them as part of access control.
Validate payroll before final approval
greytHR performs payroll processing in this arrangement; the connector does not by itself guarantee correct calculations or compliance. Before approval, reconcile the imported inputs against the organization’s actual payroll records.

- Employee count, new hires, exits, and any employees excluded by scope filters.
- Department, location, employee type, and joining-date changes that affect eligibility or payroll treatment.
- LOP values against the approved leave and LOP report for the correct period.
- Salary revisions, reimbursements, deductions, and bank information that are part of your configured payroll process.
- Payroll period, exception reports, and approval status in greytHR.
Only treat these as synchronized inputs where your implementation explicitly maps and verifies them. Keep a record of discrepancies and their resolution rather than relying on the presence of an employee profile as proof that every payroll input is current.
Send greytHR payroll journals to Zoho Books
This optional workflow transfers greytHR payroll Journal Vouchers to Zoho Books; it is not the Zoho People employee-sync configuration. greytHR’s admin guide describes the connector in Unite Marketplace and says it is free for eligible users with Unite access. That statement does not mean the underlying greytHR, Zoho People, or Zoho Books subscriptions or implementation services are free.
Connect Zoho Books
- In greytHR, open Unite Marketplace > Connectors, search for Zoho Books, and select Enable.
- Complete the requested details and accept the terms.
- Open the Zoho Books page in greytHR and select Open > Settings > + Add Connection.
- Sign in to Zoho Books and note its Organization ID.
- Return to greytHR and open Settings > Organisation > Select Organisation. Select the matching Organization ID.
Build and test journal rules
- On the Zoho Books page in greytHR Unite, open Rules and select + Add Rule.
- Name the rule and define its population using department, location, or available custom fields. The guide states that department and location filtering is mandatory; custom-field requirements can also apply if configured.
- Map greytHR salary components to Zoho Books components, marking each mapped value as debit or credit.
- Check that total debits equal total credits, then save the rule. Create separate rules when departments, locations, or accounting treatments require different mappings.
- Test the rule against a limited population and have finance review the preview before publishing.
Run and publish a journal
- Select Sync Data to Zoho Books, choose the rule, and select the payroll year and month.
- Select Run and review the generated data.
- Select the journal date, then select Publish.
- Confirm the entry in Zoho Books under Manual Journals.
The payroll period and accounting journal date are different controls. The greytHR guide allows a backdated expense date where needed, so use the date approved under your accounting policy and check the resulting posting period in Zoho Books.
If a journal will not publish, verify the selected Zoho Books organization and connection, required department or location filters, any configured mandatory custom fields, component mappings, and debit-credit balance. Reauthorize the connection if necessary. Do not publish until finance has reviewed the preview.

Is this combination a good fit?
The arrangement is most useful when Zoho People already holds employee and leave data, greytHR is the established payroll engine, and finance wants journal vouchers posted to Zoho Books. It can preserve existing payroll configuration while reducing repeated employee entry—but it adds credentials, filters, mapping rules, operational steps, and reconciliation responsibilities.
It is a weaker fit if you need a single-vendor employee master, real-time bidirectional synchronization, fully unattended LOP transfer, or accounting rules that cannot be expressed through the available filters and mappings. It may also be unsuitable if your legal entity is outside the documented regional scope or your payroll rules vary by country or entity in ways the setup cannot represent.
Alternatives and buying checks
Zoho’s payroll integration overview lists Zoho Payroll for India, Saudi Arabia, and the UAE, greytHR separately as a Zoho People payroll integration, and Xero as a UK payroll integration. Zoho People also lists Paybooks as an India payroll integration. Check the country and edition for the entity you are implementing rather than assuming that a connector works globally. - Zoho Payroll: Consider it if you want payroll within a mostly Zoho-native stack. Zoho’s India comparison lists payroll functions including statutory calculations, payslips, LOP, arrears, full-and-final settlements, and reports; actual suitability depends on country, edition, and setup. - Paybooks: A listed India payroll integration for Zoho People; assess it as another payroll-engine option if retaining Zoho People is important. See Zoho People’s integration directory.
- Xero: Listed by Zoho as a UK payroll integration; consider it for a UK-specific workflow, not as a general substitute for India payroll. See the regional integration overview.
For India, greytHR’s pricing page currently lists Essential at ₹2,495 per month with 50 employees included and ₹45 per additional employee; Growth at ₹4,495 per month with 50 included and ₹85 per additional employee; and custom pricing for Premium. These are India plan prices shown on the greytHR pricing page; confirm current terms, taxes, and eligibility directly with the vendor.

Price the implementation, migration, support, taxes, and add-ons separately. Before committing, confirm regional and statutory fit, data ownership, API or connector access, and the cost of recreating historical payroll processes. Run a production-like test payroll, validate the LOP flow, and have finance approve journal mappings.
