UKG: forecast-led scheduling and workforce controls

UKG says its scheduling tools forecast workload in 15-minute intervals and recommend workers using availability, skills, and compliance factors. Its product description also lists rule-based assignment using skills, preferences, and availability; labor-law alerts; fatigue and cost controls; and employee self-service for availability, leave, shift pickup, and swaps. These are vendor-described capabilities, not independently measured outcomes or a guarantee of legal compliance.

Homebase: hourly-team scheduling with connected operations

Homebase presents scheduling alongside a time clock, timesheets, team messaging, payroll, HR, and operations functions. It names Square, Shopify, Clover, QuickBooks, and Toast as integrations, including POS and labor-cost workflows. Check whether the integration you need is available on your plan and exactly what data it synchronizes.

Deputy: a broader shift-work platform

How to choose staff scheduling software for a small business or larger team

Start with the work pattern and the cost of schedule administration, not a “best overall” label. A location-based price may suit a different budget model from a per-user subscription, but the headline amount alone cannot show what you will pay: establish your locations, active users, required plan, billing interval, and any separately priced functions.

  • Map how shifts are made. Decide whether you need recurring templates, demand forecasts, coverage-gap alerts, or rules for assigning people by availability and skills. Ask vendors to demonstrate your real scheduling pattern.
  • Check employee self-service. Confirm whether workers can enter availability, request leave, pick up open shifts, and swap shifts, and whether managers can approve those actions from mobile devices.
  • Verify controls against your rules. If certifications, overtime, fatigue, or local labor requirements matter, test the relevant controls against your policies and jurisdictions. Scheduling software can support compliance workflows; its presence does not itself guarantee compliance.
  • Trace the data connections. Verify the exact payroll, timekeeping, accounting, and POS integrations you need, including which plan includes them and whether synchronization is one-way or two-way.
  • Separate bundled from add-on functions. Scheduling may sit alongside timekeeping, messaging, HR, leave management, or analytics. Request an itemized quote that identifies what is included and what costs extra.
  • Assess operations across sites. For multi-location teams, check permission controls, location-specific rules, reporting, onboarding, and support—not just whether the software can publish a roster.
  • Review privacy and security. Ask how employee data is handled, who can access it, and what security information and controls the vendor provides. How to make a staff roster with scheduling software

  1. Set the operating requirements. Record opening hours, expected coverage by role and time, required skills or certifications, availability, leave, and applicable rest or overtime rules.
  2. Choose the right schedule period and location. Confirm the dates, site, and roles before creating a roster so managers and employees are working from the same schedule.
  3. Build the draft. Use a template or recurring shifts if available; otherwise, assign coverage manually. Check each assignment against availability, skills, and your organization’s rules.
  4. Review coverage and labor cost. Look for uncovered periods, conflicting assignments, overtime, and labor-cost deviations. Forecasts and alerts can help surface issues, but managers still need to validate the assumptions and final schedule.
  5. Collect requests and resolve gaps. Route availability changes and leave requests through the approval process. If staff can pick up or swap shifts, establish who approves changes and how the final roster is updated.
  6. Publish and communicate. Confirm that employees can access the published schedule on the channels they actually use, then communicate late changes through the same agreed process.
  7. Reconcile scheduled time with worked time. Where timekeeping is connected, check how edits, missed punches, and approved changes flow into timesheets and payroll before relying on the integration.

How to compare the real cost before you commit

Request a written quote for your intended region, team size, locations, billing interval, and feature set. Compare the full recurring subscription—not just a free-plan headline—and ask whether onboarding, support, timekeeping, payroll, analytics, or integrations require a separate plan or fee. If the vendor offers a trial or free tier, verify its current eligibility and limits directly; the Dupple price snapshot is not sufficient to establish today’s terms.

Before selecting a system, run a representative roster through the product: include a busy period, an absence, a shift swap, and a payroll or POS handoff if relevant. Record whether the workflow fits your approval rules and whether managers can understand any forecast or labor-cost outputs. This is a practical evaluation method, not evidence that any specific product saves time or money.
