- Measure volume. Count incoming documents per month and estimate storage for three years. A paperless system can still become expensive if storage or transaction limits apply.
- Separate storage from workflow. If you only need filing, start with Microsoft 365, Google Workspace, or Dropbox. If documents must be approved, indexed, or audited, evaluate DocuWare or M-Files.
- Check accounting integration. Confirm whether the software connects to QuickBooks, Xero, Sage, payroll, CRM, or your bank-document workflow. “Integrates with accounting software” may mean only a file export.

Common paperless-office failure modes
Scanning without indexing: A folder full of “Scan001.pdf” files is not a usable archive. Use consistent names, dates, document types, and owners.
One shared login: This destroys accountability. Give each worker an individual account and enable multifactor authentication.

Using email as the archive: Important records buried in an inbox are difficult to find and easy to lose when an employee leaves.
Confusing sync with backup: If ransomware encrypts a synchronized folder, the damage may synchronize too. Maintain independent backups and test restoration.
Ignoring retention rules: Keep tax and financial records for the period required in your jurisdiction, but do not retain sensitive personal data indefinitely without a business or legal reason.
Buying features no one uses: A sophisticated workflow platform is poor value if staff continue printing documents because the process is too complicated.
