For most cross-functional teams, start with Asana; compare ClickUp when consolidation and flexibility matter, monday.com for visual customization, Jira or Linear for software work, and Microsoft Planner if your organization already runs on Microsoft 365.

Agile development tools
Jira and Linear focus on backlogs, issues, sprints, releases, roadmaps and links to code, incidents and deployments.
Knowledge workspaces
Notion combines documents, wikis, databases and task views. It is strongest when project context and documentation are as important as task status.
Portfolio-management systems
Enterprise PPM products coordinate multiple projects, capacity, budgets, strategic priorities, governance and executive reporting. They should not be compared as direct substitutes for a simple Kanban board.

Tool-by-tool guide
Asana: structured general-purpose work
Asana suits marketing, operations, launches, approvals and goals where clear ownership and process matter. It offers multiple project views, dependencies, milestones, forms, rules, dashboards and reporting. Advanced workload, portfolios, administration, security and automation depend on the plan. Per-user pricing can become material as headcount grows, and its process orientation may feel heavy beside Trello or Basecamp. Teams needing deep engineering workflows should compare Jira or Linear. See Asana pricing.

ClickUp: breadth and consolidation
ClickUp is a candidate when one system must cover tasks, docs, goals, dashboards, automations, whiteboards, chat and time tracking. Its flexibility can create configuration sprawl, inconsistent conventions and a steeper learning curve. Verify storage, automation, AI, permissions and reporting limits for the selected plan. See ClickUp pricing.
monday.com: visual customization
monday.com works well for visual-first marketing, operations and creative teams. Boards, custom columns, forms, templates, dashboards and automations are approachable, but over-customized boards can fragment processes. Dependencies, workload, reporting, permissions and automation may require higher tiers; check seat packaging and minimums at monday.com pricing.
Jira: engineering and Agile
Jira is designed for backlogs, Scrum and Kanban, issue types, sprints, releases, workflows and developer integrations. It is often excessive for general operations, and administration, permissions and terminology can challenge nontechnical contributors. Compare product-roadmap needs separately from engineering issue tracking. See Jira pricing.
Trello: lightweight Kanban
Trello minimizes setup with cards, lists, labels, checklists, due dates and basic automation. It is a good fit for small teams and external collaborators, but weak for complex dependencies, cross-project reporting, workload planning and governance. Power-Ups and higher plans may be needed for advanced capabilities. See Trello pricing.

Notion: documentation plus projects
Notion is useful for briefs, meeting notes, wikis, databases and lightweight task tracking. Flexible pages can become inconsistent, and dedicated tools generally provide stronger dependencies, workload and portfolio reporting. Define database ownership and page architecture before scaling. See Notion pricing.
Linear: opinionated product workflow
Linear fits product and engineering teams that want fast issue, cycle, project and roadmap coordination with less configuration than Jira. It is not a universal operations, agency or billing platform. Review current plans at Linear pricing.
Basecamp: simplicity by design
Basecamp combines project spaces, to-dos, message boards, schedules and documents with low administration. That simplicity is a deliberate limitation: it is a poor fit for critical-path analysis, sophisticated dependencies, Agile backlogs, detailed workload planning or portfolio governance. Check whether its current flat-rate or per-user structure fits your eligibility and feature needs at Basecamp pricing.
Microsoft Planner: the Microsoft 365 choice
Basic Planner experiences may be included with some Microsoft 365 subscriptions and provide boards, grids, schedules, charts, task details, templates and Teams integration. Microsoft lists Planner Plan 1 at $10 per user per month, paid yearly, with dependencies, reports, timeline/Gantt, backlogs, sprints, people management and project goals. Planner and Project Plan 3 is listed at $30 per user per month, paid yearly, adding advanced dependencies, portfolios, baselines, critical path, resource capabilities, Project desktop and Project Online. Plan 5 is listed at $55 per user per month, paid yearly for portfolio and resource management. Confirm tenant, region and licensing availability on Microsoft’s plan comparison. Microsoft identifies Project Online as retiring on September 30, 2026, so existing customers should plan migration rather than assume continuity.

Smartsheet suits spreadsheet-oriented teams that need permissions, automation, dashboards and portfolio reporting. It can become complex and costly as requirements expand; verify viewer roles, automation limits and resource features at Smartsheet pricing.
Wrike: structured larger-team oversight
Wrike targets larger cross-functional organizations and agencies needing approvals, workload, reporting and portfolio oversight. Its implementation and administration burden is disproportionate for a small team needing only assignments, dates and a board. See Wrike pricing.
Teamwork and Paymo: client-services workflows
Teamwork is aimed at agencies and client-services teams; Paymo is a candidate for smaller agencies needing time tracking, scheduling, invoicing and budgets. Compare current inclusions at Teamwork pricing and Paymo pricing.

Match views to decisions
| View or capability | Use it when |
|---|---|
| List or table | You need precise fields, sorting and bulk updates. |
| Kanban board | Work moves through a small number of clear states. |
| Calendar | Dates and publishing cadence are the main constraint. |
| Timeline or Gantt | Dependencies, milestones, baselines or critical path matter. |
| Workload or people view | Managers must see capacity and conflicts across projects. |
| Backlog and sprint views | Engineering work is prioritized and delivered in iterations. |
| Portfolio and dashboards | Leadership needs cross-project status, risk and trend reporting. |
| Forms and intake | Requests enter through a consistent approval process. |
| Wiki, docs or whiteboards | Context, decisions and project artifacts must stay beside execution. |
| Time tracking and invoicing | Client profitability, billing or utilization drives the workflow. |
How much structure is appropriate?
- Low structure: Fast adoption and little administration, but limited reporting and dependency control.
- Moderate structure: Usually the best balance for growing cross-functional teams.
- High structure: Strong governance and portfolio control at the cost of implementation, training and resistance risk.
Pricing: calculate the real cost
Prices vary by country, currency, tax, billing cadence, plan, seat tier and negotiated enterprise terms. The indicative 2026 comparison cited by ClickUp lists starting signals of approximately $10.99 per user/month for Asana, $7 for ClickUp, $9 per seat for monday.com, $7.91 for Jira, $5 for Trello, $10 for Notion, $15 per user or $349 flat-rate for Basecamp, $9 for Smartsheet, $9.80 for Wrike, $10.99 for Teamwork and $5.90 for Paymo. Treat these as comparison signals, not quotes; verify the live pages linked above.

Build totals for 5, 10, 25 and 50 users, and separately model a 10-person team with five external clients. Check whether guests, viewers, contractors or clients consume paid seats; whether annual billing is required; and whether reporting, workload, permissions, time tracking, storage, automation or AI require a higher tier or add-on. Include migration, implementation, training, integrations, administration and security review in total cost.
Integrations and AI: evaluate the behavior, not the logo
Check the exact connection with Slack or Teams, Google Drive or SharePoint/OneDrive, Gmail or Outlook, GitHub/GitLab/Bitbucket, Salesforce, HubSpot, Zendesk, Zoom, Jira or Linear, Zapier, Make and Power Automate. Ask whether it supports notifications, two-way synchronization, task creation, field mapping, file access, comments and identity or permission handling.
For AI, distinguish natural-language task creation, summaries, action-item extraction, search, drafting, status reports, risk detection, workflow generation, prioritization and agents that actually update data. Confirm whether each capability is included, paid, preview or merely a marketing claim. Microsoft describes Planner AI features such as task generation, progress tracking, status reports and cross-app task insights, but availability depends on the tenant and license. Human review remains necessary because AI can confidently summarize stale or incomplete data; verify training-data use, retention, tenant isolation, administrator controls and reversibility.

How to evaluate before buying
- Define the workflow: Document intake, approvals, statuses, owners, completion rules, hard deadlines, recurring work, dependencies, reports and private information.
- Use one representative project: Include at least 20 tasks, three owners, a milestone, dependency, recurring task, approval, guest, attachment, status report, late task, changed deadline and cross-team handoff.
- Measure friction: Record setup time, new-user update time, clicks to overdue work, ownership and deadline changes, dependency behavior, dashboard accuracy, notification quality, guest licensing and administrator dependence.
- Run a two-to-four-week pilot: Include actual users, define success metrics, keep the old system only for recovery and test export and offboarding.
- Set governance: Establish naming, required fields, ownership, due-date conventions, archive policy, template and automation owners, permission groups, notification standards and reporting definitions.
Migration and failure prevention
- Inventory projects, users, documents, fields and automations.
- Delete obsolete data and map statuses and owners.
- Pilot-import one project.
- Verify attachments, dates, dependencies and permissions.
- Run old and new systems briefly during cutover.
- Freeze, export and archive the old system.
- Train users on the new operating rules.
- Avoid tool sprawl: Decide what belongs in the project tool, chat, email, documents, CRM, help desk or ERP.
- Avoid over-customization: More modules can create inconsistent information architecture.
- Avoid notification overload: Define useful events and channel ownership.
- Do not trust free plans blindly: Check project counts, history, dependencies, dashboards, automation runs, storage, custom fields and external access.
- Plan portability: Confirm export formats, API access, file ownership, activity-history export, deletion recovery, retention, termination terms and identity-provider behavior.
When a dedicated tool is unnecessary
You may not need another subscription if the team has fewer than five people, work is mostly personal or recurring, projects are short with few handoffs, an included Microsoft Planner experience is sufficient, or an existing help desk, CRM, engineering tracker or ERP is already the operational system. A shared spreadsheet can be adequate when visibility is genuinely simple. Compare hosting, security, maintenance, integrations, migration and training—not just subscription price—when considering open-source, self-hosted or spreadsheet alternatives.
The Bottom Line
Choose by workflow: Asana for structured cross-functional work, ClickUp for breadth, monday.com for visual customization, Jira or Linear for software, Trello for simple Kanban, Notion for documentation-led teams, Teamwork or Paymo for agencies, and Planner when Microsoft 365 is already your operating environment. Pilot one real project, calculate total cost at your actual seat and guest counts, and buy only the structure your team will maintain.
