Those functions can help control check issuance and records, but they do not by themselves establish a petty-cash ledger. Advaiya also lists a Purchase Requisition App for Business Central. Its stated purpose is managing purchase requests, approvals, budget and inventory checks, attachments and traceability. Procurement approvals may sit alongside finance controls in an ERP, but this is not evidence of a petty-cash or employee-reimbursement product.

Ask the person offering eRachana to provide:
- An official product URL, the current product name and spelling, and the legal entity responsible for it.
- Confirmation whether it is standalone software, a custom implementation, or an application built on another platform.
- Current product documentation and a live demonstration of funding a petty-cash fund through recording expenses and reconciling the closing balance.
- Deployment details, supported operating systems, mobile availability and any offline functionality.
- Written details of approvals, receipt handling, audit logs, role permissions and accounting or ERP integrations.
- Security and data-processing documentation, hosting geography, backup and retention terms, and an export or exit procedure.
- A written commercial proposal covering subscription, implementation, support, upgrades, cancellation and any integration charges.
- References from customers using the current version.
Do not compare unlike finance workflows
“Petty-cash management,” “employee expense management,” “checkbook management” and “ERP cash management” overlap around payments, but they solve different problems. A product can be useful for one and still lack the controls required for another.
- Checkbook management centers on check inventory, numbering, issuance, voids and payment records.
- Petty-cash management centers on cash funds, custodians, withdrawals, top-ups, receipts, cash counts and reconciliation.
- Employee expense management often centers on claims, receipt capture, approvals, reimbursements and advances.
- ERP cash and accounting functions connect transactions to broader ledgers, entities, projects and reporting, but a particular ERP feature set must be verified rather than assumed.
A check-focused application may not support employee claims, cash-fund replenishment, receipt attachments or physical cash counts. An expense app may not provide check sequencing, bank reconciliation or formal general-ledger posting. Ask vendors to demonstrate the actual workflow your finance team needs.

Requirements to test in a real petty-cash product
Use the following checklist to define the requirement before comparing vendors. Mark a capability as supported only when it is shown in the product or documented in writing—not because a vendor uses a broad label such as “cash management.”
Funds and reconciliation
- Create separate funds by branch, location or purpose, assign custodians, and set opening balances and top-up rules.
- Record cash withdrawals, deposits, reimbursements and transfers while maintaining a current balance.
- Support cash counts, reconciliation and variance reporting; flag or prevent negative balances and duplicate claims.
Expense capture
- Record transaction date, amount, merchant, purpose, category, project, branch and cost center.
- Attach or photograph receipts and route missing-receipt cases through a documented exception process.
- Handle advances and settlements, split expenses across projects or departments, and support multiple currencies if the business needs them.
- Provide mobile capture for field staff and a workable process for poor connectivity, if relevant.
Approvals and audit controls
- Configure approvals by amount, department, location, project or other policy rule.
- Separate requester, approver, custodian and finance roles; apply spending limits and preserve segregation of duties.
- Prevent unauthorized changes to approved transactions and retain an audit trail showing the user, timestamp and before-and-after values.
- Support duplicate detection, exception reporting, evidence retention and deactivation of former users.
Reporting and accounting
- Produce a petty-cash register, outstanding-advance report, reimbursement status, reconciliation variance and expense summaries by category, branch or project.
- Export data to commonly used formats or provide a supported API or accounting integration.
- Confirm journal-posting capability and how the product handles applicable GST and accounting treatment with the vendor and the organization’s finance adviser.
- Check search, filtering, notifications, bulk import and export, data backup and retention.
How to evaluate the Advaiya route
Assess Advaiya primarily as an ERP-integrated option, not automatically as a lightweight petty-cash app. It may be worth evaluating if your organization already uses Business Central and wants payment controls within that environment. The product page describes Check Lot Manager’s integration, but the exact supported editions, versions, deployment architecture and licensing prerequisites still need confirmation.

- Define the workflow: Ask whether the proposed application creates and reconciles physical petty-cash funds, or whether it manages checks and payment records only.
- Demonstrate employee transactions: Ask to submit a petty-cash claim with a receipt, process an advance and settlement, and show any reimbursement workflow.
- Test controls: Ask for approval rules by amount, branch, project or cost center; show role separation, locked approved records and the audit trail.
- Follow the accounting entry: Have the vendor show whether transactions post directly into Business Central, in which accounts, and how errors or reversals are handled.
- Confirm fit and scope: Ask which Business Central editions and versions are supported, whether Business Central licensing is required, and what is standard product functionality versus custom development.
- Get total cost in writing: Request separate figures for the app subscription, Microsoft licensing, implementation, data migration, customization, integrations, training, support and upgrades.
- Check ongoing responsibility: Establish who maintains an integration after a Business Central or accounting-system upgrade and whether that work is included in the proposal.
Advaiya’s broader ERP context can be an advantage when finance, procurement and project data need to work together. It can also be unnecessary complexity if the requirement is only a small standalone cash register or employee reimbursement process and the company does not use Business Central.

Use the same workflow demonstration and written requirements for eRachana as for any documented vendor, but first confirm who owns and supports the product. Request a sample transaction from fund creation through approval, cash movement, receipt attachment, reconciliation and accounting export. Then verify security, data handling, service commitments, customer references and an exit path. Without these materials, there is no sound basis to score its features against Advaiya’s publicly described applications.

Do not select on headline subscription price alone. Total cost can include per-user or per-entity fees, ERP licences, setup, migration, customization, integrations, training, support, maintenance and storage or OCR charges. A demo, written scope and quote make those differences visible.

- Already on Business Central and need check controls: Evaluate Advaiya’s Check Lot Manager, while separately proving whether it covers the petty-cash workflow you require.
- Need receipt-backed cash expenses, advances and reconciliation: Shortlist dedicated petty-cash or expense tools and test those workflows directly.
