A one-truck owner-operator may need fuel, mileage, receipts, maintenance, invoicing and cost-per-mile reports; a growing carrier may need a general ledger, payroll, settlements, dispatch, IFTA reporting and multi-user controls. The right choice depends on truck count, employee-versus-contractor pay, dispatch needs, integrations and how much accounting your bookkeeper must perform.

What trucking accounting software actually includes
The label covers several different categories. Bookkeeping software provides a chart of accounts, general ledger, bank reconciliation, accounts payable and receivable, payroll and financial statements. Trucking-specific accounting adds trucks, trailers, drivers, loads, trips, fuel, mileage, maintenance, settlements and IFTA data. A transportation-management system (TMS) adds dispatch, customer and broker records, documents, routing and operational status. An integrated suite combines those functions in one database.
That distinction matters: a TMS may call invoicing and expense entry “accounting” without replacing a full general ledger, while a general ledger may not calculate trip profitability or driver settlements.

Why trucking requires a specialized workflow
- Revenue can include line haul, fuel surcharge, detention, loading, unloading, accessorials, mileage or percentage splits.
- Costs often need assignment to a truck, trailer, driver, trip, load or lane.
- Fuel and miles must be analyzed by jurisdiction, not only in total.
- Settlements can include advances, deductions, reimbursements, escrow, insurance and fuel.
- Large or irregular repairs can distort cash flow and the true operating cost of a truck.
- Useful profitability views include truck, driver, customer, lane, trip and profit per mile.

Look for jurisdiction mileage, fuel purchases by jurisdiction, taxable-mile classifications, current tax rates, ELD and fuel-card imports, manual corrections, validation and state-specific reports. These tools organize and calculate information; they do not guarantee accurate filing. The carrier remains responsible for source-data accuracy, tax classifications, deadlines, payment and corrections. Compare ELD miles with fuel-card, odometer and dispatch data, checking unassigned driving, personal conveyance, yard moves, vehicle assignments and outages.

Payroll and settlements
Confirm whether the product handles employee payroll, W-2 wages, independent-contractor settlements, leased-operator settlements and outside-carrier payments separately. Test per-mile, percentage, hourly, salary and flat-rate pay, plus advances, deductions, benefits, garnishments, escrow, fuel and reimbursements. Needed functions may include load entry, dispatch assignment, rate confirmations, bills of lading, pickup and delivery status, customer and broker records, accessorials, factoring details, routing, mileage and invoice creation. QuickBooks plus trucking tools
QuickBooks can be a sensible financial system of record when the business already has a QuickBooks-trained accountant, uses a separate TMS and has manageable trucking analysis. It may require a TMS, IFTA service, fuel-card feed or custom chart of accounts for settlements, dispatch, load profitability and per-truck costs. The exact edition, payroll package and integrations should be verified at purchase.

Neither approach is universally superior. A specialized application can lack bank controls, payroll compliance, multi-entity accounting or export capability; a general ledger can be perfectly adequate when dispatch and IFTA are handled elsewhere.

- Count trucks, trailers, users and legal entities, including expected growth.
- List employee, contractor, leased-operator and outside-carrier payment methods.
- Inventory required ELD, fuel-card, factoring, load-board, routing, payroll, bank and QuickBooks connections.
- Decide whether dispatch, documents and billing must live in the accounting system.
- Identify IFTA data sources and define who reviews, corrects and files the return.
- Write required reports: truck and driver profit, cost per mile, fuel cost, repairs, aging, settlements and cash flow.
- Calculate total cost, including truck tiers, users, payroll, routing, integrations, implementation, support and annual-versus-monthly billing.
- Run a real-world demo using a load with fuel surcharge, detention, factoring, a repair invoice, a driver advance and a settlement deduction.
- Involve the accountant and test bank, fuel-card and ELD reconciliation.
- Confirm backups, permissions, cancellation terms and export of transactions, invoices, receipts, reports and master data.
Edge cases that expose weak software
- Factoring: Test advances, fees, reserve releases, chargebacks and customer payments routed through the factor.
- Fuel cards: Ensure fuel, oil, repairs, cash advances, fees and non-fuel purchases post to the correct truck, driver, vendor and settlement.
- Mixed activities: Keep company trucks, leased trucks, brokerage, warehousing, repair services and multiple entities separated.
- Maintenance: Ask about parts, shop labor, warranty work, preventive schedules, downtime, truck and trailer cost, and repair-versus-capital treatment.
- Multi-state operations: IFTA, IRP, permits and other state obligations are related but not interchangeable.
Questions to ask a vendor
- Can each transaction be assigned to a truck, trailer, driver, trip and load?
- How are fuel surcharges, accessorials, factoring and proof-of-delivery documents handled?
- Which exact ELD, fuel-card, routing, payroll and QuickBooks integrations are native, optional, one-way or two-way?
- Does the system support employee payroll and contractor settlements separately?
- Are IFTA rates updated, reports state-specific and historical quarters available? Who actually files?
- Can an accountant log in, reconcile books and export all data?
- What costs extra, and what onboarding, training and support are included?
Final verdict
Compare Rigbooks, TruckingOffice and TruckLogics first if you are an owner-operator or small fleet. Choose based on the workflow you will actually use: Rigbooks emphasizes trucking bookkeeping and profitability, TruckingOffice emphasizes low-cost operational coverage, and TruckLogics combines dispatch, accounting, settlements and IFTA. For a growing carrier that needs a fuller general ledger, payroll, settlements, dispatch and management reporting, evaluate Frontline Q7. Keep QuickBooks in the decision when its accounting ecosystem and your accountant’s workflow are valuable, but budget for the trucking-specific tools and controls it may require.
