The best video conferencing software depends on what you need beyond a video call: meeting length and guest limits, recording, collaboration tools, administration, and how well the service fits your existing apps. For personal calls or occasional small-group meetings, a free plan may be enough. For regular business use, compare the cost of the right number of host accounts and the features your team actually needs.

This is a practical shortlist, not a ranking from independent hands-on testing. Plan terms and prices can vary by region and change over time, so confirm them with the provider before choosing.

How to choose video conferencing software

Start by mapping the service to your real meeting pattern rather than choosing by brand recognition. A short weekly team call has different requirements from customer webinars, recorded training, or meetings managed by an IT team.

  • Meeting limits: Check the participant cap and duration for the plan you will use, including whether the limit applies to group meetings or one-to-one calls.
  • Guest access: Find out whether guests can join in a browser and whether they need an account, app, or download.
  • Meeting tools: Identify which tier includes recording, transcripts, captions, translation, livestreaming, polls, breakout rooms, whiteboards, chat, and file sharing.
  • Existing apps: Consider calendar, office-suite, CRM, and room-device integrations. A platform that fits your current workflow may be easier to manage than one with a longer feature list.
  • Administration and security: For an organization, check the controls available to manage users, meetings, and data against your requirements; the options below are not a security ranking.
  • Total cost: Price the number of host accounts you need, billing frequency, and any necessary add-ons. A low per-user price is not the full cost if essential features are sold separately.

1. Zoom Workplace

Zoom is a general-purpose option to investigate if you want meetings alongside collaboration tools. Zoom’s vendor-authored comparison highlights breakout rooms, whiteboards, summaries, integrations, and polls. Its feature and price information is based on public information as of July 2025, not a verified October 2026 price check; check the comparison and current plan page before relying on specific inclusions or costs. 2. Google Meet

Google Meet is a natural candidate if you already use a Google Account or Google Workspace. Google says anyone with a Google Account can host a free meeting with up to 100 participants for up to 60 minutes per meeting. Mobile calls and one-to-one calls have no time limit. Google identifies longer or larger meetings, international dial-in, recording, live streaming, and administrative controls as paid-plan capabilities. Teams is worth considering for groups already working with Microsoft tools. Microsoft lists free group meetings for up to 100 people for up to 60 minutes, plus 5 GB of cloud storage per user. 4. Cisco Webex

Webex may suit teams interested in capabilities such as translation and AI-generated summaries. Cisco describes these features, but availability can depend on the plan. Compare the applicable tiers and terms on Cisco Webex’s pricing page rather than assuming every feature is included at every level.

What the published free-plan limits establish

Google and Microsoft provide the clearest current free-plan figures in the reviewed product pages. Zoom’s duration figure comes from a comparison page and should be rechecked with Zoom. Do not infer that services without a figure below have no free tier or a particular limit.

When a paid plan may be worth it

A paid subscription is useful when a free-plan constraint disrupts the way you work or when your organization needs controls and tools that are not included at no cost. Match the upgrade to the limitation you are trying to remove.

  • Your meetings routinely run over the free time limit: Compare paid durations and the number of participants you need, not just the headline maximum.
  • You need recordings or transcripts: Check which plan includes them, how they are stored, and whether the plan has the administrative controls your organization requires.
  • You host events or training: Look for the specific combination of livestreaming, captions, translation, breakout rooms, polls, and participant capacity you need.
  • You manage a team: Review user administration, storage, and integrations with the calendar and office suite your organization already uses.
  • You need predictable spending: Calculate the total for all hosts and confirm whether the quoted rate assumes annual billing. Verify local taxes, currency, and checkout terms with the vendor.

How to make the final choice

  1. Write down your normal meeting: Note the usual number of attendees, typical duration, whether participants are guests, and whether you need a recording.
  2. Choose two or three candidates that fit your workflow: Start with the platform that matches your current Google or Microsoft tools, or compare alternatives if their meeting features better fit the job.
  3. Check the exact plan, not just the product name: Confirm limits, recording and collaboration features, integrations, administration, and guest joining on the provider’s current plan page.
  4. Calculate the cost for your host count: Include annual-billing conditions and any required add-ons; check the price for your location.
  5. Test the actual joining experience: If possible, try a call with the devices and guest setup your team uses. Confirm that the host controls and collaboration tools work for the meeting you intend to run.
