A strong letter of appreciation for support at work says what you are thanking someone for, names what they did, and explains why it mattered. Use the examples below as starting points, then replace the bracketed prompts with details that are accurate to your situation.
What to include in a workplace thank-you letter
Keep the message direct and specific. A useful structure is:
- Greeting: Address the person or team in a way that fits your relationship.
- Thanks and reason: State near the beginning what you appreciate.
- Specific contribution: Name the action, advice, time, or support they provided.
- Impact: Explain how it helped you, the team, or the work.
- Closing and name: Choose a suitable sign-off and identify yourself.
For a short note, keep the concrete action and its impact; those details make the message feel personal rather than generic. Avoid claiming a result or assigning credit unless you know it is accurate.

Keep the wording warm and professional. A familiar greeting such as “Hi [Name]” may fit a close colleague; “Dear [Name]” is a more formal option. The British Council advises matching the greeting and closing to the relationship and says, “State clearly what you are thanking the person for right from the start.” Avoid vague lines such as “thanks for everything” when you can name the actual help.

Send your note reasonably soon after the support, while the details are still clear. Indeed recommends sending an appreciation letter within three days, while noting that a late note is better than none; treat that as one publisher’s guideline, not a universal deadline.
