A student-written letter is not a substitute for school-issued verification. If you are an authorized school official drafting a letter, use verified records and follow the school’s format and the recipient’s requirements.
What kind of confirmation letter do you need?
“Confirmation letter” can refer to different documents. The recipient may need proof of current enrollment, past attendance, future enrollment, student status, or degree completion. Some institutions offer different letter types for these purposes, so clarify what the recipient needs before requesting or drafting anything. See the University of Glasgow’s guidance on student status letters and the University of Guelph’s verification letters for examples of institution-specific options.
Also check whether the recipient requires a particular form, specific details, or delivery directly from the school. An enrollment confirmation and a transcript are distinct documents; do not send one in place of the other unless the recipient confirms it will be accepted. The University of Toronto explains its confirmation of enrollment service.
How to get an official enrollment confirmation
- Ask the recipient what it will accept. Confirm the purpose, the period it must cover, required fields, whether a school-issued document is necessary, and whether the school must send it directly.
- Find the school’s request process. Check the registrar or student-record service website or contact the office. Some schools provide letters through an online portal; others limit who may request them or require the student to be registered in courses for the relevant term.
- Check eligibility and timing. For example, the University of Guelph says students must be enrolled in courses for the semester before it will provide a confirmation letter. The University of Texas at Arlington gives a typical estimate of 5–10 business days for its verification process; that is one school’s stated estimate, not a general turnaround time.
- Choose the document that matches the request. Where multiple options are available, compare the purpose and date coverage, fields included, authentication method, recipient acceptance, and delivery timing. Ask the registrar if the right option is unclear.
- Submit only the necessary information through the approved channel. Use the school’s process for handling personal identifiers and academic details rather than sending sensitive information through an unapproved route.
What an authorized official’s letter should include
If you are a school employee or another person authorized to verify student records, confirm the requested facts against the institution’s records and follow the prescribed format. A school may report information as it appears in its student system on the date the document is issued. Do not infer status, dates, course load, or expected graduation.

Common fields in published school examples include the student’s legal name, an ID if appropriate, institution, program or degree, enrollment status, relevant term and dates, and an authorized office contact or signature. The exact contents vary by institution and recipient. Florida Tech’s enrollment verification page offers this sample sentence: “Please accept this document as verification that [STUDENT NAME] is attending as a full-time student at [COLLEGE/UNIVERSITY], pursuing a [DEGREE and MAJOR].” It is example wording, not a universal standard.

Use this as a drafting aid only if you are authorized to confirm the information. Replace or omit fields to match the school’s format and the recipient’s instructions. Florida Tech’s sample is concise and includes term information; other institutions may use different fields.

Common mistakes to avoid
- Writing your own proof when official verification is required. A self-written statement does not establish what the school’s records show. Request the official document through the registrar or student-record service.
- Using a generic letter for a specific purpose. Future registration, past attendance, degree status, and other requests may call for different documents or forms.
- Including unrequested personal information. Share only what the recipient needs, using the school-approved process.
- Claiming a status or date without checking it. “Full-time,” term dates, and expected completion can depend on the institution’s records and definitions. Include them only when verified and relevant.
- Assuming a planned or waitlisted course counts as enrollment. Check the school’s eligibility rules for the term in question.
- Treating one sample as a universal format. Available letters, fields, authentication, and recipient requirements vary by school and purpose.
How to make sure the document will be accepted
Before submitting a request, compare the recipient’s instructions with the school’s available options. Confirm the required period, information, issuer, authentication, and delivery method. If either organization’s instructions are unclear, ask the recipient or registrar rather than assuming a standard letter will meet the requirement. Examples from universities in Canada, the United States, and the United Kingdom show common approaches, but they do not establish a format accepted by every employer, government agency, bank, scholarship provider, or school.
